Is there anything we still need to do as a team to prepare for September?
What else is there to think about in order to deliver our services/support effectively from September onwards?
Place your thoughts and questions here.

Might it be helpful to have an in-person, open discussion with colleagues/managers from teams A,B, SfL about how we could more effectively deal with requests for in-curriculum sessions?
(I understand changes have been made in the last 24 hours, but might not do any harm to hammer it out anyway...) Karen Cr

DISCUSSION
The process going forward will be comparable to how we were operating earlier this year-the information below was shared with the team.

Still a lot to do for the International Module! Going forwards, the plan is to be looking to develop it further for both January and next September. A lot to do in the immediacy (which is in hand hopefully!), but it is very much an ongoing project that will evolve over the coming years too.
DISCUSSION
Joe just updated everyone with how this was going-due to go live soon. Very positive.

If we are to return to the office in term time 100% will we have a dedicated space for our teams to inhabit at both campuses?

This would be useful because:
- We know where we are on campus, we can engage with each other as we did pre-pandemic.
- Other teams in the library know where we are, so they can also engage socially/professionally with us.
- Colleagues outside of the Library will know where we are too (is this a good or bad thing though).
- We know where our equipment and physical resources will be to hand.
DISCUSSION
There wasn't time in the day to discuss this-but an update from after the meeting:
To assist with the move back to campus outlined above, our old offices have been reallocated back to us and will be removed from the booking system. This removes the need to book desks and thus reduces the amount of daily admin for the team. However, it does mean that, as a Team, we will have work out how to manage spaces ourselves, as we have more staff than before and 1 less office (Research Office at HY).

'Chat' function in Teams

Should we consider using the 'Chat' function of Teams more to communicate effectively in smaller groups? It works a lot like WhatsApp groups, so e.g. have a chat set up for a minigroup so any small discussions/updates could be done there. Could cut down on chat email chains and short meetings, whilst also making the minigroups and/or other small working groups feel more connected. Alex, Amber and I have one for general queries which we wouldn't raise to the 'Teams' section (too scary!) or Laurence (again, too scary!) and it's been really useful.
Joe
DISCUSSION

Those present seemed to think we should make more use of the chat function within teams, and some discussion arose of whether ready made groups should be set up for each smaller team/mini group.

CP did add that everyone should feel able to post things to the general Team channel though-e.g. in the "does anyone know" channel -often you aren't the only one who doesn't know so this helps others.

We seem to have had a good run lately of taking collective responsibility for tidying/improving on campus spaces we work in. Lots of taking ownership, no one person having to do everything, coordinating our activity so as not to unduly bother other teams in the university, etc. Not sure it merits long discussion, but anything we can do to keep this going? What needs doing next?
Laurence
DISCUSSION
No time in our team day to discuss this but feel free to add ideas to this Padlet.

Many of us have talked over recent months about how we would like to have a better presence in the wider Library and out in the rest of the University. Ideas such as 'pop-up skills support/Library desks' are things we'd like to do in the School buildings, and maybe more of a visible presence on the ground floor of the libraries in the skills support rooms. These are things that don't necessarily have to happen in September, but it would be nice to talk again about how we approach them as a team.
DISCUSSION
This warrants further discussion in team meeting.

One-to-one student support

Over the pandemic, one thing that definitely worked better was delivering one-to-one support to students – by doing it online, we have been able to be more flexible in terms of scheduling appointments and of their duration, demonstrating something is easier and more effective by screen-sharing and it’s my belief it has made us more approachable – not as scary to just log onto Teams for half an hour or so. How do we take this forward so we now make the best of a hybrid approach, particularly when sitting in a busy office again? And please remind me which rooms we use to meet with students and how we book them!
Maria
DISCUSSION

We need to promote to students that they have the option of having appointments face to face OR online-it should be down to their personal choice.

We have requested that a small number of individual offices change to hourly booking so that staff can conduct virtual teaching and 1 to 1s away from the main offices. This is more separate space for virtual teaching than pre-pandemic, but note that we will need to be familiar with the spaces we are using in advance, including PC set-up, equipment and facilities, (as we would do for face-to-face teaching).

Face-to-face 1 to 1s will be an option for students again and the sub-team who allocate appointments will also book a room for these, as before. Rooms are LSG23, LS401 and JG G21G.
