My responsibilities for the students include finding suitable, safe and inviting family-style homes for their stay. Once hosts are identified, I would email (L & DL) the host to introduce myself, the programme and the requirements, this was done in a formal style to ensure professionalism, Jecker (2004).

During the visit, the conversation would be more informal dialect (L) to welcome the host to the programme and ensure openness and transparency between the College and hosts. We are there to support them whilst hosting for us, and want to make the hosts feel they can discuss concerns, issues and any ideas they may have, promoting a two-way relationship.

I would text message and email (DL) the hosts to build up a professional formal relationship, whilst also being personable. The messages are sent following the agreement and to provide updates on the progress of the exchange, I would include emojis and included the approipate use of emotion in the messages, depending on the message needed to be protrayed.

I conducted my study on the Region and the Culture of Wales utilising the Internet (DL) to make sure the students had the finest cultural encounters during their exchange. I conducted online research and looked for the best cultural activities in West Wales, including reviews of the activities. The majority of websites I visited had well-organised, interesting, and engaging writing which made me want to visit the attractions. I stopped studying any experience further because of some poorly written websites, which gave me a bad image and negative experience of the trip, emphasising the importance of well-written adverts.

I wanted these trips to be creative, enjoyable and rememberable for the exchange students and these well-written adverts allowed me to make the decisions quickly.

Due to cultural differences between the various countries, I had to consider whether the visits would be appropriate for my exchange students and compare our culture to theirs in order to ensure that there wouldn't be any problems that arose. I conducted this research using the websites (DL) for Wales and Brazil, which helped me better understand the contrasts between the two countries, highlight the differences, increase communication, and make the students' experiences useful, engaging, and interesting.

In addition, I went to the locations to research and reviewed the experience's leaflets (L). The writing on the flyers was interesting, enlightening, and nicely written. I was able to make wise conclusions about my options because of the clear literacy on the leaflets.

Messaging the students to promote the experiences to engage excitement buy in and prepare them for a trip of a lifetime.

To communicate with the students in Brazil, we hosted online meetings (DL), invited the host families to get to know the students, and engaged in open discussion. The students (and their families) were made to feel at ease and given more opportunities to get to know us and the hosts by using an informal conversational style and making sure the topics of discussion were engaging and exciting. Ensuring a family feeling.

These meetings were done via Google meet, which is an online platform that enables us to 'face to face meet' online. We generally use Teams as a College but not all countries/institutions use teams. Using a different platform allowed me to experience differing technology, develop my digital technology skills and adapt to International demands and needs for digital training, in line with research on ipsos.com (2021).

I produced a spreadsheet to cover all financing for the project using clearly identifiable titles to be able to track the payment required within the programme. This included income in R$ Brazilian Real and £ Sterling. Each calculation (N) had a comment to enable me to raise invoices for the appropriate amount for payment, this included receiving funds and paying for services. As a consortium lead, I needed to carefully work out how much each member needed for their delivery (N), this was done by reviewing the contract (L) and apportioning out the income precisely.

Using the College's eBis finance system (DL), I was able to raise the invoices for the project. Each invoice had to be formally and clearly written (L). Enabling each supplier, consortium member and internal finance team to associate each payment with each service used.

When planning the trips an important aspect of this is ensuring the finances are sufficient and compatible with the project. I utilised my numeracy skills in many various ways, first I needed to confirm the budget for the exchange, this was done using Literacies by reviewing the contract. I then needed to work out how many weeks the students would be here for, how many students would be involved in the trips, how many trips we could do on and work out the budget share allocated to trips.

I used formulas and calculations to ensure that funds were available and I did this via excel spreadsheets (DL) and a calculator.

I then costed the trips via the information found on the activities website or leaflet, ensuring all students and staff were costed into the planning. This included talking to the local coach companies to discuss the prices of bus hire for each individual activity.

Most importantly I needed to work out the value of money on the trips, whether the trips were too expensive for the time spent on the trips, did the cost of the trip maintain the culture included in the activities and whether were they too far away to justify the extra spend on the travel.

Whilst the decision was mine, I produced a clear and concise excel document to support my decisions and explanations of the costs, should these be needed. By doing this I was also able to find any underspend/overspend and adjust the activity.

All this information then allowed me to calculate if sufficient funds were available for the entire exchange, if the trips were worthwhile and did the cost showcase the best we have in Wales.
Because our confidence and proficiency with numbers can affect us financially, socially, and professionally, numeracy needs to be clear and succinct, national numeracy (2019).

I was able to calculate (N) a score using the probability and impact criteria, this produced a score to determine if the trip would happen.

I researched and reviewed the prepopulated risk assessment available on the activities website (DL) as these were clear and comprehensive I was able to compare the two risk assessments and enable all risks to be assessed.
