Project Management Internship, April 01 - September 30

Project management responsible for planning and overseeing projects within an organisation, from the initial ideation through to completion.

On the first day the HR team provided a brief orientation about the internship program. They distributed company swag, including a bag, pen, and t-shirt, and issued ID cards for office access to the interns. I met with my supervisor, Ms. Foong, who conducted a company tour and arranged my laptop and accessories through the IT department.

April 2nd

the project management team provided a brief overview of the project management framework at Boston Scientific. The Boston Scientific Intranet (BSC Connect) was explored, and policy and regulation documents were referred to there.

April 3rd

As a new intern trainee, I was required to complete the assigned training. Under my supervisor's guidance, I successfully finished all the training modules using the My Learning Success Factor platform.

Assigned to revise the PPMS Guidebook, PowerPoint slides were created that incorporated information on the new featured system

April 5th

A tutorial on "How to Insert & Extract 4 Panel" was created using screen recording, and captions were added to the video.

The PowerPoint slide and tutorial video were reviewed with the supervisor, and both were uploaded to the PPMS Guidebook. Following this, the assessment in "mylearning" was continued.

April 16th

On the following day, the supervisor provided a briefing on projects including the Scrum and Sprint frameworks. Concepts such as Scrum, Sprint, the roles of team members, project duration, the Scrum schedule, and details of the agility framework were covered in detail.

April 17th

Met with Mr. Gabriel, a Senior Manufacturing Engineer and Scrum expert, along with the supervisor. Mr. Gabriel added the individual to several team groups associated with the ongoing project. One of the team members, Mr. Shaiful, an Associate Project Manager, shared notes and examples of the Scrum framework. He explained in detail about the Scrum framework used in Boston Scientific, daily Scrum meetings, and the associated schedules.

Volunteering for the Mental Health Outreach Program organized by Boston Scientific was on 18th April 2024. The workshop aimed to promote the importance of mental health and suicide prevention among youths through interactive sharing sessions. Collaborations were made with SMK Bandar Tasek Mutiara for this initiative.

April 19th

I met with Mr. Nic, our equipment engineer, to discuss about the CER 4 Cleaning room process into the daily scrum meetings. He explained the gowning procedure for entering the cleanroom and detailed the Balloon Catheter Assembly process, including stamp insertion, coating, cleaning, and inspection. Subsequently, the entire scrum team entered the cleanroom for the 15-minute daily scrum meeting. The scrum members updated each other on daily activities, discussed project progress, identified development needs, and reported completed tasks.

The Bsc team conduct new employee orientation program on 22nd and 23th April (Monday and Tuesday). All the New employee and interns participated as well.

Second day of NEO program.

On this day, my industry supervisor, Ms. Foong, assigned me an assignment regarding the upcoming project. Mr. Gabriel and his team assisted me, providing a briefing on document control. I learned the process of document control and how to update the drawing equipment's daily records.

April 25th

The next day, I was assigned a small task on document control. Referring to the previous day's briefing and the materials provided, I successfully completed the e-spec drawing equipment file.

April 26th

I submitted my task to Mr. Gabriel's team for review, and they provided feedback, which I addressed by making necessary corrections. Afterwards, I proceeded with my learning activities on the BSC intranet. It's crucial because all BSC employees must complete the necessary training on myLearning before gaining access to the software system.

As usual, my morning begins with an IVOT Scrum meeting, followed by an SDC Scrum meeting, and then a Documentation Review Scrum meeting. Afterwards, I have some updates to make on the E-SPEC drawings, and I also completed a review update of the ESPEC document reviewed by the India team and Greatech, one of the vendors for SDC. Later, I had a huddle with my supervisor, Foong. She explained the review of my first month, detailing the reasons behind each Scrum meeting I attended and providing an overview of Scrum and Agile methodologies

May 3rd

I took emergency leave because my grandfather passed away early morning.

On this day, I attended my regular three Scrum meetings. Afterwards, I had to make some corrections on the E-SPEC drawing updates. If I had any doubts about the E-SPEC update, I referred to Gabriel for clarification.

