Inventory Tip and Trick!

By Kate Weizel Hahn The main thing for me is that I never do one big inventory. I start separate ones at the same time for FIC A to FIC Z (similar for other things like GN and SC), and one for 000 through 999.

If I run out of time, I am much less likely to mark half of my collection lost.

I also scan one bay (4 to 5 shelves) at a time into notepad, save the text file, then upload that file. It makes it easier to remember where I left off, and after uploading (which to me seems way faster than scanning one by one) I just go to Job Manager and look at the results for that bay. I can do ctrl-f to search for Skipped, Lost, Checked, and other stuff like that.

Keeping Track of Documentation

There are so many small tasks I do only once or twice a year, so to keep track of them, I use a hidden page on my Library Services LibGuide. I keep things I do once a year, like globally delete graduation year 2017, how to add an award note in the MARC record, etc., so I can easily pull it up if I have a question or can't remember. If you don't use LibGuides, why not use GoogleDocs. If you have a team, you can share the document or the folder (if you want to keep each task on a separate doc).

I add to my guide as I do things and they are fresh in my mind. I also have the direct link to Follett with our customer # and other contact info. That way, when I have to call Tech Support and the first thing they ask is my customer #, I have it right at hand!

Adding a Sublocation

When searching for a book, you will see where it is shelved if you add a sublocation. For example, I had to pull all my oversize books after our renovation because the width was too narrow in our non-fiction section. It became a problem when trying to find an oversized book. The book below is on the Oversize shelf and shows in the search result.

To add a sublocation, go to the screen when you are adding a copy and the sublocation is near the bottom. You will need to create the ones you want by clicking the 'Other' button and adding them. This is great for those who are shelving by genre as you can quickly see where the copy is located.

Is there a "batch" way to change all the "checked out" books to "lost"? School is over, inventory is done, and these are the books that students did not return or pay the fine for. Do I have to make the change one by one?

How do I? The easier way to find help

My favorite way to access our "help" section (in a much easier to digest way) is to click the "How do I?" link at the top right. It changes based on your immediate screen and usually includes all directions as to what you can do, related topics, quick reference guides, even videos.

Great if you think, I know it has to be right here, but how do I do it?!

Also this way, if anything has been updated, your information is up to date, too! Know I dislike flipping around; leave the research time for helping students.

Withdrawing student note

When we get the list of students leaving at the end of the year, we add a note to their account that pops up when we scan their ID. This helps our circulation desk clerk keep track of students leaving and stops them from checking out right before they leave. It also helps so that he can remind the student or parent if they have books on their account. As a result we have very few books at the end of the year that are not accounted for.

Customized Home Page

I customize our home page with our online resources and grade level assignments. It gets students in the habit of going to Destiny and I can change it depending on what we are doing.

Google Voice for overdues

If you have access to parent cell phone numbers in Destiny, you can use Google Voice to send a text message about an overdue book. This is so much easier than making phone calls. I always identify myself at the beginning of the text and include the title of the overdue book. It works great!

Generate a shelf list under reports with the circulation checked as an Excel file (CSV, XML...). When you have the Excel file (or it works with Google Sheets, too), Sort the circulation column from least to greatest, and your zero checkouts will be on top! You can do the same for year of publication.

Electronic overdues?

Yes, time is short compared to the summer tasks which need to get completed, but there are many book trailers out there from the publishers; that could be a place to start. Our District creates trailers for books on our state list, so I could start with adding those.

Linda Waskow Holy cow! I just played with it in Destiny. I edited the MARC record for Roller Girl - added the 856 tag field and entered the needed into. Once complete, when I searched for the book, I was able to click on the hyperlink for Book Trailer and it took me directly to the youtube video.

Tracking "Used in Library"

Is there a report that can track those books used by faculty during classes held in the library? Often these books are not checked out because multiple classes use the same ones. I do, however, want to run accurate reports so I know if a book has been used.

Deleting books removes data

I used to DELETE books from our collection when I got rid of them, but at some point (not sure if Destiny changed, or I never noticed) I saw that the "Details" button next to a fine would be gone, if the book had been deleted. So if a student ruins a book, and we create a fine, then delete the book...and the parent contests the fine, all the details of that fine are gone. I can't have that, so I stopped DELETING copies. For textbooks I change the 'Status' to "No Longer In Use" which seems to work great. BUT...for Library books there is no 'status' for "No Longer In Use" (I wish there were...Follett??)...so I'm wondering what others do with Library books they're removing, to keep fine data from being lost. ??

