Situation: On May 15th at 10 a.m, our company organized a charity event to raise funds for a local animal shelter. The event included a bake sale and games. It was held at our office cafeteria, and the goal was to raise as much money as possible while involving employees in a fun, engaging way. The target group was mainly company employees, but families could also join.

Task: As one of the team members, my task was to ensure we had enough food for the sale and that the event ran smoothly. I had planned to have enough cakes and cookies ready for everyone. I expected everything to go as planned, but we didn’t have enough baked goods as more people attended than expected. The necessary skills included organization, communication, and problem-solving.

Action: To solve the problem, My team and I worked together to handle this issue. I immediately contacted a few colleagues and asked them to bake more items. I also went to a nearby bakery and convinced them to donate some pastries. Others were very supportive of my quick thinking, and they appreciated my efforts to solve the problem. I felt proud of how I managed the situation, but I also realized I should have planned better from the start. I felt both relieved and grateful for the team’s cooperation.

Result: In the end, the bake sale was a success, and we raised more money than expected. I am proud of the results, because we solved the problem and still achieved our goal. However, next time I would prepare more baked goods in advance to avoid the last-minute rush. I would also improve my planning and communication skills to make sure everything goes even more smoothly in future events. I learned that flexibility and teamwork are key when dealing with unexpected challenges.

Reflection: Looking back, I realize the importance of being better prepared. While I was happy with the way I handled the situation, the problem could have been avoided in the first place by planning things better. I also learned that it's okay to ask for help when things don’t go as planned. Next time, I will make sure to have backup plans ready, just in case. Also, this experience has taught me that strong communication and staying calm can make a big difference during stressful moments. In the future, I’ll focus on improving my time management and planning skills to prevent last-minute problems.

Situation: On Sunday 29th September at noon, I was in the clothing store working alone. The location of the store, Mevrouw Adriaanse is in the Molenstraat in the city center of The Hague. My duties are helping people in the store if they need help with choosing a set of clothes, looking for the right measurements and pay by the register. All my tasks are based on selling the clothes to make a big profit for the owner of the store. The target group of the store are woman in the age of 50 till 60 years. Sometimes they’re come younger people but not often and there are no men clothes. So, it’s only for women’s clothing. This day I had a very old woman in the store who wanted a discount, but I could not give it to her.

Task: As we stand at the register, I wanted to sell a raincoat and a sweater to her. My goal was to sell it for the retail price and not with a discount. The two weeks before we had a summer sale and she thought this sale was also applicable on the raincoat, but it wasn’t. When I explain to here that there wasn’t any sale I exapted that she wouldn’t buy the raincoat and the sweater. She kept on going to ask for the discount even after I told her there wasn’t any discount on the clothes. She asked it for more than 20 times.

Action: I stayed calm. My task was to sell here the clothes for the advertised prize and not for any price lower than that. I stood by what I told her. She didn’t stop asking. I thought by myself that it was clear that the summer sale was over. I was a bit irritated by her, but I didn’t show it because customers are always right. So, I tried to repeat myself in different ways but staying polite.

Result: Eventually the lady did by the raincoat because she needed it. Because of the price she didn’t by the sweater. I sold the raincoat for the right price and didn’t gave her a discount. So, my boss was happy with me. The next time I will be a bit stricter with my answer because this time I let her keep asking. So, I will ask the customer polite to stop asking after maybe 3 or 5 times instead of 20 times. I learned that eventually the customer will buy something even if there is not a discount. So, I don’t need to be too polite. I can be a bit stricter with the store policy.

Reflection: I learned that I am patient, and I know the store policy very good. I was satisfied with the result because I sold the coat. But I know now that I could be a bit more confident with my answer to the customer and not let them keep on continuing. Looking back at this situation I think that I growth in my role as a store assistant. That will help me later in same situations to stay patient. This growth will also be good for my boss. So, she can trust me to stand alone in the store.

Situation: On the 8th of September at 1pm, me and a few other students from my class were scheduled to go volunteer at a volleyball event in Utrecht, Jaarbeursplein. Our job at this event was to scan the tickets of the people that paid to see the game and to help with the catering which was to bring the food that people ordered to their specific seat. The main goal of this event was to highlight woman volleyball and for the people to have a good time. The target group was mainly volleyball lovers, age wise: people in their 20-40s.