May 8th

On this day, I attended all three of my Scrum meetings. Gabriel identified an issue in the E-SPEC drawing, so he arranged a meeting with the E-SPEC team, including me, and also with the India Team. During the meeting, he sought clarification about the equipment and part numbers. Additionally, some systems were updated from Line 1 to Line 2 SDC. As a leader, Gabriel ensured that all current information was updated, and we all collaborated on the necessary tasks

May 9th

I attended my usual scrum meetings as usual, and then I proceeded to update an E-SPEC drawing for a new system that had been assigned to me. Later in the afternoon, we had a town hall session that all BSC employees attended. During the town hall, the President provided updates on the company's quarterly performance, including quality, business projects, and achievements.

May 10th

After the daily meetings, I proceeded to update an E-SPEC drawing for a new system that was assigned to me.

I attended three daily scrums: the SDC Daily Scrum from 9:00 to 9:30 AM, the DES Daily Scrum from 10:00 to 10:30 AM, and the Documentation Review Scrum starting at 10:30 AM. I had some review updates on the equipment, so I worked with the SDC drawing team to update the current drawing numbers used in Line 2.

May 14th

On May 14th, after finishing all my scrum meetings, my industry supervisor, Ms. Foong, assigned me a task. She asked if I had any proposals for improvement based on my observations from the scrums I attended. She wants me to develop a proposal for scrum improvement at DES or SDC based on my understanding. Additionally, she would like me to be involved in the workstream meetings that she hosts, as this may help me establish more connections. I also have newly added meetings to attend as an observer, and there are ESPEC drawings update meetings every Tuesday. It was a busy day for me.

May 15th

On Wednesday, I had a meeting with my supervisor. She explained project dependencies to me again and how the three main projects (DES, SDC, and CSP) are part of one portfolio led by Ms. Foong. She discussed how the scrum process is run effectively, what the product backlogs are, and she also wanted me to identify the critical path. She asked me to review the scrum assessments and materials again to improve my understanding of scrum. After that, Gabriel asked me to review the ESPEC update sent by the India team. I created a file for the review update and sent it to Greatech, one of the vendors in BSC, to confirm the review update.

May 16th

On this day after my regular scrum meetings, I had a short meeting with Mr. Chong, a member of the PMO team. Mr. Chong had a casual talk with me and advised me to normalize the working environment, suggesting that I should stop seeing myself as an intern and start working as an employee. He emphasized that learning is more important. Moving on to the task, he assigned me to explore the PPM system. He also forwarded an email instructing me to enter project resources into the PPM system. Before doing this task, he wants me to review the PPM guidebook and learn how to perform the assigned tasks.

May 17th

On this day, I attended all my regular meetings. Following these, as per my supervisor's request, I reviewed the scrum materials and assessments again to gain a better understanding of the process. After completing this review, I had a detailed discussion about the ESPEC drawing updates.

I have meetings until 11 a.m., followed by documentation work on equipment drawings. I'll review and update drawings, ensuring accuracy, and collaborate with stakeholders for any revisions.

May 21st

I have my usual Tuesday schedule packed with two additional meetings: the Qualification Workstream Weekly Meeting and the SDC Line Transfer Status Meeting after the break. It's a day filled with meetings, including scrums, and also involves reviewing documentation.

I had my regular meetings. I also received a review update of equipment drawings from the India team, and I reverted back by making some amendments. Lastly, I converted it to red or black.

 May 28th

I had physical training on problem solving for practitioners. In the training, we learned: • identify applications for problem solving; • review the problem solving road map; and • frequently used tools. • Apply the tools in a hands-on “Boston Pizza” workshop; • Enable you to apply the problem-solving roadmap back on the job.

May 29th

I had my daily meetings, and then. We had a team lunch with my department head Kevin from Galway. Later, I had a huddle with my supervisor. In the discussion, she assigned me the task of "what is my observation from the daily scrum?" and then what improvisation can be done in the scrum? and lastly, propose a scrum template to the ongoing scrum meeting. She also told me to help on the SDC line in documentation control, which was handled by MY (the equipment engineer). In the discussion, I also told my supervisor that I wanted to gain practical knowledge in my study field of supply chain and logistics, and she asked me to seek help from intern at the GDC (global distribution center) and also seek approval from that department supervisor.

