John F&B Executive

Description:

The first opening of the store and cafe resulted in a lot of guests arriving and staff being overly busy. As I am managing the staff and making sure they are doing their absolute best, during this stressful day, I failed to prepare the staff with how they should handle the situation. Customers was left without service and got annoyed with the staff.

Feeling: I was feeling extremely disappointed in the beginning with the staff that they felt overwhelmed and couldn’t resolve the issue for themselves. We were all exited for the opening of the cafe and me personally felt confident with the plan for the day. The difficulty was for the staff to communicate in an early stage, before the situation got out of head. In stead of informing customers straight away that the wait would be a bit long, they later asked me to handle the situation and disappoint the customers even further.

Evaluation: What would be the exiting day at work for us all, quickly turned in to a stressful scene where the mood suddenly changed. What was good about the experience is that I realised on how important it is for us to notify as soon as possible when it starts to get too hectic.

Analysis: This incident is very important to bring up, since it was my fault for not preparing and didn’t really expect it to be as busy as it was. The fault was not the staff, since we are all new to this, I should have seen this coming and informed the staff on how to manage a situation like this. The main focus will now lie on increasing the communication for us to avoid this, I will need to make sure everybody is confident to handle the more stressful days as well.

Conclusion: I discovered that an issue like this one is not to be blamed on the staff, it was my responsibility to ensure that the staff was ready.

Action Plan:

Even if this was related to the store opening, there is hopefully going to be days that will be as busy as this was. Therefore, I have now informed the staff on how to tackle these days and highlighted the importance of being honest and straightforward with both customer and each other. It will not be put to the side next time and leaving customers confused and annoyed, now they are going to be more confident on how to handle this. It takes experience to offer great service to customers, and that takes time. However, I will inform our staff that this is going to be a recurring situation. We are always going to be faced with these days where it gets a bit too busy - for this to be done differently in the future, the staff needs more confidence and greater communication skills with each other and me.

1. Description: For a group project based on opening a new sustainable department store in east London my group (4) and I have experienced some difficulties in regards to communication. At the beginning, we would communicate individually through private messages and when we did our group meetings we understood that our communication was bad because some people did do it on time or both did the same section and this is when we realised we need to improve our communication in order to succeed in this project.

2. Feelings: At the moment I felt a bit overwhelmed and disappointed in all of us to have not communicated right. One of the main elements to making a successful group project is communication and strong leadership.

3. Evaluation: After reflecting the situation we understood we needed to improve our group dynamic in order to work well together. This situation helped us realise that we were lacking in some aspects fairly early on in the project.

4. Conclusions: I learned that when we want to divide work and plan out our section we need to make sure everyone is aware of this so there are no misunderstandings and communication flows well.

5. Action: In order to fix our problems we came to the conclusion that we needed to create a group chat so that we could communicate to each other all together to avoid any confusions. In a group meeting we also distinguished our group leader that is now doing an excellent job at leading the group.

1. Description

Situation: During my presentation last week, covering the promotional campaign for the 15 brands, everything quickly went downhill. I only got halfway through the slides before a discussion started whether this was going in the wrong direction.

Task: The purpose of the presentation was to present a possible outcome of how the marketing plan would pan out.

Action: I got very flustered and froze on spot, I didn’t know how to answer to the co-workers questions. The direction of the presentation got lost and it didn’t go at all like I planned.

Result: The whole presentation ended up being a flop, and since I was not prepared for the questions surrounding the campaign, and the team quickly sensed that I was slightly insecure about my work. We therefore decided on another deadline for the proposal of the marketing campaign giving me time to better my work.

2. Feeling

I felt slightly nervous leading up to my presentation, as I did doubt the direction that I was going in. When it then didn’t go very well during the actual presentation, I felt extremely embarrassed and like a failure.

3. Evaluation

Afterwards, I heard that this happens all the time and I calmed down a bit. On the contrary, my work was still not appreciated and wasn’t received well which is always disappointing.

4. Analysis

When reflecting on the situation, I should have reached out to the team for another opinion. I was a bit unsure about where I was going with the proposal and could have really used someone to discuss with. If I just could have gotten some small feedback, this could have been avoided and my nerves would not have been as bad leading up to the presentation.

5. Conclusion

I do understand that it is normal to have a meeting like this where the ideas just does not work for everyone. Looking back on it now - it feels good that we quickly agreed on postponing and planning another meeting. I am confident that I will always reach out in the future when I’m feeling unsure about my work.

6. Action Plan

For the next time I will make sure to finalise my presentation and run it through with a few co-workers. This will not only improve my work, it will also make me more confident for the actual presentation.

Because of this we ran out of supply faster than we anticipated and the kitchen staff was under immense pressure.

Task - My responsibilities were to manage the team and ensure they had everything to provide customers with excellent food and service.

Action: I was felt overwhelmed and stressed towards the end every passing day as I didn't have an immediate solution to our supply problem. As our ingredients were sourced sustainably and unlike conventional ingredients they take time to source.

Result: As days went by we had to cancel items off our menu as we didn't have the ingredients to make them. Our supply chain was under pressure, customers weren't happy about it as almost half the menu wasn't available due to the unforeseen demand. Quite a few customers walked away as they were unhappy about the situation.

2. Feeling

I felt overwhelmed with everything that was going on.
Scenario 5+6: Buying Executive

Scenario 1 -
1. Description:

On my first week being a buying executive, I was really excited to get to work with everyone in my team and work together to find different brands. However I realised that most people in my team are very unmotivated and it seems like they are not interested in their work at all.

2. Feelings:

I was very upset because it brought my mood and motivation down because no one around me was interested in anything. It made me feel like what I was doing didn’t matter.

3. Evaluation:

I spoke to my team members and expressed my feelings. They all agreed that the workspace wasn’t the best and things needed to change in order to get the best work performance.

4. Conclusions:

We all understood that in order to do the best we can regarding our work, we need to be surrounded by people that are in good spirits, motivated and excited to work. It is also important to have people that are passionate about their work and care about what they are doing.

5. Action:

From now on, we will make sure to have a better attitude when being in the office and lift each other up if it is ever needed rather than being in a workspace that is very unmotivating and careless.

Scenario 2 -
1. Description:

After showing my group the proposal I came up with of the 15 sustainable brands for the store, my group didn’t approve of some of the brands that I had chosen. They thought that they weren’t good enough to be part of the store, even though I thought they were all perfect for Matches Green. This caused a lot of different arguments and tension between all of us and made the workspace uncomfortable.

2. Feelings:

I felt really annoyed since I had worked so hard on picking out 15 brands and spent so much time doing research, and it seemed like everyone just dismissed all the work I had done. I felt unappreciated and angry because no one even bothered to really look at the brands I chose, they took a second and just said no. I know that they all have a lot going on with the store and are all extremely busy and overwhelmed, but I just wish they would have taken a longer look and liked what I chose.

3. Evaluation:

After taking a step back, we all realised that all of our work is equally as important and we need to take time to look at what everyone has done. We all understood that we are all overwhelmed and need to appreciate everyone work.

4. Conclusions:

I understand that situations like this is very common in all groups and every group struggles and I learned that we all just need to be patient with each other and understand that we all have other work going on.

5. Action:

We decided that we will have one day in the week where we will have a meeting and go over each others work and will decide as a team on what to change or keep from it. We just need to be more accepting of each others ideas.