Task: as one of the people that volunteered my responsibilities were mainly to scan the tickets and to check who enters and leaves at the entrance and look if they had a wristband on, which they're supposed to get at the entrance after they got their ticket scanned. My goal was to scan all the tickets and to make sure no one entered without a ticket. My expectation was that i would do everything correctly which i did thankfully. There weren't any important skills needed for anything but i had to be able to click the ticket scanner fast because it some point it did get crowded which meant i had to scan the tickets extra fast, and i also needed to pay attention to everyone who was leaving and entering and that at some point was also getting quite crowded.

Action: the main task that i performed was scanning the tickets. I personally think i handled this task very well, it was going very smoothly throughout my time there. Others didnt really pay attention to me because they were too busy doing their own tasks since it was so busy, but my supervisors did keep checking on me and saying that i'm doing a great job which i really appreciated cause i was really nervous in the beginning since i've never volunteered somewhere before. I responded to their encouraging words by encouraging them back because i thought it was so nice of them. It made me feel more confident in scanning the tickets and if anything were to go wrong i could just call one of my supervisors and it would be fixed.

Results: the event ended successfully nothing bad that happened everything went as planned and everyone did a great job at fulfilling their tasks, including me i fulfilled my task successfully even with some time to spare. I'm very proud of my result. The only thing i would do different next time would definitely do the things i needed to do beforehand such as going to the restroom or taking something out of my bag that i need in that moment because there was no time to do any of that because i had to keep scanning tickets because it was that busy. The skill that i would definitely do differently next time would be checking if people had wristbands or not because i feel like i wasn't able to properly do this task cause i was more focused on scanning the tickets. What i learned from this event and volunteering there would definitely be how to properly socialize and talk to strangers, It helped me open up and hopefully next time its the same time.

Reflection: What i learned from this experience is that i am actually quite social but also that the problem about checking if people had wristbands could've been avoided if they just got someone to do that specific task. However i was very satisfied with the results everything did go as planned there was just a very small inconvenience but it wasn't that bad. The importance of what i learned is that i am very helpfull when it comes to volunteering so if i ever wanted to volunteer out of my self then i know i am capable of doing what i'm asked to do.

Situation: on 28th of September me and my bestfriend helped at an private event which was: a birthday from the best friend of her aunt. I was held in Schelluinen the program was not very special but our job was catering and we did it with just the two of us. The target group for this event was around the 20-70 years this was the main group but there where also some children.

Task: My friend and i had to be there on time because we needed some things to prepare before the guests came such as: making coffee/tea, preparing the pastries and decorating. But our main task was taking care of the catering like, asking the guests what they want to drink and give them a pastrie so our goal was to make sure everybody had something to eat an drink. And we succes the goals because everyone was provided with food an drink all the time, i expected that it will go as planned at it was but in the beginning there was some pressure because when we got there we had to decorate really quickly because the guests arrived very soon. The skills that where necessary for this where: time managment because of the pressure at the beginning and communcation so you can communicate with the person who organize it so there won't be any misunderstandings.

Action: they task i had to peform was aking the guests it they would like anything to drink an pick up the dirty glasses/plates from the tables and cleaning/doing the dishes and also make some snacks. So that where a lot of different tasks i had to peform not just one and i think i handeld it very well. Some things where a bit hard for me for example: opening a wine botlle it sounds really stupid but i have never done it before so that was challenge but i made it !. And how the guests respond to my work i think they where postive an they where very grateful for the work that we delivered an the person who organized the event also respond very good to our work. And we got some help from a girl who came to the event with here father an she did it really good she was only 10 years old. I am also really grateful for the responds i got i felt very happy an valued that i did it.

Results: the ending went very wel a lot of guests went home an then we had less work but we still did some cleaning and serving drinks. the results that i got where very good it went very well some things didn't went well but the tasks i didn't know i just asked. What i would do different next time is maybe asking for help a little sooner if i dont't know something because, i don't do dat very often and they skills i need for that is communciation.

Reflection: What i learned from this experience how catering works and how much work you have before an after organzing something but it was very fun to do this with my best friend an i learned very much, becaus this is also very important for my course.

Event Café class STARR-model by Dishanthely

On October 2nd starting 13 o'clock in the afternoon our class had Event Café lessons by Amber and Cammy. We started the class at school but then went to the Groothandelsgebouw for more information on some events Cammy has hosted. This particular lesson was obviously targeted to people interested in hosting events, but specifically the ones who want to host public events.

