4) Evaluate options and select the best solution

The best two options I recommend for small group virtual meetings are
Skype and Facebook. Second Life would be a great option, but because of the big learning curve and time it takes to set up, Second Life didn't make the cut.
Skype now comes with Office 365, so if Waking Up, Inc. already has licenses for its employees, this is an excellent free option that is already integrated into their work environment.
Facebook is my second recommendation because of its popularity and ease of use. It's also free and no extra software is needed. It works on any internet accessing device and people can video chat, share PDF documents, links, post messages, and more. Facebook continues to grow in capabilities and even has a dedicated work environment called Workplace by Facebook.
The best solution for Waking Up, Inc. is Facebook.

5) Test and implement the solution

If the virtual staff meetings go well, video conferencing could even be added to the company's client support channels.
After testing Skype for business meetings, I found it to be a little cumbersome. It's not as intuitive as I would have hoped. We kept running into issues with finding the people we wanted to meet with.
Facebook had a few odd attempts but in the end it really worked well. We started out with FacebookLive and discovered that we would need special equipment in order to broadcast writing on a white board. We didn't realize that the video gets reversed, so the written whiteboard messages were backwards.
Once we created Groups on our Facebook Page, we finally had successful meetings. We uploaded the PDF document that everyone needed to review in advance and because the meeting was on the Group Events, everyone received an reminder notification as the meeting date approached. We can easily look back on previous meetings, notes, messages, and links that were shared.
