Have you ever heard what chronophages mean? Well, that’s not mystical creatures, chronophages are things which eat up our time. Here I am sharing our team experience that can be useful in the fight against them.

To start with, you should analyze one of your working days and note down everything you’ve done during it. Such simple tip will let you see the big picture of your actions. How do you think what chronophages you can reveal?

For sure most of our time we spend replying to dozens of e-mails, messages, calls, etc. That’s why the first thing you should do is turn off all notifications on your mobile and computer and check them, for example, once in an hour. If one team member due to this trick saves at least 1 hour per day, you can easily count how many hours the whole team can save!

Another point to remember is that you should manage tasks among your team members. For sure that’s not the case if someone is waiting for a new portion of work when at the same time the other team member is perplexed by his to-do list and has to pull all-nighters in order to meet the deadline.

Thus, if you implement those recommendations, your team won’t fritter time away and you will always be on schedule or even run ahead of it.

Time is a very valuable resource, especially in projects with strict deadlines. So what should be done to not miss those deadlines and to make things run as smoothly as possible? Below are presented some tips how to do this.

First of all, right work should be done by right person. If you assign some task to team member with zero experience, he would lose time on non-task-solving matters. And, of course, it will lead to unnecessary time loss. What you <del>are</del> need to avoid such situations is to determine who is more suitable for which work to make it in the shortest period with the best possible quality.

Another point is to make periodic checks if work runs smoothly. (In?)This way you can find when you are starting to fall behind schedule. One of the most popular way to do it is (a?) daily meeting with team members where they can rise some issues with their<del>s</del> work. Also, you should encourage your subordinates to ask you directly when they are facing (i would prefer present simple here) problems with deadlines.

Last but not (the?) least, (is?) upfront planning. Of course, there is no guarantee that everything will go according your plan, but at least it can help you to make realistic prediction on how your team’s work will go. And don’t get upset! Sometimes things can go not according your plan in good meaning when your work has done earlier than you anticipated!

At the end, I want to say that those points really helped my team to stay on track every time. But that doesn’t mean that they are set in stone. The best way of time management is the one who benefits you the most.

By Maria

Have you ever missed the deadline? Or maybe sometimes you have to pull all-nighters to be on schedule? If your answer is “yes” have you already wondered how to find the best time management techniques to improve your work and increase work efficiency?

If you ask me I can tell that my team can manage its time successfully and choose to make high-value tasks a priority, finish them before the deadline, but also leave time for leading a healthy life. But how we can do that?

First of all, effective work requires upfront planning. Accurate planning is the first and the best of all time management techniques. Mainly it helps to organize your work properly and gives you a detailed insight into all the things you need to do. You should start from planning your daily, weekly and then monthly tasks, and you`ll realize that it`s really work! But you should not only plan your to do list but also define how much time you are going to spend on each task. If you ask me about the ways for work planning there are a lot of different tools, for instance various calendars and personal organizers, different time management apps, to-do-lists and so on.

Second, to be effective you should rank your tasks or prioritize. Do the most important tasks first, and then switch to less important. It will help you better organize your workflow and you will become more efficient. It’s very easy and effective, just try!

Finally, you should take a break between tasks. To stay focused and motivated you should allow some downtime between tasks. This little rest will help you to clear your head and sometimes to see the big picture. Out team usually do breathing and meditation exercises.

So, if you try to follow the tips above you`ll become more effective, stress relief and win more time for yourself.

Tatiana Komissar

Have you ever thought what stands for a successful project? Well, there are many aspects like employers’ skills, decision making, communications, etc. But from my point of view one of the most important aspects is time management. So below are presented some points about effective time management.

First of all, time management differs related to type of job that needs to be done. For example, you can’t have the same time management for the project with need of creative approach and assembling process in the plant. What is interesting is that flexible time management for creative workers gives better results than rigid one. That’s mainly because different people have specific time periods when they can come up with fresh ideas and think outside the box.

Another point is that employers who work with flexible schedule are also benefitted because they can manage their own day for personal life and job related duties.

If talking about my experience, I always stay on track, work more productive and don’t feel frustrated due to bad results in my projects. The same is true for my colleagues too.

Thus, the one important thing is how effective you do your job and not when you do it.
Aram Manukyan

Here is solution how to plan your time effectively.
Our success is all about effective time management.

Those were the techniques that we used in our team.

First, find your productivity zone. This is the time when your most productive, and then do something really important within this period.

Second, "eat the frog" - it means do at least one unpleasant and difficult task each day. This will allow you not to accumulate them.

