i intend to do a live stream/live event at a venue.

WHERE?

Planet wax in new cross.

WHO?

I intend to curate a line up of different djs.

WHEN?

I am still playing around with dates it will heavily depend the artist availability.but i am looking to it around the end of july.

WHY ?

i want to do my event to create exposure for myself and the artsit involved and hopefully bring new traffic and fans to theres and my socials.

M- to measure the success of this i will log the amount views over the time of the stream and ask the audience to leave a comment saying new follower if they chose to follow on any of our socials.

A- as this is the first event of its kind i have done i think realistically 100 views over the stream and 5 new followers is an achievable goal.

R- if this event is an over achiever and is received well i would make this a monthly thing that i do sometimes with guest sometimes solo.

T- end of the july is my goal to hold the event but need confirmation of the artist and venue.

this would be the ideal place to host a event as they also stream there radio shows from the venue and its open to public being that it is a bar and record store also.

and recently i have already been in contact with one of the owners chris about covering someone on there radio show.

so i have emailed them with my suggestion and now i await a reply on weather this would be something they would be interested in.

i want to curate a line up and stream to there radio and this would double up as live event as the venue is open to public and that where they stream from.

i emailed chris one for managers at planet wax and he replied and gave a me the email for planet wax events.

i have email said emailed and now await a reply from them about my proposition.

i explained my plan for and event to create exposure for me and some fellow djs and that it was going to be a free event and gusto loved the idea and was 100% up for the it as long as the dates aligned with his busy schedule

the easy option would be to go and do the radio slot but this did not align with the purpose of the event i was trying to do because i want to create exposure for other djs aswell as myself so its back to the drawing board for my event.

i set myself a budget of 200 pounds to get the equipment and hire a studio for the stream.

after some research i narrowed it down to 3 options out of the ever mix 4 ,irig stream solo and the irig stream pro.

the ever mix 4 i hadn't heard much about but it kept popping up on my feed on instagram, you tube and also google when searching.

the ever mix seemed a good option easy to use and decent quality audio and an app that runs along side it,

although what put me off was the fact i dont know anyone who uses it so decided i would go for one of the irig systems as i know many artist/djs/content creators who use the irig and have all said it super reliable.

now the next step was which one the irg stream solo or the irig stream pro ?

the idea and plan is to grow my fanbase organically by at the start doing a monthly stream/upload to my youtube and mixcloud.

the brand is myself as an artist which i already have a logo for as seen above ride the vibe.

i want to call it ride the vibe and friends

mix series.

i expect at the start this will be a challenge but once the ball is rolling and i get some known guest from the scene it will grow.

although they did offer me slot on their radio and this in itself is a massive opportunity for me as an artist so i will be taking them up on this offer, but for my event this isnt going to work as my main focus is create exposure for not only me but supporting the scene and giving other a platform also.

this meant changing my plans for my event once again and only having one guest rather the 6 guest i had previously planned to have.

i also decided that i was no longer going to do a live stream on mixcloud and youtube and do a youtube premier instead as i thought this would be less stressful to deal with on top of what i was already going through in my personal life.

i decided to go with the irgi pro stream as this gave the best options for future streaming and high quality audio which cost me 200 pound.

the venue i hired was pirate studios which is open to the public top hire and has the latest club set up and sound proof room to record in. this cost me 70 pound for 3 hours.

to use the irig i needed a usb c port on my phone which on my phone was damaged so i replaced my phone with a new one through my insurance which cost me 100 pound.

i want to keep the contract simple and straight forward.

but some important things to consider are

1. time and date of event

2. fee

3. terms of cancellations for both parties

4. agency fee

5. how long performance will be

6. exspenses for artist including travel,food

7. rider for artist if requested

i have contacted some people on the phone about supplying a flyer for me which i have had no reply if they dont get back to me il will used my logo as the thumbnail when i share the video.

i recommended louis bring some ear protection as the system in there is loud although adjustable.

so we in sound test i will make sure that nothing is in the red and to loud working at a safe level of noise pirate studios also provide air con which will be turnt so the studio doesn't get to hot and water provided for all involved

cctv is also run at all times inside the venue.

i have giving extra time on the booking for any unforeseen circumstances.

he suggest i use restream website that allow you to stream to stream to mulitple different outlets at the same time time so i created an account on restream and add both my youtube and mixcloud account to.

he also said i could connect to obs which would allow me to film along side restream from my laptop.

obs is a software that allows High performance real time video/audio to multi outputs.

i contacted louis and let him know what time i would arrive at dalston junction and to check he was still ok to make it and he replied and said he would be there at about 10 am.

we had breakfast and made out way to the studio for 11

on the first couple of test videos we wasn't getting any audio but we quickly realised we was in the wrong record out and needed to be in the master record out so we switched to the correct one and it now work and we was ready to record.

