         <description><![CDATA[<p>On the first day, I was requested to go to the lobby and wait for the Human Resources (HR) department. Then, HR led us to the meeting room, where we filled in and signed the required forms. After that, we received the physical offer letter with the correct terms.</p><p>Once at my office, I was assigned to follow a staff member who guided me to my designated workspace. I was then taught and assigned tasks, including Warehouse Delivery Summary (WDS) data entry, which involves keying in DSN entry (outbound) and Proof of Delivery (POD), as well as file organization. Later, I submitted the report duty form to Warehouse Executive for verification and signature. After the form was reviewed and signed, I received it back.</p>]]></description>

I also imported the Goods Receipt (GR) to reflect the changes in stock accurately. Additionally, I informed the customer about the new product quantities and their specific storage locations within the warehouse. This update ensured that the customer was aware of the changes and could proceed with their next steps smoothly. I carried out my usual responsibilities, which involved entering data for the Warehouse Delivery Summary (WDS), processing Proof of Delivery (POD), and organizing files. I also handled document attachments and compiled Purchase Orders (PO), invoices, and Delivery Notes (DN) into bound sets. Moreover, I helped verify printed documents, such as Delivery Notes and Picking Lists, to confirm the correct number of copies and arranged them accordingly. Finally, before wrapping up my shift, I printed PO for various companies.</p>]]></description>

A senior manager guided me through the warehouse, explaining various processes involved in copacking and logistics. We will given Excel link to check for each respective company, include the company name, the URL to access their website, the unique company ID, your personal user ID, and the assigned password to enter the website.          <description><![CDATA[<p>Today, I focused on data entry for Warehouse Delivery Summary (WDS) and Proof of Delivery (POD). I worked for a total of 2.5 hours today, as it was a Saturday shift. Due to the shorter duration, the quantity of data I was able to process was less compared to regular workdays. Just to digress a little, I learned the steps for printing different Purchase Orders (POs) depending on the client. The first step is to log into the system. The second step varies: for MyHero, Ecosave, and Ecoplus, the process is more direct and allows immediate access to the PO. However, for clients like Manjaku, TF Value, Mydin/Lotus, Billion, and Aeon BIG, the process involves additional steps, such as clicking the 'Documents' button, selecting 'Purchase Order', and adjusting the date range to find the relevant PO. Once located, the third step is to enter the PO number, click 'Search', and wait for the document to load for printing.</p>]]></description>

Additionally, I checked and matched the picking list with the load plan sheet to ensure accuracy. Lastly, I printed PO for different companies. Today, I was briefed on the different transportation modes used by Tiong Nam Logistics, which include two main methods: Tiong Nam’s own transport (local) and IKA via DKSH (outstation). The company’s own transport is primarily used for smaller deliveries to clients such as Ecosave, Mydin, and TFP, while the IKA service, arranged through DKSH, handles bulkier shipments for clients like NSK, AEON, and the Megawarehouse. In addition, I ensured the load plan sheet was properly attached to the corresponding picking list.</p>]]></description>

I specifically recorded the rejection or cancellation date, SKU numbers, and the reasons for rejection or cancellation, such as incorrect items, expired purchase orders, inventory shortages, barcode issues, lack of available storage space, stock missing by transporter, customer not ordering, and discrepancies between the purchase order and invoice. I also ensured that all relevant details were updated in the system.  Before leaving for the day, I helped attach Delivery Notes (DN), invoices, and Purchase Orders (PO) together.</p>]]></description>

         <description><![CDATA[<p>Today, I entering data for the Warehouse Delivery Summary (WDS) and processing Proof of Delivery (POD). I learned about the inbound process, which is categorized into two types: Local and Contena. For Local inbound, it only involves a Delivery Order (DO). The process starts by scanning the tally sheet, attaching it with the Excel POD (Proof of Delivery), and sending it to the customer. Once the customer replies with an inbound email containing the GR (Goods Receipt), we then respond by sending them back the GR along with the trucker details. For Contena inbound, which applies mainly to shipments from Thailand, it involves a Packing List and a Consignment Note. The process begins by retrieving the tally sheet, emailing it to the customer, and waiting for them to revert with the POD. After filling up the POD, it is sent back to the customer. Once they respond, we follow their instructions to create the GR. The final step is to send back the GR along with the tracker for record-keeping.</p>]]></description>

         <description><![CDATA[<p>Today, I was accompanied by the operations staff to the warehouse to observe and assist with the co-packing process. I witnessed the team remove products such as MummyPoko and Sofy from their original cartons and place them into plastic bags, with two packs per bag. The bags were then sealed and placed into designated boxes for further processing. In addition, I was shown how to count the stock after the carton change process is completed. She explained the method they use to ensure accurate stock tracking, which includes verifying the number of products removed from the original cartons and cross-checking with the new packaging. This process ensures that stock levels are updated properly, and no discrepancies are left behind.</p><p>Lastly, I was responsible for doing my daily routine task.</p>]]></description>