Thirdly, use the 3 tasks and 2-minute rules. Choose and do at least 3 important things a day, so, you will get good progress soon. Also, if the task takes less than two minutes, do it immediately.

In the end, the one thing I love the most may be the communication hint. If you are often distracted in chats, do not answer immediately, wait 30 minutes, finish your work, and then reply. It is likely that in these 30 minutes a person will find a solution and you will save your time.

Finally, I will say that these are just a few techniques. Or maybe is it a common situation for you, that small and unimportant issues eat up almost all your time? So, if you usually face a problem of lack of time for important tasks, I can share my tips for effective time management.

First of all, what you need is to identify the most productive time of day for you. It should be at least four hours because small time intervals are not acceptable for continuous work. I have found that the time from 10 a.m. till 2 p.m. is the most effective period for work for me.

Second, create your to-do list and set the most difficult and important tasks to your most effective working hours. The thing why you should do this is that it helps you to do these tasks as fast as you can and then you could finish other ones with less efficiency.

Finally, just find time to rest every hour even if you have urgent tasks. Tiredness reduces your productivity, and sometimes it makes sense to have a small time-break and then finish the task.

Thus, I hope these techniques will help you to be under control in any situation and manage your time effectively.

Or that you have procrastinated on a new task (the) whole day? Our team was perplexed with these questions too. One day we decided to change the way of our work organization.

First, our<del>t</del> team starts with upfront planning. Together with our stakeholders we create to do list for every two weeks. Every day we give an update to each other. So, we can easily stay on track with our scheduler.

Second, it is very important to organize<del>d</del> working day properly in order not to fritter the time away. Tomato method is my favorite approach when I need to do a routing work. The key idea is to take a timer, set it for 25 minutes and work without distraction. After one “tomato” you should take a five minute break, and after 4 “tomato” take a break for half an hour. Benefit<del>s</del> of this practice is in combination of active work and rest.

Finally, don’t let your phone run your life. I often interrupt<del>ed </del>my real work to check my calls and social platform. One of the approaches that helped me to get rid of procrastination on tasks is to turn on airplane mode on the phone. Avoiding distractions allows me to concentrate.

Thus, with this simple but important techniques our team has been performing more effective(?ly).

Natallia Drazdova

Tick – time is passing. Tock – time has passed. What is the most valuable resource? Time. And we should treat our time carefully. Scientists are not even close to the invention of the time machine, so get the idea that time is scarce. If you procrastinate on something at work, in the end, you procrastinate on your life. We spend a lot of time working, so we definitely should organize our work time.

And our team should too. When every team member values their own time and time of their colleagues, the workflow becomes more linear, processes go smoothly, meetings look more meaningful and less time-consuming, efficiency grows, deadlines are met. So let me share some ideas that help you and your team save time and be more effective.

First of all, prioritize your tasks. Keep in mind the Parretto principle and do more by doing less.f

Second, by failing to prepare, you are preparing to fail. Don’t jump down to business without upfront planning and a clear understanding of how to do that the best way possible.

Finally, ask for help. Most likely that the problem you are fighting with is not unique and some of your colleagues have already faced it. You don’t have to reinvent the wheel. Ask for advice and benefit from collaboration.

These three tips were a start point for me on the way of organizing my time and they benefited me a lot.

Have you ever felt you don't on schedule? You are lucky that you are reading this article now, this situation will not happen with you anymore.

First of all, you need to avoid lack of planning in your work. All what you need is upfront planning. Your need to prepare a list of your working activities. Provide realistic schedule that will not be behind your working time. Include to your list even not important activities. Prioritize your activities. Do not do all important/difficult activities one by one. Mix up them with not important/easy activities.

Another point to remember how a break is important to productivity. My personal experience shows that the best approach is installing special application to your desktop. There are many different application to install that will remind you about lunch or physical exercises. Do not forget to include your breaks to your schedule to make sure that you will manage to finish planned working activities.

Thus, these tips will help you have well balanced work, where no place stress and problems.

Have you ever faced with (a) situation when you don’t have enough hours in the day? Did you think (about) how to resolve it? There are some tips which can help to do more planned work.

First of all, when you start your working day you need to disable all your personal messengers and social networks. According (to) researches, people spend about 20% of all time in social networks and messengers. If we are talking about working hours – it’s about 2 hours per day. You can leave 1-2 working channels like Outlook and Skype to communicate with colleagues. All other messengers please leave for out of work time.

Second, make a to-do list and prioritize it. You will never do all work. It is constantly growing😊 The profit here is that you can do all mandatory and urgent tasks in case if you will have priorities.