May 30th and 31st

I had my regular meetings, and then I worked on the project that was assigned by my supervisor. I found some materials and assessments regarding the scrum and highlighted the key points. On Friday, I also had a meeting with EHS regarding the EHS week. As an intern, I'm volunteering for the EHS program. I also had small discussuion with GDC intern about the knowledge sharing session with her supervisor.

After attending my daily scrum and general meetings, I joined a meeting with the EHS team. They are seeking intern support for the upcoming EHS week. During this meeting, the team explained the tasks and the program for the event.

June 5th

This day i decided to having huddle session with the shipping team.As a supply chain and logistics student, I am eager to explore the logistics and supply chain processes in my working environment. To this end, I scheduled a meeting with the Associate Project Manager at the Global Distribution Centre (GDC), who oversees shipping. From this session, I gained valuable insights into the processes and supply chain operations used in my company.

June 6th

Today, I completed my regular work and, after lunch, volunteered for the EHS program, specifically the Audiometric program. I was in charge of registration, and another intern accompanied me throughout the session.

June 7th

Throughout the entire day, all the interns enthusiastically participated in the EHS (Environment, Health, and Safety) program, which included a diverse array of booths dedicated to promoting health, safety, and environmental awareness. I chose to volunteer at the Recycling booth, where we engaged Boston employees in various interactive and educational activities aimed at promoting sustainable practices and raising awareness about the importance of recycling.

Throughout the day, all the interns actively participated in the EHS (Environment, Health, and Safety) program, which featured various booths dedicated to promoting health, safety, and environmental awareness. I specifically volunteered at the BOMBA booth, where we engaged Boston employees in interactive and educational activities. Our goal was to encourage sustainable practices and highlight the importance of recycling.

June 11th

I attended a project management training session at my company conducted by one of my teammates. During the session, I gained valuable insights into project management, focusing specifically on agile methodologies, dependency identification, and project road mapping.

I began the day with our regular general meetings, where updates and progress across various projects were discussed. Following this, I dedicated my focus to a project assigned by my supervisor. She tasked me with developing a scrum template and conducting observations based on the DES IVOT Scrum methodology. This project is integral to enhancing our team's agile practices and project management efficiency.

June 13th

My day commenced with routine tasks and responsibilities. After a productive morning, I took a lunch break and then proceeded to attend a Power BI training session organized by the apps team at Boston Scientific. This training provided me with valuable insights into the capabilities of Power BI as a data visualization and analytics tool. I explored its technical aspects, learning about data modeling, dashboard creation, and the integration of various functions within Power BI. This experience not only expanded my software proficiency but also deepened my understanding of leveraging data-driven insights for informed decision-making in project management and analytics.

June 14th

Throughout this period, I have been actively engaged in refining my project template. Recognizing the importance of creating a robust framework, I sought guidance from a colleague in the Project Management Office (PMO). Collaborating with them proved invaluable as they provided valuable insights and practical suggestions that enriched my understanding of effective project structuring. Their mentorship not only assisted in streamlining the template but also enhanced its applicability to our specific project needs. This collaborative effort has been instrumental in ensuring that the template meets the standards required for efficient project management within our organization.

June 19th

I attended my daily meeting and then participated in a brainstorming session with my team members about my scrum template.

June 20th

I explored various project management tools that can be used in scrum templates. I have experience with Jira software, Kanban boards, and Power BI, and I have also learned detailed Excel techniques.

June 21st

At Boston Scientific, management consistently prefers using Microsoft software for all their work. Therefore, I planned to integrate Jira software with Power BI to align with this preference. I researched and learned about the proper tools and methods for interconnecting these platforms, ensuring seamless data flow and enhanced project management capabilities.

June 28th

After completing the Agile and Scrum fundamental training, I revised and enhanced my observation slides for my upcoming presentation. The training provided me with a clearer understanding of project deliverables and dependencies, allowing me to incorporate these insights into my slides. I also reflected on the key points I noted during the training, comparing my knowledge before and after the sessions. This comparison highlighted significant growth in my comprehension of Agile practices, enabling me to refine my presentation with more accurate and insightful content.

I attend my daily meetings and actively explore Power BI and project management software to expand my knowledge and enhance my skills in scrum methodology.

July 2nd

Today, I have scheduled my daily meetings, followed by a follow-up session with my industry supervisor. I will also be collaborating with her during the qualification workstream weekly meeting. This meeting includes participation from all department heads, providing a comprehensive overview and ensuring alignment across various departments.

