On the first day of work, I was introduced to office's new colleague as well as the new system that Dynasty World Tours and Travels is currently adapting with the newly joined tour operator- Malaysian Harmony. I was taught on searching the group tour package that customer wants, and later on copy and paste the tour code of the package into the Malaysia Harmony's B2B system. The B2B system enables all agent to check the availability of the group tour and also the price of the package. Besides that, in the B2B system, each of the group tour package details is listed out clearly such as the type of airline, the hotel names that the tour is going to accommodate, the hotel's ratings as well as the price of the overall tour (inclusive or exclusive of the travel documents and etc). As the type of airline is stated based on its airline code, for example: CI represent China Airline while CZ is China Southern. Therefore, I am require to familiarise with the codes to fasten up the process of explanation and enable to jot down all the details to the customer.

Later on I was assigned with a task of checking the availability fights from Kuala Lumpur (KUL) to Harbin (HRB) at various flight booking platform to check on the price, type of airline that interconnect with Changsha airport with the suitable date and time of departure. Moreover, as the company is getting ready in participating of the MITM Fair at Ipoh Parade (26 - 28 July 2019), preparations for the fair are ongoing and everyone playing their own parts as assigned.

As the MITM Fair date is drawing closer, the person in charged of the company's MITM Fair operation had send us a few of the flyer's soft copy on several group tours that the company's partner- Malaysian Harmony emphasis on, such as the Europe trips, few places in China, Vietnam and Taiwan as a reference of what kind of group tour package are we selling during the fair. The tours that are being emphasis on are mostly dates of departure that need to be push as the number of participants for confirm departure has not been fill in. Hence, explain the latest months of departure printed on the flyer- August, September & October.
If the number of tour participants is more than 10 but less than 15, hence no tour leader from Malaysia will be following the group only the local guide that will assist them throughout the whole trip. However, if the number of participants are more than 15, the tour leader will follow them to the trip and assist them starting from the Malaysia airport till the end, along with the local tour guide once reach destination. The number of participants for complete confirm departure is usually 20 per tour or lesser as it varies on different group tour. Usually the company will not accept more than 30 people per group tour, as they want to have quality control on their trip and making sure that every participant in the tour can be attended well throughout the whole trip.

After all of the flyers are sorted out yesterday, a few of the group tour's flyer are printed out and displayed outside the company's window panel to let people who are passing by aware of the ongoing promotion that we have in conjunction of MITM Fair 2019. Once the flyers are displayed, there are a few customers that actually came in to the office and ask for the tour's inquiry. Among all of the 9 flyers displayed outside, the Vietnam tour that involves places like Danang, Hue, Hoi An, Ba Na Hill, My Son Sanctuary + Bamboo Basket Boat in a 5 Days 4 Nights tour has been the popular destination up to date.

Before the actual day of the fair, every tour consultant in the office including myself will have to study each and every one of the 9 tours' itineraries and compared the details on the flyer with Malaysian Harmony's B2B system. Along with the calculation of price per tour after the inclusion of miscellaneous fees such as tipping fee, ACF fee, tax, insurance and etc. After doing research on of the tours, some of the stated date displayed on the flyer, for example, Taiwan flyer has two (2) dates that are fully booked as shown at the B2B system. There are also some that only has 1 available seat hence, in this case, we will have to call Malaysia Harmony to identify whether the only available seat is for tour leader or passenger.

Later of the day, the meeting is held with all staff lead by the company's Executive Director on the briefing of MITM Fair. The meeting's agenda is generally about the company's expectation sales, responds and crowd for 3 continuous days. Besides that, we are also told to follow some of the marketing strategies on company's data collection such as scanning the company's QR code and free a pen with Dynasty World's logo printed on it.

Having a trip to the shopping complex to check on the booth's backdrop and layout, and lastly the final packing of all the wanted stationary such as how many calculators, pens, calendar, highlighter, stapler and etc to bring to Fair.

The first day of MITM fair started off by heading to the office first to take all items that have been packed yesterday such as printer, laptops and the remaining items needed to bring over to the Fair's venue- Ipoh Parade shopping complex. All tray displays that are brought over are filled in with MITM Fair's tour brochures that have been copped with company's stamp yesterday. The tour brochures vary from Europe countries to Asia countries and if customer requested for tour destination that is not displayed, the sales person will then print out the details of customer's preference destination from Malaysia Harmony's B2B system. Hence, two of the laptops brought over are on standby mood with the B2B system onscreen. MITM Fair starts from 10am to 10pm.

Once all of the set-up is done, the flyers (as shown in the picture) are then distribute to all customers that pass by the company booth (BOOTH 5- near to the main entrance of the shopping complex). And lastly asking potential customer to leave their contact number and scan the QR code that will lead customer to Dynasty World's WeChat platform.

Assigned by the company's Sales and Marketing Executive, I am to help her phone up several resorts in Redang Island to check on the room availability for 3rd August 2019 until 5th August 2019. The room arrangements customers are looking for are 5 Triple Room and 1 Twin Room for 17pax (14 China Citizen and 3 local Malaysian) Due to the last minute booking of resort rooms, most of the resorts that we called in has no room availability except for Redang Reef Resort and Redang Island Resort. After rounds of phone calls and emails to the respective Sales Manager of both the resorts, and consideration/ final decision from the customer. Customer ended up choosing Redang Reef Resort as their vacation accommodation instead of Redang Reef Resort because of the easy access to the beach and they can join the nearest resort, Laguna Resort for night party.

After looking for Redang Island's accommodation, I was given another task of buying customers' insurance for two (2) batch of group tours; Vietnam (September 2019- 27 people) and Harbin (January 2020- 30 people).

Once reached office, I am required to go India Embassy Department on asking several questions in applying urgent India Visa application on behalf of customer. Customer wanted to have the India Visa on the same day of application as he wanted to purchase the earliest flight to India. Hence, several phone calls has been made to keep track on the visa application, where every application will be given an unique ID number.

Later on, I am required to check on customer's flight availability to New York City (John F Kennedy International Airport) from Kuala Lumpur International Airport (KLIA) for 2 person on 30/08/2019 to 16/09/2019. Resulting of searching, the cheapest airline is Philippines Airline and one (1) stop over at Manila, the price for 2 person is averagely RM 15,000 (return tickets). After that, I received a call from a customer that specifically wanted to join group to Zhangjiajie on December in between 1/12/2019 - 2/12/2019 and be back to Malaysia before or on 8/12/2019. After searching for tours and jotting down the price, a phone call is made back to inform customer of all the details. I also advised the customer that it is not a really good season to visit Zhangjiajie as it is beginning of Winter Season furthermore, there will be a lot of mist on several places in Zhangjiajie especially on the mountain where most of the highlight attractions are located there.

There is another customer that called in to ask for any group tour leaving on August but must be a reasonable price and in the price range given. However, most of the reasonable tours such as Vietnam, Taiwan and etc is fully booked and the certain destination group tour that customer wanted is either fully booked or the price of it is extremely and over the price budget of customer.
