When the Counselor receives a new student from outside of SFPS, they will need to do a transcript review on the SFPS Transcription Form and give it to the Registrar to enter in PowerSchool. Once completed, the Registrar will then email the transcription form to Student Data Office for compression and uploading into the cumulative file housed in PowerSchool.

The Registrar is ONLY responsible for entering information into PowerSchool AFTER provided the information from the Counselors or credit granting personnel. (SFPS Transcription Form/SFPS Credit Completion Form)

The Registrar is NEVER to directly grant credit UNLESS:
1) Dual Credit/Concurrent Credit reports arrive from partnering entities in which case they Registrar is use the ##99 codes for the course codes.
2) The Registrar is also the Counselor.

In a nutshell:
1)Each coach MUST submit a SFPS Credit Completion Form
2)Use Course Code 2311 Team Sports
3)Pass/Fail only
4) Exclude from class rank and GPA
5)This can only be done 1 time per student (so they cannot accumulate multiple credits based on sports)
6) If the coach is a certified PE teacher then they are the teacher of record, if not, the site administrator is the teacher of record

1. Once a D or F grade has been recorded on a transcript, a student may petition in writing to retake the course and replace the grade with a better grade if earned. At minimum the petition must include:
  • a parent’s signature indication permission to retake the course;
  • the course title and grade;
  • method of retaking course (regular enrollment in a District secondary school in which the student is enrolled, night school in the District,through alternative course offerings (such as E20/20) or a higher education institution if such institutions are accredited by the NMPED of the state in which the entity is located, or at a college or university which is regionally accredited for such purposes.); and
  • when the date of course completion is expected.

2. The petition must be given to the student’s assigned school guidance counselor who shall inform the student, in making the decision to retake a course of credit earned and credit requirements for graduation.

3. The student’s assigned school guidance counselor will make a recommendation only to the school principal.

4. Upon review of the petition and any supporting documentation, the principal will approve or disapprove the petition.

5. If a course is taken outside the District, appropriate documentation must be included with the request to change a grade. The documentation shall include a grade report with passing grade noted and credit earned.

6. Copies of all petitions and supporting documentation must be given to the student and parent.

7. The original petition and supporting documentation shall be filed in the student’s cumulative record.

8. If a student elects to change a D or F grade, that student will not be eligible for valedictory or other class placement for graduation purposes.
