I think the main problem here is that people arent motivated to attend because it is not mandatory and there dont see themselves gaining anything from the workshop.

Option 1. Provide an incentive to join: A small gift would be provided to all attendees at the end of the workshop.

Option 2. Add a safety deposit during signup. This will ensure that everyone that signs up attends the meeting in order to get their deposit back

It doesn't count as a mark too, so it doesn't really matter for them.

If we are in charge, we'd integrate the workshop to the subject mark. Make it a considerable percentage. It could be 10% to 20%. We should make it compulsory and attendance should be recorded by using the student card. Everyone who attended automatically get the mark. Therefore, it would give the students an incentive to attend.

We could also give the students clear expectations on what could the students gain in the event.

The problem is that a large amount of people are signing up but during the day of the seminar, only a fraction of the people who signed up actually show up. Also printing 500 papers at once is such a waste of paper.

The reason students do not attend workshops is that they might find them boring or a waste of time and sometimes the schedule conflicts with their availability. Even when they want to go, heavy assignments or midterms often lead them to choose not to attend.

Some options that you can consider are writing some "terms and conditions" such as increasing their tuition fee by HKD100 if they fail to show up. One theoretical idea could be having a printer besides the entrance. The printer will print the hard copy on demand whenever a student enters.

Edit: You won't need to fear people distributing the PPT, most students won't bother doing all of that.

The pros: provides resources to compensate for no shows.

The cons: a litte outrageous and might cause backlash from the community. Might be unethical.

I think we can send two reminders. The first one is to ask students to sign up through the email, and the second one is to send an second email the day before the workshop starts, asking students to click "Confirm Participation". Also, as for the PPT issue, I think we can prepare a password. This password will only be shown when the offline class starts, for the participants to review.
