- Several checks allow us to be sure with all our work.
- Smooth and effective coordination between the team.
- Great organization of all the previous reconciliations helps to understand new discrepancies and be more prepared.

What do not work well:
- Communication with parties outside I.C.T often take too long.
- Workload is not equally distributed due to custodians discoordination sending files.

What we can improve:
- Create a query list, shared with Corporate Customer Service (CCS) in order to track and optimize communication for missing valuations or not listed transactions
- Aim to gather more valuations at day 1 every reconciliation period

- Each Quarter we have more cutodians mapped in Access, facilitating and speeding up the recs process.
- Everyone working in the office, no more problems created by the VPN connection.
- Great previous preparation of each own custodians that leave us in a good position for the Quarterly Recs Process.
- The implementation of the Tracker to check the reason of the discrepancies for the first 2 months of the Quarter.
- Thursday's pizza dinner.

What doesn't work well:
- Late and not organised responses from CCS and some Custodians.
- Pineapple in the pizza

- Prepare a training to understand the errors when there are problems to upload the files.
- Previously confirm with Data Management that the Tokens should be in the office the first days of the Quarter Recs.

- Team effort and predisposition to help other colleagues.
- Good preparation for the quarter including Datavision and transfers.
- New tool provided by Lucas/Jokin with comments from the months before Q3.

- I couldn't find any problem.

What we can improve:
- Try to do the reconciliations in less time (no idea what to put… just improvised).

- Good coordination and communication with the team.
- The prior preparation of each custodian made reconciliations easier and faster.
-The implementation of the new Discrepancy Tracker, for the first 2 months of the quarter, was really useful.
What doesn't work well:
- Some online portals had delays in provide the information to download.
- Late responses from CCS and Custodians.
What can we improve:
- Next quarter we will be able to add, remove or modify Data Vision content, avoiding delays.
- Create a file to track and double check transfers in progress.

- UI Macro could let us know when we have a missing policy or account, if it is possible.

- Macros (both UPE and UI without problems)
- Access to EFG Portal (essential to start reconciliations immediately)

What do not work well:
- Files from some Custodians haven’t been sent in the correct format, which has caused delays to proceed with the recs. Many emails sent to the Custodians as a reminder.

What we can improve:
- Communication with CCS (even if they replied on time, we can ask them to be more accurate in their answers providing not only the variation cause, but also figures and dates)
- Create a standard process for the transfers to make them easier to track

What worked well?

Communication within team (Jabber) and Utmost positively.
Responses from CCS team regarding tolerance etc.
Tracker well-organised and good data checks on Rec test tool.

What did not?

Handover of custodian process was not clear. Led to unrealistic targets during quarter.
Large file like Intesa took too long to reconcile and discrepancy between PDF and Excel versions.
Morgan Stanley – custodian files received from different sources.
Lack of pizza in the Navan office.

What to improve

More automated (Access) files would improve and speed up the process. Morgan Stanley is too manual.
Reduce the amount of tracker manual updates if possible.

What worked well?
- Good communication between the teams.
- Less tracker issues with everyone working in the office.
- Pre-quarter end prep worked well with Datavision updates.

What didn't work well:
- Policy missing on Corner Bank led to delays. Previously they confirmed policy would be on datafeed- managed to get PDF in the end.
- New accrued interest error on rec tool led to delays as JP had to check a few banks for me before uploading to DV.
- One of my new banks was very manual (Ifigest). Nello has added to access macro now so should speed this bank up for next quarter.

What we can improve:
- Automate as many files on access macro to speed up process- Nello has added Ifigest which was very manual file.

- the reassignment for the big entities
- Access Database with more entities mapped
- tool for checking the comments added in the monthly

- Apex policy with no access to the asset breakdown

What we can improve:
- more frequent reconciliation for helping the CDR enrichment.

- Still some adjustments to perform on the custodians assignment.

