A collection of notes and thoughts from our first preproduction session for video project.

Title- Cloths of Heaven

Themes- Bereavement, Loneliness, Spirituality, Friendship

Influences- Paris Texas, Wings of Desire

Visual Techniques- Ariel shots (using drone), Split dioptre- excited to see this in action as I have always loved the effect they give but never seen one in action

Locations- Doctors, house, beach, university, park, tarot card reading stall

First concern is that due to bank holidays we will lose two days of production 1 in production one during post production. I'm sure there is something we will be able to do with this time, it is just inconvenient lose it when the turn around for the project already feels so tight. Khieng seems to have a vision for the project should hopefully make it easy for all departments to collaborate with him and bring their ideas to the table to.

Second concern is the drone shots in terms of getting permission to film with it in the locations we will want to use and getting either Matt, Freya or both the license to use it. All these problems can be easily solved just something to keep in mind as production moves forward.

Third concern is a few of the locations beach may be hard to get permission to film at but we have time to look at a few options so it should be ok. We also need to capture a sunset which will be tricky as it is highly weather dependant and even if the weather does go our way we will have to make very quickly to get what we need in the time we'll have. Patrick's house may also be tricky if no one has a house that is appropriate we may have to use an air bnb which would not only be expensive but also leave us with only one day to get what we from the location or we would have to pay again. However we have plenty of time to figure all these problems out and I trust the locations department.

Job for next week meet with Ella to break down the script and get it sent off to people so they can start to add what else we need that isn't specified in the script.

I'm excited if not a little nervous to have the opportunity to be AD. I feel like over the course of university I've been building up the necessary skills such as time keeping, problem solving and leadership it's now just about putting them into practice in a more professional environment. As we are still so early in preproduction there are obviously more questions than answers in terms of the logistics of everything but these problems and concerns should be alleviated as production starts to move forward. Overall I'm looking forward to the coming weeks and getting a chance to push my abilities.

Me and Ella met up ahead of the second session and broke down the script so that every department would know what was required of them. Most of it shouldn't pose too many problems and all set, props and costume should be reasonably easy to source. The only problem may be locations but I have already been thinking about this and will make sure to speak to locations on Friday to see what they are thinking and discuss if any potential changes need to be made. I tried to make a start on the actual breakdown sheets but decided to wait till I had people's responses to our message in the teams chat in terms of what they need that isn't specified in the script, that way I can put down everything we need in one go rather than doing half a job.

Session 2- Casting

Spoke to locations first thing, they are thinking of using the podiatry clinic in Allerton as the doctor's surgery which will work well but can only be used on Mondays or Tuesdays. In some ways that is good as it gives us a locked in day on the schedule that we can start to build the other days around. We could do the podiatry clinic on the first Tuesday in the morning and then head to the beach and get the sunset shots in the evening. However, we may want to allocate a whole day to the beach shoot and there's no guarantees that the weather will go our way on that first Tuesday so we would have to have another scene that could take its place. They are also thinking of using an air bnb but I think this may put too many constraints on our time and budget. Me and Ella will have to discuss these problems more over the coming week. Have also asked location to try and get Peel Park for the whole two week period so we have the flexibility to put it those scenes where they fit depending on the weather. Producers suggested using the first bank holiday Monday as a tech run, I think this a great idea gives us all an opportunity to meet up and make sure everything is ready to go before we start shooting on the Tuesday. Gives us time to be as prepared as possible before shooting goes forward.

Casting- This week was a nice chance to get to see some of the cast and crew at work for the first time in an environment where there wasn't too much pressure unlike production. The limited time frame we had to cast everyone and return the equipment gave me a practice run of the kind of time keeping skills I will need to keep us running on schedule during production. I feel like they could definitely do with some work, obviously there wasn't the same kind of time pressure that will be present on set but I still feel like we could have moved through the auditions more efficiently while giving everyone an equal amount of time. Perhaps me and Ella should've discussed making a casting schedule wit Khieng so everyone would've gotten an equal amount of time and we could more easily keep track of who had done what scenes. I could feel the short amount of time we had slipping away from us and obviously when there is no plan to stick to that feeling is only increased. It felt like we had to rush slightly towards the end to make sure everyone had a chance to go up with time for the equipment to be returned. That being said I think everyone did a great job in their auditions and gave us plenty to work with in order to make the appropriate choices for casting. I think we all had a similar consensus on who suited which role best, which made the decision making process easy. Feel like I've become more fully aware of hoe on top of the time I'm going to have to be during production but this will be much easy when there is a schedule to try and stick to.