Another point to remember is do not forger about breaks during the day and about end of working hours. Constant work negatively affects productivity. It can also lead to professional burnout. Several years ago, when I thought about dismissal due to great fatigue, my manager gave me very useful advise. It helped me – I have become more attentive to my working hours, got more free time and, thanks to enough rest, began to work more efficiently.

Thus, these simple tips can help you to become more effective, less stressed and keep (a) work-life balance.

If your answer is ‘yes’, this article is for you. What I suggest is to have planning session once a week with (the) whole team, customer and stakeholders to stay on track and be under control.

Another point to follow is accurate estimations and prioritizing. It will help you <del>better</del> (to) organize your workflow (better) and become more efficient and flexible. Moreover, don’t try to deal with all issues by yourself. Remember that delegation really works 

Finally, if you want the team to be focused and motivated, I suggest organizing team buildings every 3 months. Believe me that the common rest will benefit you project.

Hope you find these 3 nontrivial tips useful and worth your time spend on reading the article.

Time flies - always. Awareness of time will lead to self-improvement and achievement of goals. For a long time, our team has been improving really well through excellent time management. What is the best way to effectively manage time? Applying these tips is a good place to start.

First, set a certain time limit, such as an hour or two. Then try to complete the task in the allotted time and feel the excitement as you do it. Also, use software tools to manage your time.

Second, start with the most important tasks in the morning. You have the most energy in the morning, so you will be able to complete your tasks with quality and competence. In addition, feeling accomplished in the first place will make the rest of the day much better.

Third, apply delegation and outsourcing. You can't do everything alone, so relax and delegate. This allows you to focus on larger projects or more complex tasks.

Finally, avoid perfection. As the saying goes, don't let the best be the enemy of the good. Use your time wisely, but also make time to relax so you can be motivated throughout your life.

How to get more work done in less time?

Or Would you like to spend less time on your usual tasks? Here some ideas how to do more work in less time.

First of all, clarify actual expectations. When you take on a significant task, talk with any key stakeholders about what they expect from you. By clarifying what’s actually needed and to what level, you can save hours of time deciding what to do and getting tasks done.

Second, set goals correctly. Use the SMART method when setting goals. In essence, make sure the goals you set are Specific, Measurable, Attainable, Relevant, and Timely.

Another point to remember is prioritization should be wisely. Prioritize tasks based on importance and urgency.

Last but not least, set a time limit to complete a task. Setting time constraints for completing tasks helps you be more focused and efficient. Making the small extra effort to decide on how much time you need to allot for each task can also help you recognize potential problems before they arise. That way you can make plans for dealing with them.

By Siarhei Malakhouski

Is it possible to work less but have done more? Yes, the main thing is to learn how to manage your time.

Why is it important for employers that employees have time management skills? The reason why managers like to work with such employees is they want to work with subordinates who are on time for work, can accurately time their tasks, meet deadlines, and are able to prioritize and plan their workday. Here are a few techniques that we have successfully applied in our project.

First of all, you should write all your tasks and prioritize them. Usually, it helps you see the big picture. Rank tasks as A priority if they are urgent and important; as B if they are important but not urgent; as C they are unimportant but urgent; as D if they are unimportant and not urgent. Try to complete the tasks with priority A first. Then B. And if you still have free time - C tasks. As practice shows, you shouldn't fritter the time on tasks with priority D.

Another useful point calls "eat the frog first". The main idea of that is to do the most unpleasant thing first. After completing it, the other tasks will seem easy.

Last but not least method we used was Pomodoro technic. You should split your work into 4 pieces by 30 minutes that are called "promodo". Each of them consists of 25 minutes of intense and highly-concentrated work on a single task, and 5 minutes of rest. Then make a 30 minutes pause for a big rest.

We tried many different techniques in our work. And in my opinion, those listed here are the most productive of all.

How often do you ask yourself when a project will be done and how much time I need to complete it? From one side there are trivial questions which could be answered immediately, from another side they could have no answer. Three things help making these questions trivial: a forecast planning, a right prioritization and realistic milestones.

First of all, any project requires a forecast planning. Even a raw plan enables you to understand the project complexity and to roughly estimate a required time.

Second, when the plan is ready what do you need to do is to prioritize your tasks. The right prioritization saves you tons of time and nerves. Sometimes, trivial (on the first look) and not important tasks can take huge amount of time with an almost zero result.

Finally, you should set milestones to understand the project is on track and you have not failed schedule. So, at any moment you will be able where you are and where you are going to be tomorrow.

As conclusion I can say that all that you need to do is to plan, to prioritize and to set milestones.