         <description><![CDATA[<p>Today, an operations staff brought me to observe the inbound stage at Tiong Nam Company. I learned that there are three types of incoming contenas: Thailand, Laden, and Local. Thailand contenas are time-sensitive, requiring immediate unloading of cartons onto pallets for further arrangement in the warehouse. Similarly, Laden (Sea Shipment) contenas must be settled after handling Thailand shipments, but no pallets are provided for them. Both Thailand and Laden trucks are prioritized and must leave the warehouse as quickly as possible. On the other hand, Local contenas come with pallets underneath the cartons and their trucks typically wait during the unloading process.</p><p>The person in charge collects all the delivery orders for these contenas and checks whether a Purchase Order (PO) is required for documentation and verification purposes. After confirming the details, they fill out a tally sheet, which includes key information such as the consignee, shipper or seller, product descriptions (SKUs), delivery address, and the scheduled delivery date and time. This tally sheet is then used to prepare the picking list and delivery note for the outbound process. As usual, I carried out my responsibilities, which included entering data for the Warehouse Delivery Summary (WDS), processing Proof of Delivery (POD) documents, and printing Purchase Orders (POs).</p>]]></description>

         <description><![CDATA[<p>Today, I was brought by an operations staff to observe the co-packing process. It began with DK placing an order by sending the necessary emails to request the co-packing task for outbound preparation. Once approved, the workers proceeded to carry out the co-packing process and organized the items according to the arrangement. During this stage, we were required to fill out the job sheet with all the relevant details, and the SKUs needed to be updated.</p><p>Once everything was completed, the job sheet was then sent via email to inform DK and signed by them that the co-packing process had been completed which about all tasks were successfully handled, including the preparation of stickers and relabeling. Specifically, we assisted in replacing Japanese labels with English ones as requested. As usual, I carried out my responsibilities, which included entering data for the Warehouse Delivery Summary (WDS), processing Proof of Delivery (POD) documents, and printing Purchase Orders (POs).</p>]]></description>

         <description><![CDATA[<p>Today, I had the opportunity to learn about the process of inputting data into the inbound tracker system. DKSH provides the amounts received, and my responsibility is to key in these amounts to ensure they match the quantity stated in the invoice. Additionally, I learn the process of importing good receipts (GR) and filled in the manufacturing date, then sent a confirmation email back to DKSH to finalize the process.</p><p>I also gained insight into the transportation planning process. Specifically, I reviewed statements to determine how many incoming trucks would be arriving, based on the transport planning group's report. As usual, I carried out my responsibilities, which included entering data for the Warehouse Delivery Summary (WDS), processing Proof of Delivery (POD) documents, and printing Purchase Orders (POs).</p>]]></description>

Besides, I was brought to the warehouse by an operations staff who explained that stock counting is conducted once or twice a week to ensure inventory accuracy. She also walked me through the process of managing copack shipment damages, including discussions with relevant personnel about SKUs, identifying damage locations, and the steps taken to resolve the issue. After the review was completed, the damaged copack shipment was handed over to the vendor for further handling. Additionally, she introduced me to the person who responsible for various warehouse operations, such as copack, inbound, and outbound shipments, which helped me better understand the division of responsibilities within the warehouse.</p>]]></description>

         <description><![CDATA[<p>Today, I carried out my usual tasks and assisted the operations staff with their daily activities, especially with printing Purchase Orders (PO). After that, I was brought by the operations staff to the warehouse to observe the stickering process for MamyPoko products. The task involved replacing Japanese text on the packaging with English labels. I was given the opportunity to assist in this activity, including trying out the sticker swimming pants for boys" task.</p><p>The warehouse stores a variety of products, not only swimming pants, but also items such as airplane-themed diapers, wet tissues, and dry tissues. This visit provided a refreshing change from working in a fully enclosed office environment, allowing me to experience a different side of the company’s operations.</p><p>On the way back, the operations staff also introduced me to the different types of cartons used in packaging, explaining their functions and placement in the warehouse. It was a valuable hands-on experience that deepened my understanding of logistics and product handling.</p>]]></description>