Jobs for next week- attend location recce to get a sense of some of the space we may be working with, stay in contact with location to see if there's any updates on the dates we will have our locations so we can start schedules, chase up all departments on updates for breakdowns.

We really need a full list of what every department needs not only so we can get these sheets done but also so every department has a good amount of time to source what they need for shooting otherwise we may not have everything we need. One of us will have to put a message in the teams chat and remind everyone to fill in the form we sent around, we may also have to chase people up on Friday.

Locations discussed potentially using the screen acting studio as Patrick's house however, I feel this space is quite small and limiting for lighting, camera and set design. I also feel that it would be very difficult to make it look real and not like a set which would really make it stand out compared to the rest of the film. It was suggested that we could use a lecture theatre maybe in the Chapman. This would work really well from mine and Ella's perspective as we have are already trying to get permission to film in the Chapman for both the corridor and cafeteria scenes. This would make scheduling convenient as we would be able to get multiple scenes out of the same location and wouldn't have to plan as much for packing away and moving locations within the space of the same day.

I attended a location recce today I feel like it was really useful for me to have gone along for a few reasons. I got to see a few of the spaces locations were thinking of using such as the Chapman building and a few areas in Peel Park this meant I could account for potential problems these locations may pose on a shoot day. Camera and lighting didn't seem happy with the space and control over the lighting in the Chapman toilets. Someone also pointed out we probably won't be able to get permission to film, as they are the only toilets in the building and we wouldn't be able to block off other people's access to them. However, it may be a good idea to move the toilet scene into the corridor and have Phoebe bump into Lisa and Patrick from there. The corridor has a good space to film and gives lot's pf nice natural lighting from the windows.

We also looked at a few locations in Peel Park. We decided it would be best to put Athena's stall near the flower garden. Not only will this area look good on camera but it has flat ground to put down the stall and never gets to busy or loud like the rest of the park. For health and safety and blocking reasons we have decided that the actors will sit at the base of the tree rather than in its branches. I'm glad I went along to the location reccces as I feel it's left me with a better understanding of some of the spaces we will be using and it will now be easier to make the schedule.

Mostly a lot of problem solving and trying to stay on top of every department ahead of next week because next week is our assessment so we won't be able to go through things in quite the same way. Chased up locations on where they are thinking of using and when they will be able to get access to them. So far they have look at the library, Chapman, Peel Park and Podiatry clinic. I'm happy with all of these locations it's just a matter of making a schedule that fits with when we are able to get access to them for. Once we start hearing back some dates this will be much easier. For now we are planning on making an ideal schedule which we will then change based on the realities of when we get each location for.

We went around every other department and gave them a to do list for next week so everything is as prepared as it can be before we go into the holidays. The weather is a concern at the minute as there are very few days that are set to be sunny and we need at least three days of sun in order to get all our outdoor shooting finished. However, we are still very far out for shooting so the weather will change all we can do right now is plan as best we can with what we have. I feel the four of us are working well as producers and AD's to problem solve as well as future plan

Overall I'm not feeling to do bad there a just one or two things that need to come together a bit more before we can really plan the schedule properly.

Jobs for next week- stay on top of every departments to do list, stay in contact with locations for dates we will have access to locations, attend camera meeting, get started on schedule

Locations are struggling to get access to a lecture theatre so we have decided to change it to the Allerton classroom we have been using. This works really well as it is a location we have consistent access to over production this means any time the weather isn't on our side for a Peel Park we have the flexibility to change it to an Allerton day instead. This is really helpful as it gives our schedule some much needed wiggle room. Still waiting to hear back from the beach but of we hear nothing we will have to just shoot there anyway. We also don't want to get locked into having permission for a certain day as it might not have the right weather but we will have to keep an eye on that as we get closer to production.