July 3rd

Today, I will be involved in the SDC Line 3 planning session with my industry supervisor. During this session, we will discuss various aspects of the project, including detailed project planning, establishing deadlines, identifying dependencies, and outlining the key deliverables. This collaborative effort aims to ensure that all elements of the project are clearly defined and aligned for successful execution.

July 4th

I attend the daily meetings, after which I focus on tasks related to documentation control. Additionally, I am working on developing my scrum template by exploring and incorporating more advanced features. This continuous improvement process helps me enhance the efficiency and effectiveness of our project management practices.

July 5th

Today, I visited the Boston Distribution Centre to observe both the inbound and outbound processes in action. During my visit, I also learned about the use of rapid response techniques in forecasting, gaining valuable insights into how the center efficiently manages its operations and responds to changing demands.

Today, I attended my daily meeting, followed by a huddle with my SV, during which she asked me to focus on improving my project. Later, I participated in the Qualification Workstream weekly meeting with my supervisor, where we discussed key updates and next steps for the project.

July 10th

I had my daily meeting, and later on, I worked on improving my scrum template and observation slide as per my supervisor's feedback. This involved incorporating her suggestions to enhance the overall quality and effectiveness of the presentation.

July 11th

Today, I volunteered for the Mental Outreach Program with the Boston team at SMK Methodist. The program focused on promoting and taking care of students' mental health, providing them with valuable resources and support to enhance their well-being.

July 12th

I continued with my daily meetings and regular work tasks. Additionally, I had a meeting with the HR department to discuss my upcoming volunteer participation in the MS interview session next Tuesday. We went over the details and expectations for the interview to ensure I am well-prepared for the session.

Today, I assisted the HR department with the weekly walk-in interviews, where I was involved in document screening during the interview sessions. After that, I had a huddle with my supervisor. During the huddle, my supervisor reviewed my template and provided me with feedback.

July 17th (Medical Leave)

Today, I felt sick and took a one-day medical leave.

July 18th

Today, I revised and improved my template based on my supervisor's feedback. She reviewed the updated template again and approved it.

July 19th

Today, my supervisor informed me about a project presentation with the engineer, where I need to present and justify my template. We also discussed scheduling the presentation. She mentioned that the SLT from Galway will visit in August and September, during which my internship presentation will take place. I need to prepare a summary of my internship. I contacted HR for details on the presentation and updated my supervisor.

I attended my daily meetings and subsequently began working on my internship report, referring to the Boston Scientific Annual Report 2023 for information.

July 23rd

I discussed the scrum template project and my observations with my supervisor. She asked me to coordinate with the equipment engineer to schedule a meeting. I arranged the calendar with the equipment engineer to discuss the new scrum proposal. Additionally, my supervisor invited other team members from the production and quality departments to the meeting.

July 24th

On July 24th, I felt unwell and took medical leave for the day.

July 25th

I had another discussion with my supervisor, and we planned to schedule my internship presentation for early September. This timing was chosen because our department’s SLT will be visiting Penang from Galway between August and September. We consulted the SLT admin, who provided September 5th as a possible date. I checked the availability of my department members and representatives from the HR department. After a detailed discussion, I successfully booked the slot for that day.

July 26th

On this day, I improved my scrum template and the observation slide. I also began working on my internship report, which is due by September 5th. Additionally, I brainstormed ideas for my internship presentation.

I was still feeling unwell, so I took medical leave for the day

July 30th

I had a huddle session with my supervisor. She asked me to present a preview of the scrum project and invited one of the PMO (KJ) as a reviewer. I presented my project, and they requested some minor improvements. Additionally, they asked me to monitor the scrum project for one month after the product owner’s approval, until my internship presentation. I will also include the implementation details in my presentation.

July 31st

I made some improvements to the scrum project and explored Power Automate to configure Microsoft Planner and Outlook for automating daily task updates. This will eliminate the need for the product owner to send emails manually to everyone. I also received feedback from my supervisor, who provided additional suggestions for the project.

I had a discussion with the Product Owner and my supervisor about a new scrum template. I presented the new Planner template and its functionalities, shared my observations from the scrum meetings, and suggested improvements, including using a Kanban board to track task progress across departments. In addition to this meeting, I also attended a town hall session involving all BSC employees, which focused on the quarterly review and future goals.