What works well:
- The preparation and the support from the colleagues helped me a lot to be as much efficient possible for this quarter.
- Doing the quarterly rec during the month of December helped me a lot to be aware for most of the discrepancies (thanks for the suggestion guys).

- Tracker's efficiency.
What do not work well:
- Two new accounts not included in the source file (Quintet), pdf statements provided and included manually to the source.
- Brooks McDonald UI: I wasn’t able to complete the quarterly rec because they sent an SFTP file with much delay and most of the other policies were already valuated.

- A couple of custodians changed the source file and I needed to modify it to make Access works (not big issue).

- Banco Comino: we weren’t able to access to the portal for 4 days (website in maintenance).
What we can improve:
- Improve the effectiveness between the custodians and CCS and us. Maybe when there are “big changes” we could be also included in CC, instead to wait that CCS take action.

- Try to ask to the custodians to avoid to change the layouts of the source files, avoiding manual changes

- Once again, communication between our team and monthly comments makes more easy to understand the bigger picture of quarterly changes.

- Reorganization of custodians equilibrated workload through the quarter. (Added on tracker)

What do not work well:
= Banca Albertini: Didn't provide derivative's positions correctly but didn't had a big impact on total valuation. Also, one account needs to be mapped on Access.

-Banque Profil: Discrepancies between the CSV and PDF

= UI Macro didn't recognized policies for Quartet, Kleinwort and Fusion.

= HSBC Suisse portal changed.

What can we improve
- Communication with CCS improved in time but for some policies was not accurate. Its better to take more time and be sure.
- Median check on UI Macro
- Accuracy on comments and movements; median check on UI, new asset tool should give us more capacity to check.

- Chocolate quantity and quality decreased with Nelo's absence.

What works well:
- The willingness and availability of team members to give a helping hand when I required assistance with one of my custodian files.

- In the preparation for the Q4 it helped to have the updated Quarterly Tool with the valuations from the 30/09 and the new policies added.

- To have the Master Tracker ready early in day 1 to start with the Recs as soon as possible.

- In my case, this quarter the answers from CCS were fast and accurate. To have had an email template to ask the discrepancies has helped.

What doesn't work well:
- Banco Inversis: we've trying to close the correct valuation of an asset for more than 1 month. In spite of our efforts to close the value before Q4, we received the confirmation too late, on day 5. We had already made an assumption.

- Ascentric: after being some days chasing for the files, we received the files very late on day 7. In addition, we received the policy valuation individually, so we had to create the Standard Format manually.

What can be improved:
- Abacus to be updated more often with the Top-Up and Surrenders date and values. It would help to save time by not having to ask CCS and wait for their answer.

More reports running through Access (thanks Nello).
Prep done on December monthlies helped with yearend valuations.

What do not work well:

Format of some custodian files, Morgan Stanley and CA Indo had some bad data so Access files had lots of blanks, some manual changes needed.
Master tracker kept crashing and we had to repeat our completion of figures etc.
Some CIC codes for ISINs were not picked up correctly so that delayed us, how did this happened and how do we spot this before upload?

What we can improve:

Further improvements on some access files, especially Morgan Stanley smith as they mostly provide Cusips.
Master tracker to move to Datavision so it’s not a huge shared file.
CCS to give more accurate descriptions of surrenders etc., Abacus needs to be updated.

- Q3_VS_30.11 Tracker was very helpful
- Big day 1 files were assigned out more evenly
- Prep work completed in Dec

What do not work well:
- Custodian completeness and Master Tracker files corrupting
- Corner transfer issues; didn't receive 3 policies that were transferring to Corner; temporary portal login was blocked so unable to download (ticket logged with IT for this); CCS portal only had PDF valuations for day before; Corner sent PDF by email in the end
- PKB policy missing on file; was due to change of strategy
- Delay in receipt of BPI and Stato files
- Partners excluded 900K from one fund which caused delay
- CDR issue with incorrect CIC codes assigned to a number of securities
- Ifigest accrued interest error; incorrect price provided and accrued interest was 56% of PAR amount; queried this with Ifigest and awaiting response
- Forgot to check Level 3 asset file for Goldman and had to unwind uploaded file from DV
- Stato liquidation of complex asset; complex asset should have transferred to another complex asset plus a listed equity. Equity was not included on Stato file and wasn't settled prior to 31/12. Had to manually add to file with details provided by Marek