Attended a meeting with camera today, which has left me feeling better about scheduling in terms of how much time to give set ups between shots and the initial setting up of equipment at the start of shoot days. I have been talking to camera to try and get a sense of how much time they feel comfortable having for each shot. After looking at the shot list I was concerned about the amount of shots we seemed to have in each scene and the amount of different set ups that may be needed to achieve all if those shots. A lot of those worries were alleviated after seeing the camera and lenses we'll be using. The animorphic along with dioptres are a very versatile combination meaning anything up to a wide shot won't require a lens change and will mean we will pretty much be able to set up the camera once at the start of each day and we'll be ready. Freya and Matt got an opportunity to set up the camera and for a first attempt it really didn't take too long and I'm fully confident in their ability to be able to quickly and easily set up everything at the start of each day. Being able to connect to the monitor through your phone is also very useful as it means that no matter where we are on set me and Ella will be able to have a good sense of what is going on and how ready we are for a shot. We will also have Khieng's camera that we will be able to use for gimble shots this will make set ups even more efficient. I now feel fully confident to be able to start creating the schedule with Ella as I have a much better sense of each shot is going to be set up and how long each shot should take.

We just need to see how long it takes to set and how easy it is to set up so we don't waste time with it on shooting day because that would be a needless loss of time. Other than that potential issue it's great, we could potentially use light stands and fabric if we can't get access to it but I feel this really wouldn't have the same effect and the gazebo is definitely worth the time and the effort of setting up.

Allergy and comfort form has been sent around and filled in by everyone. Matt told me that some test looks were practiced on a few of the actors which is good for giving me and Ella a sense of how long it will take to get the actors ready at the start of shooting. Pieces now feel like they have fallen into place a bit more for me and Ella to make good accurate schedule. Just need to here back from a few locations so we know exactly how long we'll have access to them for but for now we will make a schedule and we can always change it later

Met with camera today to talk about how they are getting on. They've been practicing and getting familiar with lots of equipment which is good because it gives us lots of options when it comes to set up. However, it does feel like we may be using an awful lot of different equipment which may over complicate the amount of set ups we have. Hopefully the meeting with Khieng will help clear up any confusion any of us have and we will all have a better sense of the way we will achieve each shot. I have full faith in Matt and Freya in the technical abilities of the camera department to achieve everything we need to get for the film. It will just be nice when me and Ella have a clear sense of how we will achieve everything so we can make a feasible schedule.

Weekly Schedule - WIP

Me and Ella got together to get a bit of a workable schedule together. It's based on what the weather is supposed to be like in the coming weeks and when we would ideally be able to get the location so it's subject to change. Day one would start with the podiatry clinic and then the staff kitchen as we feel these are two easy and small scenes to get out of the way they also give us a fixed amount of time before we have to leave which will be good practice on the first day not only for our time keep skills but the crew's ability to be able to get whet they need to efficiently. The library scene could also be moved and replaced with some classroom scenes of needed. The second day is supposed to have good weather so it would be an ideal day to get Athena's stall out of the way we have planned on giving a whole day to scenes 10, 11 as there are quite a lot of shots and important pieces of dialogue that we want to give the appropriate amount of time. We have given two hours for set up as we will need to set up the gazebo and it will be our first time there is also quite a lot of set dressing that will need to be prepared so we want to give ample time for that. The weather isn't supposed to be good on the 24th so we have schedule the scenes in Chapman corridor but we may not get permission to use it on this day so it may need to be swapped out for a day where we get some classroom scenes, we will have to wait and see. Friday is scheduled to be a shorter day of shooting we just need to get scene 6 which will require setting up Athena's stall again this should be easier the 2nd time around. We have also given ourselves time to get any shots from scenes 10, 11 but if we manage to get everything the first time around it would give us time to move on to getting more scenes on Friday. The 28th is supposed to be the best day of weather so we have put the beach day there it also means that the crew will have a week of filming behind them so we should have some cohesion as a crew by that point which will make the beach day easier. We have given a whole day to the beach shoot as there will be a very tight turn around on a lot of the shot and we want plenty of time to block and rehearse the shits we need. Hopefully we will also be able to be adaptable on the day and the first week of shooting will have helped me and Ella get our feet under us a bit in terms of being ADs. The weather is supposed to continue to be good so we have put scenes 7 and 8 on the 29th that should be all our outdoor shooting done by that point which is good as it should leave us some space for re shoots if any of it does go wrong on any given day. We have put Chapman cafeteria on the Wednesday again this is subject to change based on when we actually get permission to film in Chapman but we only need it for two days so it should be pretty easy to move the schedule around now that we have it all together. We may also use this day to go and get some more shots at the beach if it doesn't go our way on Monday but this wouldn't be ideal as it would put a lot of pressure on us finishing the Chapman scenes in time but that is a problem we will have to adapt to if it comes up. We have left all the scenes in Patrick's classroom till the end of shooting because in terms of planning these are the easiest and most flexible scenes we have. We have guaranteed access to this location when ever we need it so we have the ability to put these scenes more or less where ever we need them to be in the week but all going well they will be a reasonably easy and relaxed way to wrap the shoot. As i have said I fully expect that this schedule will change in both pre production and as different challenges arise in production but I feel there is a good amount of flexibility in this schedule for it to be changed and I know me and Ella will be able to make the right calls for the shoot.