My task this class was to listen to the instructions of our teachers and to work together with my classmates. My goal this class was to take up as much information as I could and see if this branch of events (public events) was something I would like to work in. My expectations for this class were that I would learn what the STARR-model is and that I would know what it would mean to be a public event hostess. The skills necessary for today were definitely listening, proactiveness, a little communication at the end and team work.

I worked proactively together with my classmates and listened to the instructions my teachers gave me. I handled this by being concentrated and knowing that my teachers needed my attention. Others responded to my work by not distracting me. I was very grateful for their respect and wanted to help them concentrate on the class too, and maybe answer some questions about the class that they didn't understand.

In the end I felt like I knew what we had learned both in school and in the Groothandelsgebouw and I am very glad I do because now I can contemplate if I would like to work in public events like Cammy does. Next time though, I would probably sit up front so I can concentrate a little better. The skill I would need for this is discipline.

I learned today that acting proactively in class is necessary to be concentrated and to actually learn something because otherwise I'm going to be very distracted. I am satisfied with the way this class went because now I know that I can zone out very easily and do something about it next time. This is very important because if I keep getting distracted I might miss out on key information and do my homework wrong or not make it at all.

Situation

On September 14th at 4 p.m I celebrated my 17th birthday with my friends in my garden. My goal was to give everyone a fun and enjoyable evening. The location was at my home and the target audience was between 16 and 17 years old.

Task

My task was to send invitations to all my friends, buy food and drinks. Clean and tidy up the garden so that I could decorate it nicely. My goal was for everything to go smoothly, so I bought extra food and drinks just in case, because it’s better to have too much than too little. I assumed everything would go well because I had enough food and drinks for everyone, and the garden looked very cozy. I thought it was important to offer everyone food and drinks, and after a while, everyone could help themselves. The party was very successful, but next time, time management could be better as we ran out of time to prepare the food. The other skills I used were communication and organization.

Action

To solve time management I asked two friends to help me out with preparing the warm dishes. My friends were happy to help me out with dinner. I was very happy when my friends could make time to come earlier to help me out. Specially because I am weak with preparing warm dishes. I am realived and thankful for their help on my 17th birthday.

Result

It ended with a really nice evening and I think other people felt the same way. The only negative was the time pressure that was there in the beginning, but for the rest the whole evening went smoothly which was very nice. Next time, to avoid the time crunch, I would start preparing the dishes earlier so that the food and drinks are ready on time. The skills I would do differently next time is time management. What I learned from it is to prepare dishes more easily and not a complex dish because with such a large group there is no time to be the chef for someone like me who is not often found in the kitchen.

Reflection

What I have learned is that you really need to start planning and shopping on time, otherwise you will truly be in a time crunch. I was pleased with the results because I found it to be a very enjoyable evening. The most important thing I have learned is to do groceries in a timely manner, cook on time, and not be afraid to ask for help from your friends when it is truly necessary.

have learned is to do groceries in a timely manner, cook on time, and not be afraid to ask for help from your friends when it is truly necessary.

Zomerstadion live

Situation:

on the 13th and 14th of September from 17.30 till 22.15, me and a few of my classmates were scheduled to go volunteer at zomerstadion live in Utrecht. My task on the first day was mostly handing out paper bracelets to guests after they got their tickets scanned. Towards the end of the night my task was to make sure people knew where to go, and to make sure no one entered the sky boxes if they didn’t have the skybox tickets. On the second day I was given the task to make sure everyone knew where they had to go and to make sure nobody without skybox tickets got into the skyboxes again. The event didn’t necessarily have a target group. I believe their goal was to make sure people had a fun night, while making profit and making sure everything went well and safely. I had very much fun and tried to learn from my experience.

Task:

My responsibilities were to make sure everyone stayed in their assigned areas, making sure that people were walking and not running up the stairs and giving people the right color bracelet. I didn’t know exactly what to expect when I went there. A few of my classmates were assigned to another event a week before, and did not enjoy it. They complained about different things, so I was hoping for better circumstances. Which we got, we got breaks when we needed them, our supervisor was always asking us if we needed something and if we were comfortable or asking us if we needed to drink something or to switch with our other classmates. he even got us chairs, so we didn’t have to stand to whole time. A skill I needed was patience because I often had to repeat myself about not running on the stairs for example.

