For us leaders, we recognize the importance of communication in building relationships to accomplishing tasks as productively as possible. That is why we must achieve to develop in us and encourage others to practice good communication habits through words, letters, and gestures. This is to ensure that as a team, we shall be on the same page, with "shared meaning" in order for us to undertake tasks smoothly and correctly. As leaders, we need to plan, analyze, and organize our thoughts and think of communication strategy for everyone. In all instances, it is important to maintain trust, confidence, and respect. May we be mindful always on the power of listening especially to subordinates, because doing so will make them feel valued and appreciated. Based on experience, communicating sincerely with them gives me the chance to understand issues and concerns about a task from their perspective. Their concerns are oftentimes the source of policy formulation or improvement. Taking time everyday to inspire people using quotable quotes.

I. In the point of view of Internal Audit, Effective Communication plays a crucial role in the Effectiveness and Efficiency of an Organization. Specifically, Effective ‘Information and Communication’ is a major Component or is a Requirement in the achievement of the Four Objectives of an organization : Operations, Reporting, Compliance and Safeguarding of Assets, according to the Internal Control Standards of the Philippine Public Sector promulgated by the Commission on Audit. Similarly, with regards to the Quality Management Systems or the ISO 9001-2015 Standard, Engagement of People and Relationship Management are among the seven Quality Management Principles. Clearly, every organization must have a Systematic Information and Communication System in order for it to be effective and efficient. Thus, Communication is not just a “secret to success”, as mentioned in the module yesterday, but also, in terms of Internal Control and Internal Audit, it is the (gold) standard for the success of an organization. Thanks to the tools, techniques and principles of effective communication taught on Day 1, participants of this seminar will now be better equipped to deal with the challenges of the organization when it comes to communication.

II. On the importance of listening.

As an Internal Auditor, the art of ‘truly’ listening to people in the organization is key to being Objective in the conduct of Internal Audit Functions. It should be the nature of auditors to be naturally “CURIOUS”(sincerely interested), not “judgemental”(Biased). Effective Listening is needed to arrive at a Logical and Rational Analysis of Organizational Issues, Problems and Opportunities.

Communication is a two-way process. The sender conceives an idea/information /attitude, assigns symbols to it (encoding), chooses a medium (channel), while the receiver interprets the message according to his schema (decoding), then creates a response (feedback). It then becomes a cycle. Takeaway: we do not all the time talk or write to communicate but also read or LISTEN, too. There is a need to verify information as there may be disruptions along the way, e.g. internal or external noise (Marites may just be around to distort messages:)).
As a leader, we must be mindful of the 3vs: visual, vocal, and verbal, while communicating with our employees, colleagues, and supervisors. That communication is a critical component of organizational performance because coordination and knowledge of what needs to be done to achieve organizational goals and objectives would be impossible without it. Maintaining open and honest communication with your staff encourages them to reciprocate. Because each team member may have a unique communication style, it's critical to personalize your message to them. In short, I realized that we must be transparent and upfront in all we do.

Leadership is the process of persuading others to work toward a common objective, and persuasion is the lifeblood of leadership. Culture and power are the two most powerful sources of influence. It is critical for a leader to be aware of the culture. Coaching focuses on the performance and development of specific abilities, whereas mentoring focuses on developing wisdom, or the capacity to apply skills, knowledge, and experience to new circumstances and processes.

#leadership_cjm Becoming a great leader is a developmental process. We learn from daily experiences, mostly from mistakes and failures, and through collaboration. I have always believed that a leader takes total ownership over continual improvement. He/she must conceptualize and strategies how to make leading better everyday. Leaders must be in constant self awareness on his/her ability to lead, coach, mentor and inspire others to take action and achieve results.

Results of Empowerment As a result of empowering his employees, Widget Co.'s manager sees cost improvements, employee satisfaction, and accountability. Since employees are given the opportunity to define how they produce their work, this can result in improved methods in procedures, resulting in lower costs. Furthermore, employees who have a sense of control over their work, tend to have higher morale and job satisfaction. Lastly, since employees are expected to be accountable for their results, it is clear who to point to if actions aren't completed as expected. MNMortera

On Leadership

There is a very important Leadership concept in Internal Audit and Internal Control Systems called “Tone at the Top". This generally describes an organization’s “ethical climate”. This can be expressed also in terms of the degree of importance and attention management gives to the compliance to government laws, rules and code of ethics. When management takes the lead in the enforcement of said laws, rules and ethics, it is easier for those on the ground (middle management) to enforce these. This can be equated to a "Macroculture" wherein most if not the whole of the organization enjoys a strong ethical climate. Strategy in leadership applying the imperatives of great leaders and the six bases of power is key to the sustainability of this ethical climate especially in a country where corruption is a perennial problem.

Leadership is a daunting task and seminars such as the CSC SDC have the potential to open doors and unlock potentials. Familiarity with the six bases of power, the four imperatives of great leadership and powerful tools in the form of coaching and mentoring for me has already immensely improved my Information Power and it is a very good vantage point to start. Every leader begins with one power base and can improve on from there

On Coaching and Mentoring

Coaching and Mentoring will enable a “multiplication of loaves and fish” effect in the organization. Leaders just have to believe in the power of these two leadership tools. However, the effect is not instantaneous and these involve a long, meticulous and challenging process which may require selflessness and a high degree of vision and commitment first before the fruits take effect but it will be worth it since this will usher in improved leadership sustainability and strengthened culture of shared values, competence and skills.

For mentees and coachees, willingness to be mentored and coached is already an achievement in itself because they have already acknowledged their essential need for learning.

-Brent Ryan B.
