When you prepare events unexpected things always happen. How you don’t try to avoid that, its happen. Today we consider popular flops and how to avoid them.

1. SPONSORSHIP

How is it possible to forget about the main Sponsor? Yes, it is. One day we forgot to place logo of the main Partner on brand wall. It was a bummer. But we must have changed situation immediately. How? We can’t have hidden that, we proposed other marketing options and extra benefits during and after the event.
You should be responsible for your actions.

2.REGISTRATION

Early registration was started, but we found out that we didn’t have few types of badges for delegates, because typography had forgotten to print them. We found 24 hour typography and ordered badges. We apologized to visitors and explained situation.

You should be honest with clients.

3. STAGE

Imagine. I need one main stage in the morning and then scene must been turned into 2 scenes. 10 hours left before event and I am informed that main stage can’t be to share on twice as I need, because constructors built stage close to wall. But it was not mistake of constructors, because representative of hotel had given me incorrect information about placement of stage in the hall. Actually, we were shocked, but we managed to cope with emotions and tried to solve the task promptly. I required hotel to provide us one else hall for second stage. Then I called constructor and asked to help me to build one else scene. Then I revised emails with hotel’s manager, convinced that it was him mistake and required to get extra hall for free. Finally, we get hall complimentary.

Firstly, you should solve problem, then find out who made mistake.

4. INTERPRETEURS

Once we had event and after lunch we understood that we didn’t hear translation (50% of visitors are foreigners). We called them and they said that we had arrangements until lunch. Then we were waiting, when they come back.

You should double-check arrangements with contractors one day before event.

5. CONTRACTORS

It’s my favorite point. I try working with loyal contractors, but sometimes they make mistakes, because it’s human factor. What happened? Designer forgot to launch for printing our badges, typography mixed up front and back sides of notebooks, hotel’s manager gave incorrect layout of hall and etc. What I mean, all your arrangements must been clarified and written by emails, it’s important.

You should control your contractors.

Hope, post will be useful for you.
