We will need to make the lighting very colourful and playful for this showcase as it is "Around the World" so using the flag colours for each performance would be a good idea. However, we also need to consider the visibility of the audience and need to avoid using deep colours like dark red and purple so the performers can still be heard.

We have recruited participants by asking people we know have done sound and lighting before in our year group and also asking people who are interested in sound and lighting if they want to take part.

The showcase will be over 2 nights and me, Gayatri and Anjali will be in the bleachers working the sound, lights and spotlight. To do this, we need to learn how to work all 3 of them. This is in case anything happens during the showcase which makes one of us unable to help.

What practical things will you need to organise and how will you do this? (e.g. materials, resources, equipment, space)

We will need to organise many different things. We need to see when the main hall is available for tech rehearsals and also coordinate this with the backstage team. We will also need to find the different equipment necessary and set it up, though this may be easier as the Legally Blonde show was before ours so the main equipment like the spotlight, lighting and sound systems are already connected and ready to use. We also need to set up the microphones and during tech rehearsals figure out the best order and way to give the microphones to each performer.

What support are you going to need from other people? Who is going to help you and how?

We need help from the Year 11s, Sheldon and Navnoor, and have set up a meeting with them on March 4th. They will teach us more on how to use the sound system, which seems to be the most complicated, and the lighting. We will then need to prepare the lighting and sound for the showcase but make sure to have it done before the showcase.

We are currently making our action plan and filling in the risk assessment for Sound and Lighting. We also have to set up a meeting with Navnoor and Ayaan with our team members so we can see the equipment we need, how to set it up and how to use it. We also need to access the programme for a running order.

Reflection no. 2 - 22/02/24

We have set up the equipment in the hall and also finished the meeting with Navnoor and Ayaan. Now, we need to upload the backing tracks for the necessary songs to Sharepoint so they are easily accessible during the showcase. However, there are lots of acts which need to be completed in 80 minutes so we need to cut each song to 2 minutes. We are having some trouble with this because 2 minutes is close to the middle of a song and we need to speak with the individual performers and see what they need to do. Either we get them to send their audio files to us or we start to fade out the song at 2 minutes, even if it sounds incomplete. We could have also cut out some acts but it is too late to do so now.

I think that the showcase went well but one problem we encountered was with the sound glitching sometimes because of the gain being too high. However, we solved it when the situation. We had also anticipated that we would not be able to use the coloured lighting and would have to rely on the spotlight but we asked the caretaker to switch the lights and as it was quite late, we improvised the lighting and it went well.

Reflect on how you’re working and communicating with other people?

We have communicated with people by setting up a meeting with Navnoor and Ayaan and also recruiting people for the sound and lighting team. We have also had to get the programme from other departments to create a running order and also had to keep in touch with Delina for the things she wants for sound and lighting. However, we could have communicated within our class better as it took quite a while to access the programme and we are overall running late for the showcase and need to put in more effort and time. We have also set up rehearsal dates but some will be without people as they are all out of school hours.

How you’re developing your leadership skills and handling situations appropriately.

Though everyone was stressed, we were also excited for the show and hoped everything would go well. During the course and before the showcase, we did encounter a few problems like not being able to get the backing tracks from a few performers but we were able to easily solve them. The main issue we faced was the lighting as we were told the curtains would be closed and the coloured lights are behind the curtain so the only coloured light available to use would be the spotlight, which does not show up well on the curtain. However, we were able to come up with a solution and asked the caretaker to switch the back lights with the front ones and leave the curtain slightly open, so the lights would be visible but the backstage wouldn't.

Middle - So far, I think we have done well and are on track for the showcase. However, we still need to work a bit harder and do a few things before we are in the clear. For example, we have to upload the backing tracks to the running order so Anjali, doing sound, can access them easily. We also have to upload these to a folder in Sharepoint as an alternative. Though we were meant to cut the songs to 2 minutes, I think the showcase will run longer than 80 minutes so this is not necessary.
End - I think the showcase went well due to all of our efforts and the performers. The sound and lighting for these performances did help a lot and, apart from a few performances, it went all right. Due to the songs being very long, the showcase did run over to longer than originally intended, but the audience didn't seem to mind and I think they enjoyed it. Also, because the backstage set up the stages and microphones quickly, the performance transitions were smooth and all we had to do was fade out the songs. This also helped the showcase to seem shorter than it actually was and keep the audience entertained.

Evaluation: What leadership skills have you developed?

The amount of deadlines that had to be met effectively made the concepts of organisation and motivation seem more familiar to me. Depending on the deadline, it was my duty to make sure that our action plan was properly followed through and finished. This has helped me become more organised and resilient when things don't work out as planned. For example, the sound problems we had during rehearsals were solved by asking our year 11 peers.

What of the interpersonal skills have developed well/not so well?

I believe that my communication skills have improved in terms of interpersonal skills. This is a result of giving various people varied roles and having to satisfy everyone at the same time. I also think that I have learned to trust my team members and have faith that they will get tasks done instead of doing all the work. I learnt to delegate tasks that can be done by other people to members in my team and also to get help from other people, like Gayatri.