Finally managed to get breakdowns completed couldn't keep waiting around on departments like costume to get back to me with a full scene by scene list of what they would need so I just had to do it to the best of my ability. I based this on what Khieng had put in the prop and equipment list and what little costume had given us to go on from their notes. I don't think it had a massive impact on the quality of the breakdowns but it I would definitely feel more confident if I had the sense that every department was ready for shooting especially considering pre-production is so close to being over. I'm sure it will all come together just hope everyone is prepared by the time shooting comes along so it doesn't impact the days we will be able to shoot certain scenes because we don't have what we need or wastes our time on a shooting day because we need to grab something we need. Overall the breakdowns are about as detailed as they can be this should be everything we need to shoot just need to get on top of costume and make sure everything that is on the breakdown is correct and they are starting to source everything they need.

Went to the library with Ethan as he hasn't heard back from them yet, we were told we wouldn't be able to use it. This means Ethan will have to look for a location over the holidays which might not leave us with enough time to get access to a location for the first day of shooting so it might have to be pushed back to later in the week but that shouldn't be too hard. Just need to get access to a locations it's a bit late to change anything in the script now and it doesn't feel necessary. Locations have been great for finding suitable locations within the time frame they have been given so I have no worries bout their ability to find somewhere. I know they are waiting to here back from a few other so hopefully one of them comes through.

Met up with Ella and got all the day by day schedules together. We have given our best estimates on timings and shooting order but Ella is going to go through them with Freya and change them where needed so it works for camera so shooting can go as smoothly as possible. Ethan finally heard back from the Chapman we can get it for the 24, 25th but they said the 23rd will be quieter so we have moved the Chapman scenes to the 23rd and 24th. This means most of our indoor shooting bar a few scenes in Patrick's classroom will be completed in the first week. This is ideal because the weather in week 2 is supposed to be much more dry and clear. We have had to change day one slightly due to access to locations and the amount of time we will have them for. We could only get the podiatry clinic for the 2nd week so we have put that on the 2nd Tuesday and left the Monday for the beach (this is weather dependent). This means that the first day will be scenes 12,17 followed by the SU staff kitchen which we can only use from 2-4 and the space poses a few problems as it is small and there is a pillar right in the middle of the room. We will just have to work with the space and adapt on the day. We have managed to keep the final Friday clear for re-shoots so if we really need to we can see about getting another location lined up. I think all our days are well balanced and we have paired together scenes in a way that makes sense and will be efficient to shoot. We have tried to be generous with timings for each shot to give everyone the time they need it also should give us breathing room day by day to give more time to shots that take longer than expected because we will get through some quicker than planned. Ella's meeting with Freya should clear this up even more. I'm happy with this schedule and I think me an Ella will be able to use it as a great basis to be adaptable on our shooting days.

Completed call sheets some of these are likely to change as production moves forward but it's just good to have them ready to be adjusted. Tried to keep the amount of time everyone got in their role as balanced as possible. For example we have Sophie in for costume more days than Kim and Scarlett because she will only get to be an actor for one day whereas Kim and Scarlett will get multiple days on set as PA. We have also worked around everyone's availability to make sure when they can't be in someone else is taking their role while still giving them a balanced amount of days.

