This is how I would respond... Hey Sarah, I appreciate the work you do. I’ve noticed a pattern where mock designs are being shared before they’ve gone through the formal approval process. I know the intent may be to move things quickly, but that goes against our approval process and creates confusion. Going forward, please make sure all designs are approved by me before sharing.

Sarah, I've noticed that there have recently been some design concepts that are being shared with our internal stakeholders prior to them being finalized. This has led to confusion and incorrect workflows internally, as they thought the designs were approved. Now, if a change is made, many parties have to be involved and/or updated. I know you consistently produce high-quality work on time; however, please be careful to not share these ideas until I have approved them.

Sarah, you consistently meet you deadlines and produce high-quality creative work. However, I have noticed that you share a lot of non-finalized design concepts with others outside of the Marketing team without getting approval from Michael first. This has lead other departments to make decisions based on confusing information. Please make sure that you receive the proper approval first before releasing any information.

Sarah, I love your enthusiasm when working on our projects. I think we just need to be sure to talk about them together before you share them outside of our department. If we can do that, it should eliminate some confusion that other departments seem to experience when we don't collaborate before releasing a plan. Let me know if that seems reasonable for you or if not, let me know what your thoughts are about this.

I wanted to discuss with you some recent instances of issues that I would like us to avoid. I have always appreciated the creativity, work and thoughtfulness you put into your work. However I have noticed where you are sharing non-finalized designs with internal stakeholders outside of our team. This is causing issues you may not be aware of because those internal stakeholders are making decisions based on your non-finalized designs. One way I think we can avoid these issues is if in the future you share these with me and the team directly. This will help us work together and ensure confusion is not continuing to happen.
