I think the company should push for this policy.

This would mean that the company would always have a preferred list of TMC agents that they want their employees to use, instead of giving them their own choices, as it will lead to increased costs as mentioned in A1.

By pushing for this policy, it will mean that costs will be lowered as the companies would have already outsourced these preferred TMC agents, thus lowering costs when travelling and the company is able to save more money.

Companies should book a trip farther in advance so as to enjoy lower airfare and availability of preferred seats. This will allow the TMCs and suppliers more time to negotiate prices and make the necessary procedures such as booking flights, accommodation and transportation. The TMCs can also notify the travelers on how much they could have saved by booking in advance. In the case of non client facing travel, travel alternatives can be considered such as teleconferencing.

Arranging travels: I believe that companies should have a policy which require the supervisor for approval for trips that are booked less than two week in advance, as traveler can save more by booking in advance. additionally, the company can ask employees, at the time of the booking, to consider travel alternatives like teleconferencing, particularly for non- client facing travel.

The company should push for policy

E2. Policy should address whether the company will reimburse travelers for personal items like in-room movies, minibar purchases and laundry expenses. Policy can very based on the length of trip.

This policy allows the company to save on unnecessary travel cost. In-room movies should not be allows. As for minibar purchases, the company can restrict the amount that an employee can spend on per trip. These are not must haves items for employees as they are additional staff welfare.

Laundry expenses should be allowed for extended stays. As for Room Service, it should be allowed. Daily meals and Cleanliness are basic needs of the employees.

Companies may allow high-ranking executives to stay in luxury hotels or on executive floors.

I believe that most employees should be allocated to similar room types. It is not necessary to offer high-ranked executives better accommodation unless the employee needs to entertain clients in the room or hold meetings.

By pushing this policy, the company will be able to standardize room options for all employees and lower travel costs for the company. Furthermore, the room is just an type of accommodation.

3. Giving travelers a maximum amount to spend daily across hotel, meals and incidentals, depending on the cost of doing business in each city

The company should push for this policy in order to save costs. Employees travelling may be more inclined to spend money during their business trip as they have this mindset where they are not spending their own money. Hence, they are motivated to try out things they will not try if there were paying instead. For example, they may order better food such a three course meal for room service. The company will end up reimbursing employees for these expenses in the end.

Thus, in order to manage the budget and save costs. The company should push to give their employees a maximum amount to spend so that they do not overspend.

Policy A1 states that:
"Employees should book rooms using a designated agency or online booking tool funnels through a SINGLE SOURCE, enhancing the company's ability to:
1. Enforce policy and capture booking data for negotiations
2. Manage Safety
3. Ensure TMC''s negotiated rate toward volume agreements"

Nowadays, there are many channels which a traveler can book their accommodation from. It becomes an implication for companies to work harder to find accommodation partners to establish a lower corporate travel price.

By pushing for this policy, all partners of the corporate travel agreement will benefit.
Company Benefit: Standardized Lower Accommodation Prices across the Board
Accommodation Benefit: Assured target volume and revenue for the company.
