Through a combination of gaming tournaments, interactive experiences, and charitable initiatives, we work towards creating an unforgettable event that leaves a positive impact on both participants and broader community.

By bringing together a diverse community of gamers, volunteers and supporters, we aim to foster an inclusive environment (Ahmed, 2012) where the passion for eSports transcends consoles. Due to this our Vision for the FIFA event is to create a platform that fuses popular interest with expectation of boosting the potential rate of young-adults volunteering.

To kick off this local event, a welcoming ceremony will take place, emphasizing the importance and gratitude for our volunteers and the teamwork involved in creating a community spectacle. Volunteers are an essential part of this plan, so ensuring their happiness (Graham Cuskelly, L. F. (2021)) means a fluid structure during the event, which subsequently sets a positive mindset.

If access is allowed, Room 120 will be used for educational purposes, quizzes and any other related activities that pursue attendee interaction.

Similarly with 121 and 122, if given access, these two rooms will be used for participant training, attendee gaming rooms as well as an effective area to boost any content creation.

First place: A gift card ( for the given console/PC that the winner plays on) totalling £50-£60, at the moment, this is the price of the recent FIFA release is up for, the prizes money can be lowered depending on how many competitors own the game/compared to who hasn't.

This is why we have chosen the second floor of the Creative Hub at the University of Northampton to accommodate the events scale. The proximity to our intended audience is literally just outside the doors; and the campus facilities enhances the prospect of accessibility, encouraging creative participation from players and spectators.

For gaming equipment, the university's pre-existing gaming lab and extended rooms (120/122) serve as the main foundation for the event. However, maintaining and ensuring these spaces are equipped to the peak ( High-performance PC's, low-latency monitors , streaming equipment) are essential in making this event succeed. Collaborating with the IT department to utilize the best possible performance of our equipment and network ensure all gaming requirements for a successful eSports event to work.

• The way we go about this starts at the root of the recruitment strategy, this primarily involves getting into contact with gaming and sports clubs that are under the university as well as local eSports communities. To do this, we will utilize university newsletters and social media, to seek any volunteers. Interactive engagement and recruitment are organized on campus to attract any potential interests.

Volunteer engagement is central to HRM at any event. Establishing effective communication channels, recognising volunteers efforts, and fostering a community all contribute to a positive experience and welcoming atmosphere. Regular briefings, updates and feedback sessions create this inclusive atmosphere, enhancing overall satisfaction and performance.

• To achieve this we aim to set up regular communication channels, through various links, including a dedicated online platform ( Discord) as well as in person briefings. A recognition system such as ' Volunteer of the day/week' or incentives  (Lim, 2019) will be introduced in training to acknowledge the effort our volunteers are going through. Social events and team-building exercises can also be addressed if it is missing.

Funds are being allocated from technology, stable internet connection and prizes for competitors to logistical requirements and any necessary equipment needed to make this event a success. With the main object being to enhance the participant experience, ensuring a seamless and enjoyable event.

For both gaming related sponsors we aim to use promotional materials, acknowledgement through broadcasts and streams; and exclusive mentions on social media.

Similarly, our main objective for hosting this eSports volunteer event, would be to promote community engagement and foster this sense of camaraderie amongst likeminded people, creating a platform for skill development, teamwork and shared passion for online gaming and EA titles.

To create a community event and encourage networking, a gamers lounge made in one of the two rooms above with casual setups might be arranged. This space allows attendees to relax, connect; and meet other likeminded people. This area could also include, gaming theme quizzes, trivia contests, and mini-tournaments that could potentially be organised to keep the atmosphere more interactive.

Another key component of the FIFA volunteer event is based around charity initiatives. Participants would be encouraged to livestream their gameplay for a charity of their choice ( such as Extra Life or Gamers outreach foundation), with all proceeds going towards causes related to gaming accessibility or supporting underprivileged communities . This dual-purpose approach adds a philanthropic course to the event, making it more meaningful for all involved.

An educational aspect could be incorporated ( depending on the level of interest), featuring workshops and panels of the eSports industry, game development and the potential paths that eSports can take. This not only adds value for the attendees interested in the industry, but also aligns with the educational benefits of volunteering and community engagement.

Closing ceremonies will effectively celebrate the achievement of the tournament winners and acknowledge the collective efforts to make a successful event. Recognition awards and certificates would be distributed during this time, emphasising community, dedication and thanks to all involved.

In conclusion, a volunteering FIFA eSports event, extends far beyond the concept of consoles, allowing this event to become an experience, blending competition, charity, education and community building, that not only entertains but leaves an impact on the university and the local society.

• A detailed code of conduct will be established upon recruitment, so that volunteers and players understand the importance of their ethics. The guidelines shall include professionalism, respect and confidentiality. Clear procedures shall be put in place for conflict and reporting mechanisms for inappropriate behaviour are put into place, as well as the consequences for going against any conducts.

Being able to prepare for unforeseen challenges is the biggest struggle for us to prepare for. We are actively going to create a contingency plan for emergencies  (Smith, 1990) or unexpected disruptions that ensure a swift response. Regular drills and communication protocols can help minimise the impact of such crises.

• The crisis management plan is created to include virtual scenarios for online and offline events. To prevent the likelihood of a crisis, we will have open channels ( on Discord) for real-time updates during the event. Volunteers, as part of their training, will also endure simulated crises to help prepare and learn for unexpected challenges.

  
  

In conclusion. the revised HRM plan focuses on a range of subjects, with adjustments to make each aspect of the event more engaging and tailored to the eSports community. By utilizing these ideas, it gives us a dynamic and inclusive atmosphere, ensuring the satisfaction of participants.

Logistical considerations with this University setting is the biggest issue will we have to face, as communication between campus authorities ( security, management) can easily be lost. Establishing a clear and concise schedule that aligns with academic calendars, volunteers, and all University marketing and communication departments are vital for successful planning.

In conclusion, organising this volunteer eSports event on the university campus involves a lot of support from the resources the university has to offer, optimizing technology and engaging in the community. This even is more than a gaming competition, serving a unique range of education, technology and communication, with successful execution of the event cultivating the universities identity within the evolving category of eSports and youth culture.