What have you learnt about being a good leader?

I believe this project has taught me that being on time and maintaining team timeliness is one of a leader's most crucial responsibilities. This is necessary since failing to meet deadlines can cause things to quickly get out of hand and result in a project that is severely disrupted. The ability to set an example for others is another crucial talent. When your team witnesses you putting in a lot of effort, it might inspire them far more than them seeing work not being completed, which tells them it is ok to not do work. Being personable and having the ability to work well with others are also essential qualities for a good leader. It might be challenging to build a cohesive team where members feel comfortable asking for and receiving support from one another if they are afraid of you.

Apart from a few setbacks mentioned earlier, the showcase went to plan and the main plan was to have two of our team members doing the sound and lighting stations.

Is there anything you would do differently in the future if you were to run the project again?

If there was anything I could do differently, it would be to have at least one more rehearsal to fully go through everything and ensure everything goes smoothly. This might have also solved the issue of the sound being grainy and sounding off at times as we could've fixed it before the showcase instead of rushing to do it during someone's performance.

I think creating the running order and keeping all the audio files on Sharepoint helped substantially. This is because it made switching between songs a lot easier so Anjali would essentially focus on mainly the volume and microphone order instead of which songs to play next. Setting up the sound and lighting a few days earlier also helped as our team mates could have some time with the systems and could figure out how to use it fully before the showcase.

Also, the snacks had run out during the interval before any parents could have them because the performers had rushed in for them. However, this is also because we had not spent enough time thinking about refreshments and therefore did not get enough snacks.

What was your favourite part of the leadership project?

My favourite part of the project was finally watching the performance after working on it. This is because it was the showcase was run well and smoothly, so we didn't have to worry about much during it.

Which things did you find most challenging?

I think during the beginning of the showcase, when we were first given our roles, we were not sure what to do and tried to figure out what to do ourselves. However, to solve this, we set up a meeting with our older peers who clarified everything for us and taught our team members how to use the sound and lighting systems. Closer to the showcase date, we started putting in more effort and got everything we needed done, like the running order and setting up rehearsal dates.

What have you learnt about working effectively with other people?

I've discovered that teamwork and communication are essential for achieving any goal. A team player is someone who wants the best for the group as a whole and who is willing to delegate tasks to others or take on additional responsibility as necessary. Working with uncooperative people might be challenging at times, but in the end, it is my job to persuade them to change their ways and see things from their perspective. I now realise that I should be appreciative of my colleagues' work because everything they do contributes to us finishing our assignment to the highest possible levels. However, it is still crucial to ensure that everyone meets the deadline with the same level of attention to detail and tenacity that we promised.

What were the feedback from other people about your project and your role as a leader? What do you think about this feedback?

They said that as sound and lighting we did a good job, although at times it went wrong but we were able to fix it swiftly. I agree with this feedback and constructive criticism and think that I needed to work on my time management and focus in the lesson. Next time, if any similar problems arise I will be able to solve them in a better and quicker way than I did now.

What qualities do you think a good leader needs to have?

A great leader, in my opinion, should be very well-organized. They ought to be able to provide assignments to their team members, for instance, so that everyone is aware of what needs to get done when. Good organisational abilities can aid in avoiding miscommunication, hold-ups, and uncertainty. A good leader must put in a lot of effort since a bad leader could mistreat their workforce by taking credit for work that they didn't perform. A competent team leader should set a positive example. They ought to put in at least as much effort as the other members of the team. A good leader, in my opinion, ought to be sympathetic, understanding, and able to listen to their team members so that they can relate to them when they're working on a project.

As part of my arts leadership project, which I am leading alongside Gayatri, I am in charge of the lighting and sound for the spring showcase at my school. We are in charge of assembling the songs for the showcase, lighting, and sound design, among other things. However, since this is new to us and we need to learn from individuals who have done this before, we will need to learn how to control the school's lighting and sound systems. The objective is to assist the school in whatever manner we can while simultaneously working to improve the showcase. Sound and lighting are crucial components of every event, thus we must carefully consider our obligations and follow the deadlines.

Older students who have handled the lighting and sound for past showcases will teach us this.Then, one week prior to the showcase, we have to set up the necessary equipment in the hall.To receive a preview of the showcase, we will schedule some technical rehearsals with the artists.We will be passing out microphones and communicating with the performers during these rehearsals in order to make any required adjustments.

How will this help you develop leadership skills?

This will hone my leadership and organisational abilities since I'll have to stay on top of deadlines and communicate with my team clearly to prevent misunderstandings that could affect the calibre of our demonstration. I have to be ready to deal with problems as they crop up and avoid getting overwhelmed or giving up.

I will be working with older years to learn how to handle the lighting and sound systems and to find out what other tasks need to be completed. Mr. Khutan will help us with any problems that may come up during the display. I will also need to work closely with the other departments and the Creative Liaisons, Onali and Sara, to obtain the equipment that the performers need for their performances. They are informed about the acts that will be featured in the showcase. We also need to find out how to put up the microphones and interact with individuals backstage in order to address any problems that might come up during the showcase.