Action

I gave people their bracelets and made sure they went to their assigned areas. I think I handled it well, there were no complains and for the most part everything went smoothly. Most people listened to me but with some kids I had to repeat myself a few times. I had a fun, and it was very interesting to see everything behind the scenes.

Results:

The event was successful both days and we all did our tasks good and helped to make sure everything went smoothly. We were scheduled until 10.15 PM, but they let us go home at around 10 PM so we didn’t have to wait longer for the train. What I’d do differently next time is getting all the things I could need through out the evening out of my jacket and wear a sweater or just warmer clothes in general. Even though our supervisor gave us jackets it was still very could. I could’ve prepared myself better.

Refection:

Looking back, I also understand the importance of being prepared better. I also learned that I’m more social than I thought and adapt to new places/ situations faster than I as aware of. I was pretty satisfied with ho things went and for the most part everything went as planned.

Zomer stadion Utrecht

Situation:

On Sunday, September 8th, from 1:00 PM to 6:00 PM, I did volunteer work at the Summer Stadium in Utrecht. The program was simple. First, we were given a tour, and afterward, they explained exactly what we needed to do. The event was a beach volleyball tournament, and many different people attended, though the majority were volleyball lovers.

My task was to scan tickets and put wristbands on people as they entered. It was fairly easy, although a lot of people arrived at the same time during the entry period, which made the start a bit hectic. Once the initial rush was over, it became more manageable, and I enjoyed interacting with the attendees and being part of the event's organization.

Overall, it was a great experience

Task:

As I mentioned earlier, my main responsibilities were to scan tickets and put wristbands on guests. It was also important to guide people to the right areas, ensuring they knew where to go. My goal was definitely to get a good behind-the-scenes look at how such a large event is organized, and I was able to do just that. The event was well-organized, and whenever I didn’t understand something, there was always someone ready to help me. I also had plenty of opportunities to take breaks when needed.

A skill like customer service and being able to handle stress was definitely essential in this role, as people had many questions, and there were often large crowds arriving all at once. I found that keeping a calm and friendly attitude made things run much more smoothly. Overall, I feel like this experience helped me grow and gave me a clearer understanding of what it takes to work at large-scale events like these.

Action:

It was a great experience. After getting some instructions and trying it a few times, I quickly got the hang of it. The supervisor checked in often and was happy with how I was doing, which boosted my confidence.

Although there were some stressful moments when I made people wait, I was able to recover quickly each time. The team was very supportive, which made everything easier. I learned that patience and staying calm under pressure are key, and I’m grateful for the lessons this experience taught me.

Results:

I found it to be a really enjoyable experience, and I would definitely do it again. Next time, however, I would love to take on more responsibilities. This time, I mostly scanned tickets and put on wristbands, so I didn’t get the chance to learn about some of the other tasks involved in running the event.

That said, I did get a good understanding of how everything operates behind the scenes, especially how the team follows a strict schedule to keep the event running smoothly. It was interesting to see how much planning and coordination goes into each part of the event. I hope that in the future, I’ll have the opportunity to learn even more about event organization and take on different roles to broaden my experience.

On September 13th at 5:30 PM our school organized that we could volunteer at the Zomer Festival Live. The event included live music, food, and drinks. It was held in de Jaarbeurs in Utrecht. The goal was to bring people together with music and food. The target group was mostly older people who love Dutch music.

Together with another person from my group of that day we had to help with delivering the food to the skyboxes. This was the first day of the event on a Friday. It was not busy and there were not a lot of people. Because of the lack of people, we did not have to do anything really. Almost nobody ordered any food from the skyboxes. So, we walked once or twice. I expected it to be busy and to have a lot to do. There was no skill necessary because we did not do anything. But I think that if we had to do something we would need communication.

I delivered food once to Skyboxes. After the food was done, I was told which skybox to bring it to and brought it over to them. The food was for the people that worked behind the bar in the skybox area, and they were happy with their food. It made me happy to see the people happy with their food. I did like the overall vibe between all the volunteers. Everyone was nice to each other and helped each other when needed.

The group from our school got to leave earlier because there was not anything to do for us. It was just a fun evening for us, and it did not feel like we really had to work. So, we were all happy with our results. I do not think that there is something I could have done better because there was so little to do. I learned that not every event is successful and that you need a lot of patience.

To conclude, I learned that not every event is successful and especially not on the first of three days. And, that you need a lot of patience. I was satisfied with the result of that day because even though we did not perform any tasks; I did make a lot of connections with my fellow classmates.
