We would like to thank you for delivering a number of polo shirts to us promptly. However, it is to inform you that the price that you are charging for per shipment is not according to the market rate of the concerned packages.

We have some other suppliers too who are willing to provide us the same articles on $4.5 for each. As we are purchasing the articles on $7 for each by you, so we are continuously in a loss of $2.5.

Therefore, we would like to propose that please have a short meeting so that we could discuss the terms and conditions regarding the prices.

Firstly, the actual sample does not have the white letters on a black label attached 1” below the collar stand.

Secondly, the spec sheet requires that the neck width from the highest point of the shoulder (HPS) to another HPS is 5 5/8” but in an actual sample it is 8”. Therefore, you should adjust again to take it in 2 2/3’’.  In the spec sheet, the pocket is on the left of the garment with 6’’depth and 4’’width instead of on the right.

Thirdly, the armhole straight as required in the spec sheet is 8 3/8’’ long but in the actual sample, the length is 8’’. It could be let out by 3/8''. In the spec sheet, the cuff opening is 4’’ instead of 6’’, so the cuff could be let the cuff opening of the sample in 2’’

Next, the waist in the spec sheet is 15 1/2'' but it's actually 24’’ as I have measured on the sample, you could fix it to take it in 8 1/2''.

Finally, the bottom opening in the spec sheet is 17'' but it actually measured 25”, it could be take in 8''.

I have given some comments on the prototype of the shirt and also some suggestions to revise it. I hope that you will soonly revise the sample and give us back on next day. 

The first case is Mrs. Linh On 10/4/2024, she got a needle in her hand. The reason was that she forgot to turn off the sewing machine while talking to the supervisor. Unfortunately, she pressed the foot controller when her hand was under the needle. At that time, first aid was given immediately in the sewing floor and then she was sent to the Medical center of our factory for further treatment. She continued her work on the next day. In order to minimize the cases like this, all workers need to pay attention to turn off all devices when not working for safety purposes.

The next person is Mrs. Anh. April 11, 2024. She burned her hand while she was ironing. She is a new worker so she has no experience and due to her negligence, she was injured. We gave first aid right at the sewing floor and she was then taken to our factory's Medical Center for further treatment. She continued her work the next day.

In conclusion, the data from this form is useful for possible improvements in working conditions. Managers need to provide training for worker, especially for the new staff to avoid unfortunate accidents which will affect productivity and work quality.
