This is to check how much quantity we have ordered and received on a monthly basis for all the items that on the list.

I have been assigned to list down the total quantity of the purchase of item for the next month, April. To bid the price down as the hotel is buying on a large scale. This helps the hotel to save cost in terms of expenses on produce & poultry by buying on a large scale.

In the BSS need to make amendments of PO to tally with the invoice received from the suppliers. The amendments could be in the changes of price per unit that has not been updated in the system or the amount ordered and received is not the same. As in for the price difference, we will follow the new price given in the latest invoice submitted by the supplier and update it on the system respectively. And for the changes in quantity ordered, we will have to cancel the existing PO and create a new one with the amended quantity of item. This is simply because we are unable to amend any POs that have been already submitted in the system and received by the supplier. The new PO that we are creating by canceling the existing one will not be mailed to the supplier as it could be mistaken for double order. These amendments are only made for our side accounts o be tally on our paper and system.

Create Project Summary Overview for Capex Item with the details of top 3 buyers shortlisted and their price with the chosen one to carry on with the payment. The letter consist of Capex budget, work scope, rational and benefit of the item raised to be purchased. Bid specifications will also be included at the end of overview for further support on the decision on choosing the supplier.

Accompanied StoreKeeper to issue alcohol beverages to the outlets that requested it once the suppliers delivered them.

Process of the issuing.

Check the list on the PO and ensure all the bottles requested are available. If unavailable do a remark in the list with a reason eg. supplier on delay or no stock.
To all the available bottles in the list, before releasing to the outlets, we have to label them with stickers of month and outlet stickers.
Both stickers comes in different colors and outlet stickers comes in their theme colors respectively.
The correct orders to stick the sticker is to place them at the back of the bottle on the narrow side of the labeling. The month sticker should be on top of the outlet sticker.
This way of sticking is to ensure if anyone tried to remove the stickers it will torn off the labelling as well and it will leave proof of stickers. It is not allowed to peel off the stickers.
Once done, both the store keeper and receiving person from the outlets must sign the po held by the storekeeper for proof of receiving purpose.

once the supplier arrived and hand in the invoice must check the item that is received is tally according to the PO and place it correctly in the designated outlet space prepared for the chefs and others to take it when they arrive later. if the item is not according to the PO, must do a side note and later have to recovery to ensure PO and Invoice amount tally.

My manager tasked me to engage with the new supplier who is opted to make the guest slippers and had to ensure the new slippers are exactly the same as the previous one.

As this was a new supplier to create the slippers, we had to ensure they are aware of the specification of the items accomplied by our hotel.

This has to be done before the start of closing so that the report being printed would not show variance later. Club Lounge is an outlet specially for VIP members of Marriott. Lately customers have been requesting for water on different temperature of hotness and so the manager have requested to order one cuckoo for the outlet same as the one in staff cafe. I have been tasked to engage with the supplier and show them the location of placing the water filter to know if there would be any issues or complications before proceed order.

Partial Deliveries from certain suppliers as in f&b or general might be pre orders which could take time almost 3 months. In those scenarios, it has to be kept in a different files till the order is completed. Once done, after checking the status of the po in the system showing complete.