Day One- Reflection

Overall I feel today went well there we issues but I feel like me and Ella as well as the rest if the crew adapted well to them. First mistake I feel like I made was keeping people longer than necessary. Sophie only needed to hand the costume over but ended up staying all day. Going forward we need to make sure to send people home as and when they are needed. We also could've utilized our PA's more, Kim ended up just sat with the equipment in the Allerton while I made sure no one was leaving the other classroom. This was a job I could've delegated to Kim while I made sure no issues were arising with the shoot. Felt like the crew was happy to crack on with their roles which made mine and Ella's life easier as it meant we didn't have to be on their backs all the time and could focus on getting what we needed to get. We had to make slight adjustments to the schedule as we lost and gained time as shots went along but it was just a matter of adapting to the time we had for each shot and pushing for time if it felt like we were losing it. There was a point where tracks were added to a few shots which initially ate into our time slightly, but in the end it was worth taking that extra time for that set up as it made moving between the rest of the shots much more efficient. The afternoon was slightly more difficult than the morning. the 2nd location just didn't have the kind of space we needed so many of the shots had to be rethought. We also only had 2 hours to film there so there was an added time pressure. We were supposed to start shooting but me and Ella both knew that that wouldn't be realistic so we adjusted the schedule and make Khieng, Matt and Freya 50 minutes to block shots and figure out what they could do with the space. This was the right call because this time meant that we could then get everything we needed within the next hour. While the shots in the Kitchen weren't exactly what anyone had planned for I think we did well with the space we had and the time we had to get these shots. Ella is great to make with we are both level headed, realistic and balance each others idea well. I feel like we are only going to get better at adapting to upcoming challenges.

A few bits of confusion in terms of the buildings people had to meet at this morning. We'll have to send a message around asking everyone to make sure they check the call sheet to avoid this being a problem in the future. Had to push shooting back an hour because Matt hadn't been informed of the right costume to wear so had to pick it. We also wanted to give Ethan some time to try and secure a toilet for us to film in. Even though this wasn't ideal me and Ella managed to tighten up the schedule slightly to be able to get what we needed in the time we had. We decided that if we did get the toilet location it we would either see if people were happy to stay slightly longer than planned and het it done today or we would do scene 4 tomorrow as it is supposed to be a shorter day. The extra hour also gave Matt, Freya and Khieng time to block shots which made shooting smoother. We realized that with the schedule that had been made we had tracking shots before the break then one after it so we pushed this shot back before the break to make setting up and packing away easier. We did run over schedule by half an hour in the Chapman. Despite the fact that we had the location again tomorrow we felt it was worth finishing scene five there and then since people were already staying later and there was only 2 shots left to get. Shooting of scene 4 went fine. It was a pretty cramped space and we didn't have much time to get what we needed but we managed to get footage even if it might not be exactly perfect. This is the kind of thing we have the time to reshoot if needs be anyway. We also much better about sending people home when they were no longer needed today.

Today went smoothly, not that days one or two went badly just feels like we've found our feet. Managed to start shooting right on time and move through our first few shots a a good pace. This gave camera some time to practice a shot a pretty technical shot that require good tracking and focus pulling. Even though we had to move on before they could quite get it, it was nice to be able to allocate the time to something like that rather than constantly having to push forward. Generally we managed to stick to schedule all day. We slightly reordered a few shots such as 9.2 and 9.9 but that's just because it feels like we have both gotten better at adjusting the schedule in the moment to make it as efficient as it can be. There were a few shots after the break that Khieng wanted to add and change but again we managed to give ourselves the time to do those new/ different shots and still wrap on time.

We had a look at a few from New Adelphi but they seem a bit big for both the gazebo and the amount of set dressing we have. Ella said she may be able to get one from SU and that would work perfectly. Khieng also has a few stools we can use so I don't see this being a big problem just something we need sorted by tomorrow so everything can go how it should.