What we can improve:
- Custodian completeness and Master tracker to move onto DV (this may be in progress already)
- Can we add an additional column on Custodian Completeness tracker as a reminder to to check Level 3 and complex asset files (maybe around master tracker updated column)

CDR wrongly mapped. To discuss with Rachel new CDR mapping methodology with new Morning Star functionality in DV

We had solvency II values adjusted on the rec tool, macro was not rerun, causing discrepancies between DV and Trackers.

CCS feedback of poor quality. We might want to reintroduce the prep meetings with CCS before querter end. (Nicola and Corrando)

Apex policies. We need to find a solution for the apex direct investments.

-Day one the Bloomberg look up should be blank
-all the comments in MT even if the tolerance is passed
-4eye for UI not at policy level
- communication split between Teams and Jabber
-Ex Aviva Lack of Control for policy value
- Ticket sent from Mailboxes we have lack of control

What we can improve:
- once the file passed on Access leave open the CIC enrichment to avoid to reopen
-many ISINs in the Bloomberg look up where not in CDR
-use a name convention for the rec tool file completed
-JP suggestion to avoid to change the final status for the file upload
- in case of a missing policy to upload in a second version, send an email for the 4eye request
- have an UPE formula to get the FX for the quarter
-4eye check to be updated with the maturity date on cash account, otherwise DV will consider a Deposit.

Fideuram - Surrender Death Claim policies - we need to start sending a query to the fees team for any policies we see as surr or DC as there may be money sitting in the collection account which will need to be added to policy value before loading to Abacus so fees are charged correctly.

- Implement PDF to Excel converter, to speed up the copy-paste process as long as it is possible. It worked really well for me and it can be useful for somebody else to improve its own holdings.

- Map in Access the remaining custodians with manual holdings file.

- many top up not showed in the system, many email sent to ccs to ask for confirmation
- the investment value for a Quilvest Policy was reported as 7M instead of 25M

What we can improve:
- Before the end of the month ccs could dedicate some days to make sure to don’t miss any Top Up/Surrender

- Create before the second part of the quarterly macro tool a button (procedure) that automate the updates on master tracker (UPE)

Create inside the Quarterly Macro Tool a tab that replies all the field that must be filled inside the custodian completeness with the possibility to do all changes directly from the Rec file.

- The Master Tracker Prep emails help to identify new business and to maintain DataVision updated.
- Great communication between team members closing Policy Transfers.
- Market Movement Tool has been very helpful to identify Top-Up, Surrenders and Market Movements, particularly this quarter that Abacus was not well updated.
- Ascentric delivery delay is solved, file recieved on Day 1.
- The Level 3 reminder in the Completeness Tracker.

What do not work well:
- Fake Total Surrenders: some accounts that were closed during the quarter because they didn't report any money and were "Pending for Surrender" in Apache. In Quarterly Rec, they report an small value. Therefore, DataVision and the MasterTracker had to be updated.
- Abacus out-of-date and late answers from CCS. It's faster to contact directly with the Custodian to solve a discrepancy issue.

What we can improve:
- Keep Abacus updated before the Quarter

-Monthly reconciliations and checks before quarter help us to understand almost all movements before the quarter-end reconciliation period.

- Development of tools to speed market movement checks.

What do not work well:

- Abacus late update makes almost mandatory to query transactions via email delaying the files completion.

- Custodian specific issues.

