NYC replacements need to be completed from time to time, usually for wide reading. Someone from Operations (usually Mack or Mary) will email or let us know. We are supposed to know 6 days in advance allowing us or Ops 2 days to determine needs and 2 days to replace while still giving fulfillment 2 days to pack and ship. This system is not perfect, yet, and sometimes we don't know until the day before. Use the "Inventory no ROG within 1 year v2" report found here: V:\Operations\Public\2012 Inventory to fill these collections.

The same report we use to find NYC replacements is our slow moving inventory report. Goal #1 is to get all high quantity worth using onto as many routings as makes sense. Goal #2 is to filter through the lower quantity, weed out what isn't worth using and have Ops remove it from inventory, and use the remaining low quantity titles to fill collections on the table.

The Reading Team is in charge of the Custom Family Library Benefit that we offer. We use JIRA to keep track of the collections and where they are in the process. The process starts with one designer reaching out to the employee and setting up a time to talk to the kids, or get ideas from the employee if they want it to be a surprise. Then we make a draft routing, share it with the employee and get feedback, then we make any necessary changes. After that we print the form from JIRA, write the routing ID on the form and submit it to Annette. The collection will "ship" 6 weeks AFTER we submit the form to Annette.

Sometimes we get customer concerns. Sometimes those concerns are super valid and we remove books from collections. Sometimes those concerns are so valid, we want to know when we've used the book in the past to see if we should do something proactive. The report we use to see where we've used a book in the past is the "Work Order Transaction History for Item" report. You can find it here: V:\Operations\Public\2012 Assembly\Inventory Transaction reports

The Lakeshore, Brand New Readers and Saddleback Hi Lo books come in multi title sets. We are trying to NOT order these sets and use up what is already in inventory. I met with Sarah before winter break to talk about a plan to have ARC Press publish better titles to replace these for us in wide reading. She was open to us using the books we have as our model and submit scripts to her as a starting point. This is especially important for 1G and 2G collections that are often short.