Other than that, I was informed by the executive that the company has transitioned their attendance recording system from handprint-based to a digital mode.          <description><![CDATA[<p>Today, I learned about the transportation process for shipments to East Malaysia. The process begins with receiving a Booking Confirmation from the customer, which outlines the total number of bookings and the quantity for the month. For shipment, we use either a 20-foot or 40-foot empty contena, with the 40-foot contena being more commonly used due to its larger capacity. When the lorry arrives with the empty contena, the goods must be loaded before the specified closing date. After loading, we follow up with the customer via email to request the final Consignment Note. This document serves as proof of the delivery arrangement and includes essential shipment details such as sender and receiver information, item descriptions, and the destination. The Operations team is responsible for the picking process, which must be completed based on the Booking Number before the contena arrives. Once all items are loaded, regardless of whether the contena is fully loaded, the Booking Confirmation is exported to confirm the shipment details. After this, the haulier is informed that the contena is ready for pull-out, which usually takes place on a Friday. The haulier works closely with Swift Company, which provides the shipping vessel. Overall, the process flows from receiving the customer’s order to operations (picking and loading), to documentation (Booking Confirmation and Consignment Note), and finally to haulier coordination for port delivery and shipment to East Malaysia.</p>]]></description>

         <description><![CDATA[<p>Today, I completed my usual tasks in the office. Additionally, the Office Executive brought me to the warehouse to gain firsthand exposure to the real operational environment. During the visit, I was introduced to a warehouse officer responsible for ensuring that all goods are successfully dispatched for Local, IKA, and Outstation deliveries. We began by reviewing the outbound staging area, where I received clarification on the handling of UCM and DSG goods.</p><p>The officer walked me through both the inbound and outbound processes. For inbound operations, the process starts with the admin team generating a picking list based on the processed orders. The picking team then collects the items, which are verified by the checking team before being placed in the staging area. Once staged, the officer updates the total pallet count and informs DKSH so they can assign a transporter for collection.</p><p>For outbound processes, the driver returns the picking list to the warehouse officer, who then updates the pallet movement records, which must be accurately maintained for LOSCAM tracking. The officer scans the barcode to create the Warehouse Delivery Summary (WDS), locates the related invoice, and signs the Delivery Note Slip (DNS). These documents are then handed back to the driver, who will either deliver them to the customer or return them to their department.</p><p>In addition, the officer showed me how they maintain records and updates for the load</p><p> plan, backlog, and daily logbook to track whether transportation has arrived. Lastly, he showed me the rejection handling procedure. Overall, the experience was insightful and gave me a clearer understanding of the warehouse’s operational flow and logistics procedures.</p>]]></description>

He explained how to convert loose goods into total cartons on the picking list, as staff refer to total carton quantities rather than loose units. Additionally, he informed me that the road plan for today was received yesterday, and the system generates orders based on this load plan, which is then used to print picking lists for item picking.</p>]]></description>

         <description><![CDATA[<p>Today, I completed my WDS task and organized the documents by rearranging the papers in each file. After that, I proceeded to the warehouse office to carry out my next assignment.</p><p>There, I worked on entering data of picking list into the system for Delivery Summary Note (DSN) printing. I was also tried to learn to the 2IC system, which is used for pallet tracking and for printing the Loscam transfer reference. Additionally, I learned that 99 Speedmart is considered a top-priority customer due to the urgency of their orders. Deliveries to 99 Speedmart must not be delayed. If they request to extend the delivery date, DKSH must then request an extension for the Purchase Order (PO) expiry date. The staff also guided me through various processes on the PC. One key point I remember is how to identify orders that haven't been scheduled yet as these are placed in the "pool" for further planning.</p>]]></description>

Specifically, three orders were not included in the picking list, yet the delivery note showed extra items. To clarify the discrepancy, I consulted one of the operations staff. She contacted the outbound in-charge, who explained that the extra items were part of a makeup delivery for a shortfall that occurred yesterday. Besides, I see senior officer do rejection activity supervision in warehouse. He said after management done Good Receipt Note (GRN), he had to go and check and snap the carton and product to group to take advise. Moreover, i help to check for Purchase Order (po), expiry date.</p>]]></description>

I gained new knowledge about East Coast shipping procedures, specifically regarding the documentation required for customs clearance. An operational staff member explained the key documents involved: the invoice provided by the client, the picking list, the loading sheet, and the packing list. I was guided on how to fill out all the forms except the picking list, which must be completed through the system with no errors allowed, so it was handled by the staff member herself. After completing the documents, I compiled them with the invoice, had them signed by the operational staff, and scanned them as instructed. As well, I went to the warehouse office to assist with tasks and to photocopy invoices for both internal and external purposes.</p>]]></description>

         <description><![CDATA[<p>After completing my assigned tasks, I assisted other team members. I went to the warehouse, where I observed senior officer performing rejection checks. The process began by reviewing the tally sheet and invoice or Goods Received Note (GRN)<strong> </strong>to verify the number of cartons for each returned SKU. We then inspected the returned items for any damaged cartons or pallets. If damages were found, we took photographs to report the issue to DKSH for potential modifications. Next, we went inside the racking area to conduct an inspection and examined the condition of other cartons to determine whether they were loose or intact. If the carton was loose, there was generally no concern, as these are typically random carton opened to put items together. However, if a full carton was damaged, we needed to place an order for a replacement carton from the vendor.</p><p>Regardless of whether the item was loose or in a full carton, Whether the item was in a loose or full carton, if it was damaged in any way, we were required to issue a billing charge to the transporter responsible for the delivery. Importantly, we did not accept rejections involving torn or short goods, as per system policy.</p><p>Lastly, I assisted in photocopying the old picking list due to the rejection issue. This was necessary to resend the same items for delivery.</p>]]></description>