What we can improve:

- Information sharing between CCS and the team. Could be interesting to prepare a report with all transactions from the last month which would speed the reconciliations but mainly will reduce to ask questions that we could be having the answer to.

- All ICT tools (Access, Market movement and Q4_VS_28.02 Tracker)
- UI and UPE checks on respective master trackers let us identify new business and surrenders.

What do not work well:
-Communication to improve. New transfers not communicated between members of the team before the quarter.
- Information in Quarter folders was not organized. (Too many source files, rec tools and holdings).
- Wrong format of the comments of the MT when we do not have values.
- Internet connection was not working properly in the first days.

- CCS providing wrong information or creating more confusion with their answers.

- Abacus was not updated with the latest movements of the policies.

What we can improve:
- We need a DV standard process of when to close an account from UPE or UI. Members of ICT Dublin are working on it for next quarter.

- Try to get more information from Custodians portals to avoid querying CCS.

Too much manual changes after access, solvency calculation (99 for UBS, Morgan Stanley) and multi price issues.
Some delays with custodian files and different format, i.e. Banco Invest.
SFTP issues for Credit Agricole Luxembourg – 52682, file received by email instead.

What we can improve:

Removal of manual updates on Master Tracker, Vlookups etc. Can the policy values be automated after running the Rec, 2nd part.
Access to correct solvency amount errors, can this be an automatic fix?

- Royal Bank of Canada: the Macro have considered some negative cash as positive

- BPP: wrong negative interest reported for cash (6%)

- Update access with the new source file provided by the custodian

- Preparation for my first quarter, most of the transfers, new policies and discrepancies were already identified from previous weeks.

What do not work well:
- Bloomberg not working on day 1.
- Abacus issues on day 1.
- Custodian completeness and MT issues on first business days.
- Delays with CCS in answers (a couple of days/follows-up for Andorra Banc's initial query, which takes a few minutes to get the answer once Nello did the follow-up).
- Some valuations for Andorra Banc's assets were wrongly reported as GBP when they really were cents of pounds, which meant discrepancies around 60%.
- Banc transfer of policy 67100300 from Banco Bilbao to Caixa Bank Luxembourg previously identified, but still, full valuation received both in Banco Bilbao and Caixa Luxembourg Q3 sources. Manually deleting it from Banco Bilbao Source

What we can improve:

Possible check of cash names, some may be derivatives as discovered on the S.0602. Example ‘Sale EUR/USD at 1.18691 No. 881033 from 02.09.2021 until 07.03.2022 Fwd price today: 1.16249’ classified as CIC 7.
To have less reliance on custodian portals for data, I.e. for CA Indosuez (Switzerland) SA we need to log in on day one for all detailed holdings. It would be best to push custodian to send via SFTP

- CC tracker not updated when files recievd or with comments if issues or delays

- Accounts not open or closed in datavision

Everybody helping with the errors and issues that came and were new.

What do not work well:

Custodian Completeness Tracker. Difficult keep tracker updated as it broke quite a few times.
Bank Vontobel - Missing policies in the source file. Had to create different versions for same custodian multiple times. Also, got a separate file for 1 policy and account for which we had to create holding file manually.
Multiprice issue due missing policies.
Collection account list not updated.
Banque de Patrimonies - Source file for in wrong format
Union Bancaire SA - London Branch - File to be created from PDF as it was a new entity. Need to set up a process to retrieve the source file in a specific excel file format. Tried dropping couple of emails to the custodian but no response yet.

What we can improve:

Checking status for policies with data management team. They are usually sending screenshots of Apache which can be accessed on our level itself.
We can create a common error file where everybody can enter the details of the error or issues they faced while running the rec for their custodian and feels same could happen with other custodians too. Anyone, who have issue can just go through that once before waiting for someone else to tell the solution while we are stuck on same problem.

- DEUTSCHE BANK. 2 accounts added in Abacus by ccs on the 8th of April, due new strategy. Manual changes were necessary for proper fees calculation. DV not affected.

