  • Open a web browser and go to https://hidoe.webex.com
  • In the upper-right corner, click on the Sign In link
  • Enter your <employee_id>@k12.hi.us email address (the same email you use to log into your enterprise G Suite, Infinite Campus, and ServiceNow).  Do not use your named alias; you must use your employee ID.
  • If successful, you will be directed to the Microsoft Azure single sign-on portal (beach scene) where you will enter your <employee_id>@k12.hi.us email again.
  • Enter your password
  • If successful, you will be logged into the Webex web portal

    • There is a Webex Meetings app for macOS, Windows, iOS, and Android.  You can download the app and log in using the same credentials as above.

    Participants invited to the meeting will receive an email message like the one below. This message contains all the information needed to join a meeting.
    1. Click on the link provided in the message
    2. Enter their name and email address
    3. Enter the meeting password
    4. Click the "Join Now" button

    Participants who do not have access to a computer or smartphone/tablet, may opt to just call in to the meeting using the Join By Phone information.

    For the best experience, it is recommended that your students download and install the Webex Meetings client app.  There is an app for macOS, Windows, iOS, and Android. They can enter the meeting ID and meeting password in the app to join a meeting. Installing the app, helps to eliminate issues with browser compatibility which are hard to document and troubleshoot since there are so many variables: operating system, browser being used, browser extensions/plugins, popup blockers, etc.

    If your participants have trouble accessing the meeting, they can troubleshoot the issue by checking the Cisco Webex Troubleshooting page. 
    ]]>     2022-08-30 22:50:03 UTC https://padlet.com/kahealanikim/i5ytuih0c11f5wa5/wish/2276885753     Webex - Scheduling a Meeting (Via web) kahealanikim https://padlet.com/kahealanikim/i5ytuih0c11f5wa5/wish/2276886817 The easiest way to schedule a Webex Meeting is to use the G Suite calendar integration.  Using the G Suite integration allows you to schedule your calendar event in your calendar, create a Webex meeting, invite participants, and distribute attachments in one fell swoop.  Recurring meeting can also be schedule in the same way.  The G Suite integration does have some limitations, so if you need advanced options, you can schedule using the instruction below:

    1. Once signed in to the Webex web portal, click on the Schedule button
    2. If your view does not look like the above, you may be in Classic View.  In the upper-right corner, click the link for Modern View.
    3. Enter a name for your meeting in the Meeting Topic field
    4. Set a password for your meeting or accept the default password
    5. Set a Date, Time, and Duration for your meeting.
    6. If this is a recurring meeting, check the Recurrence box and select appropriate options
    7. Enter email addresses for your participants.  The Attendees box will search through the HIDOE directory to help you find HIDOE participants.  Attendees do not have to be within the HIDOE.
    8. Click the Show Advanced Options to see more options (key options highlighted below)
      1. Audio Connection Options > Entry and Exit Tone - Set a beep or announcement when participants join or leave your meeting.  If you are having a large meeting, it is recommended that you set this to No Tone.
      2. Scheduling Options > Alternate Host - Check this box if you want others to be able to host your meeting.  Keep in mind that all HIDOE employees have a host account, so will be able to host this meeting.
      3. Scheduling Options > Meeting Options - Check/Uncheck any modules you want in your meeting
      4. Scheduling Options > Attendee Privileges - Check/Uncheck any options you want in your meeting
    9. Click the Schedule button

    All HIDOE staff have an account that allows them to host a Webex meeting with a maximum of 1,000 participants.

    1. First, be sure that you're logged into your enterprise G Suite account.  Once logged in, click the waffle (9 dots icon) in the upper-right to open the Google Apps and select Calendar.
    2. Create a new calendar event by clicking on the Create button in the upper-left
    3. Enter a Title and Date/Time for your event
    4. If this is a recurring event, set those options
    5. Click on the Add Conferencing drop-down. You should have 3 options: Hangouts Meet, Webex meeting, and Webex Personal Room meeting.
      1. Choose Webex Personal Room meeting to include your Personal Meeting Room (PMR) information in the calendar invite
      2. Choose Webex meeting to create a new scheduled Webex meeting
    6. The first time you select one of these Webex options, you'll be prompted to Authorize and Login to the link your G Suite account and your Webex account.  This step only needs to be completed once.
      1. Click the Authorize link
      2. Select your enterprise G Suite account - <employee_id>@k12.hi.us
      3. Scroll down and click the Allow button
      4. Click the Log in link
      5. Select your enterprise G Suite account - <employee_id>@k12.hi.us
      6. Scroll down and click the Allow button
    7. Your Webex meeting information should populate below
    8. Add any participants to the Add Guests section
    9. To attach files to your calendar event, in the Description section at the bottom click on the paperclip icon.  Any files you attach will be sent to your event guests.
    10. Click the Save button

    If you need to change the date or time of your meeting, edit your Google calendar event and the Webex meeting information will update accordingly.

    2. Users are responsible for their account(s). Users should make appropriate use of the system and network-provided protection features and take precautions against others obtaining access to their computer resources. Individual password security is the responsibility of each user.
    3. Users are forbidden from using techniques designed to cause damage to, deny access by legitimate users of computers or network components connected to the Internet or result in the loss of the recipient's work.
    4. Users shall not use another user's account or password without proper authorization from their supervisor (e.g., principal, VP, CAS, director, AS, etc.) and the system administrator.
    5. Users are forbidden from circumventing security measures on school or remote computers and the HIDOE network.
    6. Users shall not download, install or run security programs or utilities which reveal weaknesses in and/or bypass the security of a system. For example, the users shall not run password cracking programs on any of HIDOE's computer systems or install rootkits which bypass system security.
    7. Users are prohibited from sending unsolicited, commercial and/or offensive e-mail.
    8. Users are prohibited from using any form of electronic media to harass intimidate or otherwise annoy another person/group.
    9. Users shall not make copies of system configuration files for their own unauthorized personal use or to provide to other people/users with unauthorized uses.
    10. Use of HIDOE network resources to illegally distribute or duplicate unauthorized copyrighted or licensed material is prohibited.
    11. Use of the HIDOE network to post, send, or retrieve pornographic material, inappropriate text or graphic files, or files that could damage the network (i.e., files containing malware/worms/viruses) are prohibited.
    12. Use of the HIDOE network system in a manner that encumbers system and network resources to the point that usage causes interference with others' services is prohibited.
    13. HIDOE network and computing resources shall not be used for political lobbying or outside interests not related to HIDOE business.
    14. HIDOE is a non-commercial user of the web and use of the web must remain non-commercial. No personal money-making activity may be conducted through the use of HIDOE computing and networking resources.
    15. HIDOE is not responsible or liable for materials in violation of copyright laws. Users are responsible for the content of their postings and obtaining all necessary permissions or licenses for any material used.
    16. Users shall not make unauthorized copies of copyrighted software, except as permitted by law or by written approval from the owner of the copyright.
    17. Sending or receiving unlawful information via electronic communications; using electronic communications illegally in ways that violate local, state, federal, or international laws or statutes are prohibited.
    18. Users shall always cooperate with requests from the system administrators for information about the users' computing activities.