August 2nd

I participated in an intern hangout where all the interns gathered for fun activities throughout the morning. Later in the day, we had a rebriefing session for the Family Fiesta event, where I volunteered to help.

August 3rd

we held the Family Fiesta, a fun event attended by employees and their families, featuring various activities and food trucks. Each employee received an RM 80 voucher for the event. As a volunteer, I led plant tours for the families, guiding them through the facilities and explaining Boston Scientific’s product offerings. I also highlighted the awards and recognitions Boston Scientific has received.

August 6th

The next day, I have my daily meeting, and additionally, I've been invited to observe the Mixing Scrum, so I’ll be observing their processes as well. In the afternoon, I have a weekly qualification meeting on Teams, where the Product Owner escalates process issues, provides updates, and discusses the project deliverables.

August 7th

I followed my daily routines and worked on refining my proposal template, as well as improving the Kanban board for a more high-level visualization of tasks and progress.

August 8th

I had my meeting in the morning, where I updated my summary for my industrial supervisor. After that, I attended a talk session by an Adventist nutritionist, which was open to everyone. This was followed by a group counseling session for WMP 2.0 participants only. Additionally, I participated in an external weight management activity, which is part of a program of BSC.

August 9th

I had my daily routine meeting, where I provided updates on my work and monitored the Scrum process. I am also planning to implement the Planner app in alignment with the Product Owner's preferences.

August 13th

I regularly attend my daily meetings, and this afternoon, I was invited to join the CSP line daily scrum. Now, I am monitoring two main lines: DES and CSP.

August 14th

This morning, I presented the Planner template to the CSP Product Owner. I plan to implement the Planner for CSP first, as I want to start with smaller lines based on my supervisor's advice. The Product Owner agreed with the proposed Planner. After our discussion, I followed up with the Product Owner via Outlook and listed the deliverables.

August 15th

Today, I assisted the Product Owner in creating the Planner template for the daily scrum, which he implemented during the meeting. I monitored the process and provided suggestions while explaining the various functions available in Planner. The Product Owner adapted well to the tool, and I helped him assign tasks to all team members.

August 16th

I have my daily routine meeting, followed by the CSP daily scrum, where I implemented the Planner template. During the scrum, I observe how the team uses the template and provide guidance on its internal functionalities. I also explain how to create task cards, manage overall task progress, and assign tasks to team members.

As usual, I manage my daily tasks by monitoring the implementation of the Planner template. I also created a template for the DES line, organizing task management buckets based on progress to visually track task completion. Meanwhile, I am also preparing for my internship presentation.

August 20th , 21st and 22nd

Over the past few days, I've followed the same routine: attending the daily scrum meeting, observing the equipment qualification process, and reporting any issues I notice to my industry supervisor. I work on improving the scrum methodology and identifying solutions to problems that arise. Additionally, I have been working on implementing Power Automate to generate daily summaries for the Planner.

August 23rd

Today, after completing my daily activities, I had a discussion with the Product Owner of the DES line. During the meeting, I introduced the Planner template for their daily scrum and explained its usability, including how to create and manage tasks within the template. I also demonstrated the framework I developed for the daily scrum. By the end of the discussion, she was convinced and ready to implement the Planner template, but made some adjustments to suit her preferences. She organized the task buckets according to the production line and updated the checklist to track task progress.

After my daily meeting and tasks, I had a brief discussion with my supervisor. I had prepared my internship presentation slides and asked her to review them. She suggested removing some slides and recommended shaping the presentation into a more personal storyline about my experience. I took note of her feedback and will make the necessary adjustments.

August 27th & 28th

I completed my daily routine tasks, then revised my internship slides based on my supervisor's suggestions. Afterward, I continued monitoring the Planner template.

August 29th

Today, I reviewed my presentation slides again with my supervisor. She reviewed and approved them, after which I prepared the script for the presentation, listing all the tasks I was involved in and other key points.

August 30th

Today, the Product Owner of DES implemented my Planner template. She started using it, and the team updated their task statuses within Planner. The scrum adapted well to the changes introduced by the template. Later, my boss invited the department members to a farewell lunch for one of my colleagues, so we all went out to celebrate.