- Killik (UPE) Client ID 59166 changed
manually. This Quarter they will have separated Client IDs (UI 70022), but from next Quarter, both will be the one in Abacus, which is 59166

- Bank J Safra Sarasin: Sources files not recognized by Access (Microsoft Access was unable to export the data). Nicola helped to get the Holding File.

In the last few quarter the amount of overtime required in the first 5 reporting days has reduced significantly. Less pressure during QE, Happy Emails (only ICT) and WFH option, I believe have significatly improved the work/life balance in the department if compared to where we were last year.

Not worked well:
UPE MT mysteriously deleting columns (twice)
CCS messed up with re-writing policies causing a discrepancy on the Live policy list.
Transfers/change of bank with duplicate assets.

Didn't work well:

Rollback miscommunication. Not all relevant team members were included in key email threads, which led to confusion and delays. (People need to be include: Andres Perez, Ray Chen, Jihoon Lee, Tomi, Seb, Nello, Zoltan)
Change of bank cases were not investigated properly since mid-July, and not everybody was informed(Aug recs)

Room of improvement:

Market movement investigation files should be saved always into the investigation folder.
Rollback-triggering assets could potentially be integrated into the prep tool to enable proactive handling rather than reactive fixes

Question:

What is the reason when you re-run the rec it takes 2-3x longer than the initial run?
Could we support Tomi with the Abacus upload process? For example:
- Create a V2 of the Rec file for fee upload by excluding Apache policies or even drop the Abacus upload file?
Would it be possible to arrange a brief training session on Apache? It seems our current understanding of the system is quite limited, and there may be functionalities we’re not using simply because we’re unaware of them

Managed to finish within day 5 all my custodians except for one who had not sent PDF evaluations clarifying transfers.

What did not work well:

Working across internal systems based abroad created delays and urgency once back in the office.
Unable to delegate a task to colleagues in the office as felt guilty of burdening the team with something that was supposed to be only mine.
Custodians introduced new templates at the last minute, which disrupted established processes and caused system inconsistencies;
Communication from custodians was often unclear or incomplete, leading to confusion about where certain funds were allocated ( this issue was raised in November);
Unexpected lockouts from portals and unannounced password changes;
A manual holding had to be completed on the last day of recs due to missing or inaccessible information;
Poor communication from custodians and inconsistent information flow contributed to delays and rework.

What Worked Well

Change of Banks were handled much better than last quarter. Going forward, once communication is completed, saving the actual email (not a Teams screenshot) to the quarterly folder would make everyone’s life easier, as your investigation could be already done before the start of the quarter.

Areas for Improvement

Tool Performance: Large files become slow after exporting the 4‑eye report.
Examples: 60005 Brewin takes 7 minutes, EFG takes 10+ minutes. Therefore large files needed to be force closed and dropped DV upload file separately.
Tool: In the Rec file, under the Holding tab, the formula picks up a location path that needs to be removed before the 4‑eye check (I noticed this with all of Darragh’s files).
4‑Eye Checks: We need to establish a defined set of steps to include in our checks and improve the process so errors are caught immediately.
(I will take ownership of creating a guide for this.)
V2 Files – Missing Policy: We should agree on a consistent approach, as some people update the MT with zeros while others don’t, and comments are inconsistent.
Suggested approach: leave values blank and only update the comment field.

What to improve :

Rollbacks -
Why do we get emails about repricing in the same file so many times? E.g. I have been in the middle of rolling back file and receiving more emails about that same file - At this point why don't we wait until the whole file / all the ISINs are checked.
So much unnecessary movements.
I know reporting check prices by ISINs rather than portfolios - but maybe there is an additional check they can implement for the affected portfolios, as to not send out emails before custodian is fully checked.

Communication with CCS/NB regarding Abacus Set Up - In my case it was till day before the Q that I tried to get them to implement the changes that should have been there from the start.