         <description><![CDATA[<p>Today, I arranged the invoices and accompanied my senior officer to observe the rejection checking process. First, he reviewed a list of rejected goods (SKU) and verified the corresponding cartons. He then performed a rough inspection of the products inside each carton. During this process, he noted items that still required modification, essentially carrying out a quality control check when the initial inspection results were unsatisfactory.</p><p>Additionally, I had the opportunity to observe how the warehouse staff operate the satellite racking system, also known as the Pallet Shuttle. This is a semi-automated, high-density storage system where a shuttle with an electric motor runs along rails within the racking channels to load and unload pallets. The shuttle, often referred to as the "satellite," is placed into the racking using a forklift and is controlled by the operator via a tablet. It helps transport cartons efficiently from one location to another within the warehouse.</p>]]></description>

What stood out as a highlight was the opportunity to go out and observe a senior officer conducting a rejection check. It was an insightful experience, as I got to see firsthand how they carefully inspect both the cartons and the items inside to ensure they match the rejection details. This process begins at the early stage of rejection, starting when the delivery driver hands over the Goods Receipt Note (GRN) to us. At this point, we provide a temporary signature on the summary notes to acknowledge receipt without conducting any inspection. Once signed, we proceed to inspect the cartons to verify whether the returned goods match the rejection details, such as damaged packaging or incorrect items. The subsequent steps are handled by the relevant superior department, so I have limited insight into the rest of the process.</p>]]></description>

The Requested Delivery Date indicates when the goods should arrive, while the agency refers to the transportation provider responsible for the shipment. The Ship-To Name shows the recipient or delivery location, and the scheduled time and assigned truck ensure proper coordination. Finally, the vendor is the supplier sending the products. Knowing these details helps ensure shipments are prepared and delivered accurately and on time. These load plan must given to the outbound counter for them because they in charge of everything handling process. Such as they want to know the time truck coming, the product and quantity, as for checker to prepare the respective things in time.</p>]]></description>

During this observation, I noted the following process:</p><p>Once the truck arrives and is properly parked, staff members usually more than one. They begin unloading the cartons and the pallets underneath from the storage, often using forklifts. They place the items aside in an organized manner. For double-layered carton pallets, one layer is removed and set down. Once the items are in place, the checker removes the wrapping and taken out those were needed based on the picking list. After verification, checkers recounted the number of cartons and wrapped again for stability. For loose cartons, the staff unload them and proceed with assorting the items. After assorting, they wrap the cartons for stability.</p><p>Before all tasks are completed, some of drivers would write a sticky note indicating the number of cartons and pallets inside the wrapped cartons. Once all tasks are completed, the staff proceed to load the items into the truck.</p>]]></description>

I also updated the truck schedule in the system. Moreover, I observed a truck returning to handle pallets transferred back by the vendor. The staff carefully verified the docket against the pallets to ensure all items were accurately accounted for and aligned. Then, we will use the reload with the same truck.</p>]]></description>

         <description><![CDATA[<p>Today, I learned about a logistics provider called New Sign Logistics (M) Sdn. Bhd., which handles distribution services to Singapore. During the loading process, several personnel are involved in the process. Some people were operating forklifts to load cartons and pallets into the contena, while others were inspecting the contena to ensure it was clean, properly organized, and the cartons were undamaged due to Singapore's strict customs clearance regulations. They also check the quantity and quality of the goods, which by the way the items are packed loosely in cartons (not in full carton). It is important for the truck to depart on time and clear customs quickly to avoid delays and, Sometimes, they need to go the customer there as a second trip loading to Singapore.</p>]]></description>

         <description><![CDATA[<p>Today, our department encountered a serious issue involving a white ant infestation. A batch of returned cartons from a customer was found to contain white ants, which drew immediate attention from several supervisors. A group of them gathered at the outbound area to assess the situation and discuss possible actions.</p><p>This issue is considered critical because white ants can damage pallets, cartons, and potentially cause harm to surrounding goods and storage structures. As I was working nearby, I was able to overhear part of the discussion. Some of the suggestions included segregating the affected cartons and pallets, or returning the entire batch to the customer to prevent further risk.</p>]]></description>

I simply do my job, go outside the office to observe, help others do miscellaneous tasks. At the end of each day, I sign the checkout document and return the ID card.</p>]]></description>