Today, after completing my daily tasks, I had a discussion with my supervisor. She confirmed the details of what I’ll be presenting and informed me that my boss would also attend. She asked me to invite someone from the HR team as well. Initially, I invited Safina, who is in charge of intern presentations, but since she was unavailable, I arranged for someone else to replace her.

September 4th

I completed my daily tasks and then prepared for my internship presentation. I went to the meeting room to check my slides and ensure there were no technical issues, and everything went smoothly.

September 5th

Today was my presentation day, and I felt a bit nervous. My internship review was scheduled from 2:00 p.m. to 2:30 p.m., right after my lunch break. After lunch, I went directly to the meeting room and set up everything for the presentation.

During the presentation, I covered my overall experience at Boston Scientific, including the tasks assigned to me, the events I participated in, my life beyond the workplace, and finally, my recommendations for improvement. My boss was impressed with my presentation. He spoke very casually and kindly, which helped ease my nerves. He also gave me constructive feedback, suggesting improvements for some of my task proposals.

September 6th

Today, I monitored the scrum template during the daily meeting. Afterward, I started exploring ways to improve the tasks I had proposed. I considered creating a Kanban Board in Power Apps for the scrum team to manage high-level tasks more efficiently.

I had my daily meetings where I continued to improve the Kanban Board and monitored how the Planner template was performing. In addition to that, I also had discussions with my supervisor about refining the scrum process for better efficiency.

September 12th

Today, Boston Scientific celebrated the 2024 EMAI Ceremony, an annual event organized by the Quality Department. The occasion featured a town hall gathering, bringing together all the IL teams. Notably, Mike Mahoney, Chairman and CEO, along with Art Butcher, Group President of APAC, attended the event, adding to its significance. In addition to the main ceremony, the cafeteria hosted an EMAI booth filled with exciting activities for employees to enjoy. One of the highlights was a photo booth where staff could snap pictures with their friends and colleagues, creating lasting memories with their departments.

September 13th

Following my supervisor's suggestion to develop a Kanban board, I scheduled a meeting with the apps team to discuss the implementation. During our discussion, I presented the framework for the Kanban board and sought their input on integrating it with Power Apps and Microsoft Teams.

The apps team explained the challenges and time required to build the app. They also provided insights into how the board would function within the system. Additionally, they suggested an alternative approach, recommending that the Kanban board could be effectively developed using Power BI, which could simplify the process while still meeting the project's requirements.

Today, I completed my routine tasks and attended my meetings. Given that creating the Kanban board in Power Apps would take more time, my supervisor and I decided to temporarily implement a manual solution. I created a Kanban board template in an Excel workbook and uploaded it to the daily scrum channel in Teams for easy access by the team. This will allow us to track our progress effectively until we can transition to a more automated solution.

Today, I focused on completing my daily tasks and later enhanced my Kanban board template. I analyzed the departments and teams most frequently involved in the scrum process and reorganized the board to reflect their participation more accurately.

September 24th

Today, after completing my usual daily activities, I scheduled a session with the CSP Product Owner to discuss implementing the Kanban Board. He agreed to the meeting and provided me with a time slot for the following day, which I promptly booked.

September 25th

Today, after completing my daily activities, I had a meeting with the CSP Product Owner where I explained the Kanban Board. He mentioned that he was quite busy but would plan to work on it over the weekend and aim for implementation by next week. After the meeting, I followed up on the deliverables via email and updated my supervisor accordingly.

September 26th

Today, I completed my usual routine tasks and then received an email regarding the exit procedure at BSC. The email included a checklist outlining the steps to follow before leaving, such as returning all company-confidential items. I also reviewed my system termination process in SuccessFactors to ensure everything is in order.

September 27th

Today, I completed my tasks and some documentation work. Afterward, we had a fun weekly weight management challenge. Following that, there was a futsal activity as part of the weight management program, held at the futsal court in BSC. We participated in the activity, which wrapped up around 6 p.m.

As usual, I attended the daily scrum activities and monitored the scrum process. I also worked on my UUM practicum documentation, including important checklist items such as the attendance record, evaluation form, student declaration, and final practicum report. I reviewed all these documents with my supervisor and had them signed.