Curious if there's a way others fix this while retaining the correct record for each copy. Anonymous 8mo You can relate two titles so one search brings up both titles. Example: Harry Potter and the Sorcerer's Stone - Harry Potter and the philosopher's stone. To do: catalog* update titles* relate titles (it's a tab) Anonymous 6mo In a large district, you can have people who create new title records, even when a matching title record already exists, so you do end up with two of the same title...that should be addressed, with training OR limiting permissions. If it's really the same book (title) then I think you should combine them into one title (remove the copy of the different book from Destiny, and then the different title...then add the copy into the main title). You may want to print a copy record first before deleting! However, sometimes they are similar, but not the same...a different edition, etc...you have to decide if you want the accuracy of separate titles, or if you're okay with a title that covers both books (you'd have to leave 'edition' blank, or show that it may be either of 2 editions, etc.). If you want separate titles, see the note above about "Relate Titles"...but that reply assumes they are different. If they are really the same, you want to guard against 'title growth' where multiples of a title get routinely created. Anonymous 6mo ...also you can use Destiny's "Merge" function to combine duplicates...try it once and decide for yourself whether you prefer that method...it's easy, but you may want to create a new title that has elements of both, for example, or have some other reason for wanting more control. We are doing remote checkout right now and our kinder students only get to check from one section (I have it set as a sublocation and a circulation type so that I can block the grades 1-5 students from seeing those books in the catalog and leave them for the kinders). We currently have a book checkout limit of 2/student. Is there a way to block students from placing holds until their books are returned? I am processing the holds, pulling the books, and when I go to check them out I discover they already have 2 books out. I want to work more efficiently so that I'm not printing and pulling Holds when I can't end up checking them out!

Different Copies of the Same Book in Different Sublocations

I am trying to separate Battle of the Books novels from the library copies of the same title. If I have 4 copies of a title, and I assign 3 of them to the sublocation: Battle of the Books, and 1 of them to the sublocation: historical fiction (for example), how do I get the historical fiction copy's sublocation to come up first in search. I don't want the sublocation Battle of the Books being the visual result when searching. I cannot figure out why it's working for Code Talker but not Peeled. I have many instances of this and some times it works and sometimes not. Please help!

Does anyone know why several titles get automatically deleted when they are checked in( Destiny) ? I went to add a title back into the system and there was a box checked that says delete title when checked in - I never check that box but it still deletes new titles. Any suggestions?

I am using Firefox as the browser. Books get checked in. Screen says they are checked in. But then later still show up on student list as being checked out. Any suggestions?

As with the rest of the world, I am carting books in my Elementary library position. I am having 2-5 place holds for specific books - 2 days in, and we're nearly at 60 titles - yay for them, HOLY COW for me! I've got them pulled and I see how to print the sheets with a note and their name, but for checkout that seems SO tedious to then have to go back in and find their barcode - is there a way to auto-check out a fulfilled hold? Or is there a way to change what shows up on those papers? So their homeroom teacher and barcode shows? Thanks!

I know that in order to use a resource list to a collection in Destiny Discover they have to be less than 100 items. Most of my resource lists are larger. Does anyone have the answer how to add items quick and easy instead of one-by-one? Thanks in advance!

Inventory Tip - Scan barcodes to a .txt file when doing an inventory. This creates a "snapshot" of the locations of all the books that you can use to find mis-shelved books later. (Search the .txt file for the mis-shelved barcodes, then copy out the one above/below and search for that in destiny, chances are that book will be correctly shelved and next to it will be your missing book.)

Long story shorter: I am working on an ongoing project where I have been cutting and pasting bar codes from a spreadsheet into "Circulation" - "Copy Status" to check the history on all of our books. In the middle of doing this a group of students came in to check out textbooks. So, when I finished, I simply went back to cutting and pasting the bar codes from my spreadsheet. Unfortunately, while I changed from "Resource View" to "Library View" I forgot to click on "Copy Status". And now I have a "lost" book that shows it was checked out to the last student whose textbook I scanned. How can I fix this

We are an Office of Education library that lends materials to teachers across two counties. We've trained them to only place "For a specific date" holds, so they know their items will be delivered when they need them for a lesson (and items won't be snatched up by someone else), but there doesn't seem to be a way to sort the Local Materials Pending List by the "Reserved" date. We have teachers who reserve items for an entire year, so my hack of copying the "Printable" version of the page, pasting it into Excel and reorganizing the data is getting time consuming. Am I missing a trick that would make my life so much easier?

So not long ago Larry did a 'freshen your collection" in which he explained how to delete unused prefixes in call numbers. I can not for the life of me remember where I can go to delete just the unused prefixes (I already changed the books).... maybe I need to be in different permission?

Currently, our process for summer session is using a spreadsheet - it makes things very difficult to keep track of items, as there are so many errors (typos, collection never being accurate, etc.) that could potentially happen! I'm wanting to pitch the idea of adding students/teachers into Destiny with an expiration on their account, but we have students from numerous other schools, and temporary summer teachers. Is it possible to add new users (whether it is a new account, adding a 'separate' site, etc.) to Destiny and not have them affect our statistics reports? I'm open to any ideas at this point!

I am trying to run a new inventory as I have taken over the library as the new librarian this school year. When I set it up to run, it marks almost 900 of my books as "accounted for" even though I have not scanned them and I set my seen by date as the day I am running the scan. I've been deleting my unused call numbers but I'm unable to delete call numbers that are only numbers? I was able to delete call numbers that had letters in them but when I try to delete call number 398.2, for example, it tells me it is not a valid prefix. Our copy information for Manga titles is a mess. There are Manga series that have one MARC record with several volumes and ISBNs included. We used those in our previous LMS but would like to separate the records in Destiny. The issue is how do you keep Destiny from importing the multiple ISBN records again? And, another issue, I was just looking over copy records in one series and two different volumes attached to the MARC with several ISBNs but then Destiny brought in individual MARCs for some of the other volumes that are included in the multiple MARC. Does anyone know why this happens?
