We chose the barista role for our Structured On-The-Job Training (SOJT) because they are at the forefront of customer engagement and play an important part in ensuring the store's successful functioning. Their ability to multitask, prioritize, and maintain accuracy has a direct impact on customer satisfaction, operational efficiency, and overall brand reputation. Given the high-pressure nature of their work environment, especially during peak hours, baristas frequently encounter challenges such as managing many orders at once, responding to customer concerns, and maintaining product quality.

Through SOJT, we aim to provide baristas with the practical skills and confidence they need to face these problems effectively. This hands-on training method allows participants to learn while carrying out their jobs, ensuring that skills are immediately applied in a real-world situation. By focusing on baristas, we address a critical issue that affects both customer experience and team dynamics, fostering a more efficient, collaborative, and customer-oriented work environment.

The first step is conducting a Training Needs Analysis (TNA) to identify skill gaps in multitasking and prioritization among baristas. The target audience of this module is the new barista . Additionally, available resources, including equipment, trainers, and the training environment, are assessed to ensure the necessary tools and conditions for effective training.

The next step involves defining SMART (Specific, Measurable, Achievable, Relevant, Time-bound) training objectives, such as reducing order errors and improving speed. The training structure is then planned using the Whole-Part-Whole approach, ensuring a systematic progression from individual tasks to a comprehensive workflow. Appropriate teaching methods, such as hands-on practice and simulations, are selected to enhance learning. Finally, assessment tools, such as practical tests, are developed to evaluate trainee progress and ensure the objectives are met.

The next step is to create the training module, which is divided into sections such as the introduction, techniques, workflows, and scenarios. This structure ensures clarity and coherence throughout the training process. Training materials, such as printed check-list and handbook, are developed to support the learning experience and reinforce key concepts. Additionally, trainer guides are prepared, outlining roles, expected outcomes, and methods for providing feedback, ensuring trainers are well-equipped to facilitate the training effectively.

The training environment is set up with the necessary tools and materials, ensuring everything is ready for the session. During the training, the trainer delivers demonstrations, guides practice, and facilitates real-time application of skills. Throughout the session, the trainer closely monitors trainee progress, providing feedback to ensure proper skill development and address any challenges that arise.

Trainee performance is assessed through practical tests and real-world application, ensuring that the skills learned are effectively applied in the workplace. Feedback is then collected from trainees, trainers, and customers to evaluate the overall effectiveness of the training. Finally, the results are analyzed to identify areas for improvement, and the training module is revised to enhance its effectiveness for future sessions.

In developing this SOJT module, we emphasized the necessity for systematic training to enhance efficiency, multitasking and customer service. A clearly defined stepwise workflow needed to be designed, leveraging the best detail without being too complicated to render it too difficult for trainers or the trainees who used the modules. Key challenges we encountered included simulating realistic scenarios, catering to diverse levels of knowledge, and cramming considerable amounts of content into time-constraints, but strategic problem-solving and organization helped us to overcome these obstacles. Overall, we take pride of the practicality and uniformity of the module but have some ideas for improvement as well like adding more interactive elements and assessments post training. In general, this was a great chance to build a very complete and effective training tool and to keep improving it in the future.

As we developed this SOJT module, we used ChatGPT to brainstorm and draft the organization of our ideas. For instance, we leveraged ChatGPT to help us produce a framework for the module, visual presentation ideas, and professional language for reflective practices for self-assessment.

It also assisted in honing our explanations to be succinct and relevant to the goals of the training program.

Our understanding of what baristas do and of how to design training processes drove the creation of the core concepts, the workflow design and prerequisites. In terms of the content specifics real-world challenges and other complex decisions, it all stemmed from our analysis and problem-solving.

To summarize, ChatGPT helped with a nice presentation format and structuring some language around it, but what the module was about, our goals around it a the content, were from our own brain and were rooted in barista training needs that we recognized.

We developed this SOJT module to improve efficiency, multitasking, and customer service through clear, step-by-step training. While designing it, we faced challenges like simulating real-life scenarios, catering to different knowledge levels, and fitting a lot of content into limited time. With strategic planning, we overcame these issues and created a useful, uniform module. Moving forward, we aim to improve it by adding more interactive elements and assessments. Overall, this was a valuable experience in building an effective training tool.

Using the Whole-Part-Whole model in training was an insightful experience. Starting with an overview of the full workflow allowed trainees to understand the big picture, including potential challenges like peak hours and customizations. This initial phase helped set clear expectations.

Breaking down the workflow into detailed steps in the Part phase allowed trainees to focus on mastering each component, such as taking orders, organizing, preparing ingredients, and serving. I observed that focusing on small steps helped trainees build competence and confidence, but some struggled with multitasking. This taught me the importance of providing clear guidance and being patient.

Overall, this experience reinforced the importance of structured training that blends both big-picture understanding and detailed practice. It also highlighted the value of constructive feedback and patience in developing technical skills.
