To Do List

I use a to-do list, sometimes I break up big projects into smaller, more manageable tasks. For example, some of my larger tasks may stay on my 'to-do list' for a really long time so I divide them into smaller tasks. I can then approach each individual task separately and eventually complete the entire project.

Having worked in the Oil & gas Industry, I implement the techniques I learned. With so many things to think about it is imperative that you plan for your day. A pre job meeting and tool box talk (TBT) outlining the days activities, health and safety, Delegating and responsibility, other tasks that maybe taking place at the same time in the same location. Environmental awareness, emergency procedures. Reassessing situations that may impede your work load. Making sure everyone including yourself are in agreement with the whole overview of the tasks at hand and signing off on tasks completed so you are not running around having to check yourself. Designating the right job to the person with the strengths to complete the tasks at hand. And trusting them to do so. You are only as strong as your weakest link!

Josh Bisschops

Much of time management comes down to effective scheduling of your time. When you know what your goals and priorities are, you then need to know how to go about creating a schedule that keeps you on track, and protects you from stress.

This means understanding the factors that affect the time you have available for work. You not only have to schedule priority tasks, you have to leave room for interruptions, and contingency time for those unexpected events that otherwise wreak chaos with your schedule. By creating a robust schedule that reflects your priorities and well as supports your personal goals, you have a winning combination: One that will allow you to control your time and keep your life in balance.

Time management needs to work in specific way according to the needs of the business. With me, I need to be firm on amount of time spent with a client, so that means being clear concise and efficient because to go over time means a roll on effect throughout the day, and also may impede the clients day. In order to keep to time, I break down the various areas I need to cover into time allotments , like 5, 10, 20 mins etc. That can help if I'm a bit longer on one aspect, I have to shorten another. Another small thing I use is a terrible alarm clock ... I cant stand it , so i wake up before it goes off! Ange.

Planning and evaluating your schedule is important when trying to manage your time effectively. I like to plan my whole week in advance by listing all upcoming events including date and/or time the event is due. All upcoming events are divided into different categories of importance from high priority like meetings and appointments to low priority or flexible events like haircuts & grocery shopping etc. I then place each event in my personal diary or wall planner, mobile planner in order of priority. If I have one day full of high priority events, I may need to reschedule an event that has more flexibility or has less priority than others. It is important to constantly re-evaluate your schedule as new events arise.

Being who I am where I look to continuous help people at work, and with knowing what I know, I used to actively go out of my way all the time to be there to help. That got me nowhere except for running myself ragged.

In the past few years, I finally learnt to say "no" or where I felt I couldn't say no, to Iet it be known to them of the work I have, the importance of it and if need be, when my work is due. I would then ask them how important it is for me to assist them and the benefits of me putting my work aside to assist them.

Just because one really needs my help and they've come over with their hands all flapping and stressed, doesn't necessarily mean my assistance isn't needed now, most of the time, it meant they just had no idea what they're doing.

Before doing this and just helping out because they were flustered, it was I who lost time and pushed myself to the last minute on meeting deadlines.

Effective Time Management for me had to start with me.

Time Management - Prepare & Prioritize

I prepare each evening - daily, my schedule for the next day I choose this time because things are often changing throughout the day and come evening time I have a certainty of confirmed tasks/goals that I will do. I review the previous day and see if anything needs attention. I write things down in priority order and get as much as I can done daily because our house is extremely busy this is a crucial step and apart of my daily routine. I also make sure I have no interruptions and have our whiteboard schedule/calendar on the wall where I work between to double check I have everything down appointments, work, meetings, sports, schooling activities, errands and all the rest of it. loading everything into my phone is another good step for me and works as sometimes things slip my mind and having my phone reminder alarm go off it great help for myself.
