Step One: Problem: strain of coming together for face-to-face meetings for the team members.

Due to this issue we are looking to take our meeting to the virtual world.


A few questions that arose:

When did this problem surface?

What, if anything, preceeded that breakdown?

Could we trace back to the moment of inception and perhaps fix that, thus eliminating the need to transition to virtual options?

Step Two: The strain caused by this problem is that it takes time away from vital functions. People miss meetings, leaving a gap in information sharing.

Group members are geographically spread out. Furthermore this is complicated by other daily obligations. Group has concluded that online meetings are a plausible resolution. Team has already concluded a good time and day each week that they would be available with the commute no longer being a factor.

Step Three: Possible Solutions include the following online resources:

Facebook
Skype
Second Life

Other options were immediately dismissed as they do not allow for real time meetings in the fashion the group is looking to achieve.

Step Four: Of the three options Skype and Facebook did allow for all members to be on a conference call with video, however the screen usage was limited. Second Life did not allow for them to actually have face time, but had an avatar to give the individual physical presence.

Based on the features of each of the aforementioned options the team chose Second Life. This decision was two part - first and foremost it resolved the issue of having a weekly meeting with all parties in consideration and eliminating the commute. Secondly, the team is fun loving and enjoyed the whimsy of the inclusion of avatars.

Step Five: The team will begin using Second Life starting next week. There will be a follow-up group email where all members can share their experiences and concerns.

Any issues that may need ironing out will be evaluated at this time and the five step process will be implemented if and when needed.