In the beginning the module i was confident that i could pull off an event at an actual venue as i had been in talks with one before this module. So i contacted with propsal  of holding an event at their venue in new cross which would consist of mulitiple artist and be streamed to their radio station but as the weeks moved forward and i got a response from Chris one of the owners at planet wax it became apparent that i would need to change my event plans as planet wax rejected my proposal and i had to go back to the drawing board.  

I now had to make a decision on what to do luckily i had a contingency plan luckily i did have one of these set up and i will also have multiple in place for future projects and this made things slightly less stressful. 

Was my team functional ? 

Although i had some collaboration with other students and artists for my event, i took on the role of pretty much everything and in reflection i should of assigned some roles to other people. And in future i will consider this my first port of call when organising an event is building a team first as had i had other people to lean on in the event would of been more successful then it was. 

But also had the original event plan come through i would of definitely made a team up of people to help run the event. But because i was only running a livestream in my naivety i thought this would be a task i could do on my own.  

This lack of help meant that promoting and marketing was not up to par and potentially missing out on the new audience and views when the live stream was to take place. 

 half way the through the term i had some personal issues which only added to the stress and i made the decision to only do a YouTube premier again had i had a team in place this wouldn't of happened so all in all i completely under estimated what it takes to run an event of any size. 

Having said all of the above i felt that i contacted and communicated very professionally with the artist and i it inspired me to continue the steaming outside of this module i plan to do a monthly upload and also host live stream events  

Next time around i will have. More organised approach to my event doing weekly check list i think will help going forward. The experience has opened my eyes to actually wanting to do events and inspired me to try and create something for myself and grow an organic fanbase after publishing my event on YouTube the artist i done the recording with had a release on the same day and in one of my promotion post on Instagram i put to go and support the release the other artist who goes by the name leks messaged me on insta and has agreed to do a recording for a future episode in my mix series.  iv also had interest form many other established and up and coming artist interested for future recordings. 

This has giving me the hunger to improve on mistakes i made this time round such as my organisation and teamwork, In addition to this no matter the size of the event having a strong team around you that you can relie on to do smaller task such as creating a flyer or making contracts for the artist would make things run way smoother and help myself concentrate on the more important task at hand. 

I also found out the hard way that life can get in the way but if i am to do this as a career i need to find better coping mechanisms to meet deadlines and goals. In the final weeks of the module i was really stressed and after having some one to one with my tutor paddy he suggested using a checklist this helped me stay on task and not forgot important dates and information. I will implement this in future projects and events. 

Overall i am happy with the success of the event i gain 17 new subscribers on my youtube and had 76 views in the first considering this was my first post i am really happy with the outcome. And iv also gain interest from other artist to jump on board for future episodes. 

• Physical hazards. Are there any trip hazards in the venue, like cables or boxes?  

• Fire. Are there any fire hazards in the venue, like electrical items or heaters? Do you know the fire evacuation procedure at the venue? 

• Security. Are instruments or personal belongings left unattended at the venue? If so, can they be securely stored behind a locked door? 

• Safeguarding. Do you know what to do in a first aid emergency? Are you up-to-date with your safeguarding training for teaching students on a one-to-one basis?  

• Space. Is there enough space for students / teachers / performers / audience? How many people are you expecting to attend? 

• Sound. Are you working with particularly loud instruments or amps? Is the room big enough / ceiling high enough? Do you need acoustic screens / earplugs? 

• Comfort. If a venue is in use for several hours, is the room too hot / cold? Is there sufficient ventilation and lighting? Is there easy access to food / drink / toilet facilities? 

• Any other risks that you spot at the venue – be sure to visit the site in advance so you don’t miss anything.