Giving ourselves till 10 to start shooting was the right call. Setting up the gazebo and set dressing it appropriately took some time and giving ourselves that extra hour meant we weren't rushing or starting the day behind schedule. The sun didn't stay put all day which may cause some inconsistencies in continuity but the weather is beyond our control, it stayed clear and the wind wasn't too much of an issue so that is good. Towards the end of the day as we were getting close ups we realized that a section of Athena's dialogue had been missed. We were filming close up shots where it was appropriate for this piece of dialogue to be said so we were able to fix that problem. I just hope it doesn't look out of place. Glad that Callum got the lav mics out allowed us to avoid any potential issue with sound that could've impacted our shooting. We decided to move the drone shots from the start of the day to end of the day. This allowed us to push through the easier shots earlier in the day and make up some time for ourselves so we could spend more time on the drone shots as we knew that they could potentially take longer than expected. Khieng said it might be easier to get the shots of Matt on the tracks rather than the tripod as we would be able to move between shot sizes more easily. This help make those last few shots more efficient which did free up some more time for the drone shots. Overall I feel like both me and Ella are doing a good job at keeping production on track it feels like we have managed to stay on top of any potential issues and work through all the shots while keeping good time.

Day got off to a good start managed to set off with good time and make it to the beach earlier than expected. This gave us plenty of time in the morning to get our first few shots. The first few shots went well everyone knows what they're doing at this point and me and Ella have never needed to be on people's backs about them getting on with their job. Towards the end of our break we decided which shots we would prioritize because there was too many shots that needed to be gotten in the sunset especially with the amount of time we had. me and Ella had planned to start shooting at 17:30 but the sun wouldn't be in the right place for at least an hour later than that. We decided that getting scene 3 first still made sense as the sun didn't need to be setting for those shots we would then get any shots from scene 18 that require sfx because they were the most important. Instead of being reliant on the schedule which was now inaccurate me and Ella just tried to allocate 10 minutes for each shot and push for time as much as we could. Given the time constraints I think we did a good job to get everything we needed even if it wasn't everything we wanted. I think perhaps it would've been a good idea to plan a slightly more stripped back shot list that we could've used if time wasn't on our side like it was today. I feel as if there was just more shots to get than time we had to get them. That being said this was always going to be our most difficult day and we still managed to get footage we can work with.

Today went well planned it to be an easy and uncomplicated day and it was. One or two shots got cut or changed from the podiatry clinic, this combined with us working quicker than usual meant we were able to get a head of schedule by an hour. This pace we were moving through shots meant me and Ella we able to have more wiggle room to get shot 2.1 which required tracking and focus pulling but we managed to get that in great time two and stay well ahead of schedule. We only needed three shots in the afternoon and we were far enough ahead of schedule tat we had time to add a master shot and could still finish an hour early.

After we had the Gazebo set up we realized we had made a mistake in the schedule. We had planned to get the Athena shots in the afternoon but we forgot that Ell had to go to work in during that time. It was an easy fix though we just swapped around the morning and afternoon of shooting and adjusted the schedule and timings of shots. From there the morning went well moved through shots without any notable issues. The heat meant that we were having to take breaks to let the camera cool down but we were working quickly enough that it wasn't impacting how long we would take. Even if it was letting the camera not over heat is worth going over schedule a bit. The afternoon didn't go as well. Scene 7 took slightly longer than expected and afterwards we had to give some time for all the equipment to cool down. This was fine, at this point we've gotten used to giving things more time where it's needed and being able to make that time up elsewhere. However, shot 8.1 really knocked us behind it took a while to decided where it was going to be shot from but the path that was chosen just didn't work logistically. It was too busy and people would constantly be walking past interrupting our takes having an even bigger impact on our time. So we decided to move the camera to a more quite path that way we could get on with shots and make up for some of our lost time. We had to be tight with timings and the amount of takes each shot was allowed but this let us get everything we needed while still finishing on time.

A nice easy day to wrap with. Shooting in the Allerton never poses too many problems because it's indoors and it presents virtually no potential external interruptions. We just had to make sure to give people breaks as often as was necessary as the room was very warm. We wrapped production with a day that didn't present too many challenges for me and Ella to deal with which was a great way to wrap. Overall I feel like me and Ella have done a good job at keeping this production on track. I feel like we have been level headed in the way in which we have responded to problems and the ways we have dealt with them. I think we were both approachable and always willing to help where we could and so was the crew. It really felt like basically everyone was really willing to be there and get this done which made both of our lives so much easier because it meant we could be dealing with real problems and not ones posed by the crew. I think the amount of time we allocated to shots and when we asked to move on was always fair and took into consideration not only if we had what we needed but something we were happy with. Ella was also great to work with I think we good a balancing each other out and always having a common sense solution to problems.
