Laura and Hayley

Firstly I just wanted to say thank you from both Hayley and I for yesterday you were all engaged with us at our table and we loved getting the chance to meet you all and share are team roles with you. 😊

As agreed here is the list of the shared inboxes for each specialism, along with a little brief description as to what should be sent to which team:

teessideiscvisacompliance@studygroup.com

Visa concerns

Attendance concerns

Registers

Student finance

teessideiscwelfare@studygroup.com

Student wellbeing

Student safeguarding

Students having accommodation issues – we do not offer accommodation but if students are having trouble they can contact welfare for support on this.

teessideiscstudentenrichment@studygroup.com

Student enrichment – clubs, socialites, freshers , events. This is more of a emailing out inbox to send communications to students for fun extracurricular activities

teessideisctimetabling@studygroup.com

Student & staff timetable queries / concerns

teessideiscrooms@studygroup.com

Room bookings

Concerns over rooms

teessideiscexams@studygroup.com

Assessments and exam queries

Academic misconduct

Mitigating circumstances

Mabs an pabs

Although we are more than happy for students to email in to these inboxes, we would before so that we can monitor student comms to student experience that all students email the student help desk on teessideiscstudentsupport@studygroup.com from here Mia will direct that email to the relevant team.

All of the above emails are copied into this email chain so you can add them to your address book.

Again as Hayley and I said yesterday, yes we are a student experience team but if there is ever anything you as staff need our door is always open ( 2.22) and we are happy to help.

Thank you

Everyone was in agreement with my ideas for the VLE plan (see link) and for a task and finish group to lead on it. I will support the initial one and afterwards; the group will lead on it and 1 person will feedback the progress to me to feed into LQAEP.

Volunteers for task and finish group

Samawal Jarad (AES)

Anupama Pogul (Computing & Engineering)

Julie King (Computing & Engineering)

Brian Norman (AES & TLA champ)

Eleni Janko (AES & Digital champ)

Palat Meethale-Ushasree (Computing & Engineering & TLA champ)

Further feedback on VLE design and VLE

Blackboard Ultra can be clunky to use.

Peer review of VLE pages in December is a good idea (see link above)

Content market exploration of further embedded tools with TU. (Usha also added that she was looking into this anyway).

Review of number of tools/overload of tools used for students if we would like to support UDL: Teams/Zoom/Insendi/Blackboard etc or support students with digital literacy

Make the VLE more engaging and interactive

Science template is well liked

Insendi can be overwhelming. How to support students with this VLE.

Training needed for staff on e-learning tools that can be worked into the VLE and classroom easily.

Gamification of VLE to encourage student engagement and thought around other pedagogical approaches that will make the VLE a more dynamic space to be.

BB permissions that TU control limit our ability to support students. In other workplaces, staff have been able to see the whole learner profile, add students, courses themselves etc which prevents students missing from BB for 2 months which has been the case for some impacting on learning.

Someone should be in charge for the VLE in each department to do an overall check regarding whether learning content is there and where it needs to be.

Capture data analytics and track engagement of students on activities etc.

Speak to Teesside lecturers in schools to see what their VLE looks like to prepare students better and mirror the experience.

Progression and student outcomes updates

Progression and Outcomes – feedback notes

Induction (Digital Skills)

· Some students have been having issues with Blackboard – Incorporate Blackboard and VLE in the induction so students can familiarise themselves with this.

· Suggestion – make it mandatory for students to log into Blackboard in the first week, so any issues with logging in can be identified and resolved straight away.

· Suggestion – have videos available to signpost students to e.g., how to upload assignments.

· Make students aware they have access to an office 365 login which gives them access to Microsoft word, PowerPoint etc.

· Include IT skills in the induction, make sure students have got the basic IT skills required e.g., familiar with Teams, Blackboard, Excel etc.

· Suggestion – incorporate certificates, get students to do a tick box e.g., are you competent in using Microsoft Office etc. Might be useful for students to have an assessment around their digital IT skills.

· If students have attended ‘prepare for success’, might be useful to make certain sessions optional for these students, as there is no use of them getting repetitive information.

· Email etiquette – discuss how to write emails, the mannerisms etc.

· Using the virtual reception, students can be signposted to the relevant people/team.

· Explain to students that they do not need to email the same problem to multiple people as this is not necessary and only the necessary people need to be informed.

Academic Support Delivery

· Suggestion – critical thinking is useful to include but may be better to run this with smaller class sizes.

· Share resources and notes with AES as they do similar things to academic support to check for consistency.

· Time management – give students a rough guide on how many hours they should spend studying, how many hours work etc. so they can create a good work life balance.

· Suggestion – have weekly or fortnightly meetings with module tutors (not just subject leads or heads) to discuss any concerns about any students and agree a plan to support the students.

· Explain credits to students as they often do not understand this.

RPAG

· Have standard guidance around RPAG, so it is consistent throughout.

· Suggestion – have a ‘comment bank’ so students are getting similar format of RPAG, this will ensure comments are standardised and this means students are less likely to be confused.

Other Issues

· Suggestion – have a designated IT person within Study Group as sometimes Teesside Uni IT do not help the students.
