"With Wakeup, Inc. having made the decision to move to alternatives of the Face-to-Face meetings, let’s examine the two most common alternatives, the Audio and Video Conferences and their differences:

Audio Teleconferencing: Standard Audio Teleconferencing is one method of Virtual Meetings that Waking Up Inc. can use in place of standard Face-to-Face meetings. This is an audio only call between two or more people utilizing an interface that allows all parties to join on the same event and hear each other during the event.

Pros:
•Easy to use for most people with minimal instruction required.
•People can be located at multiple locations across all time zones.
•Meetings can take place simultaneously regardless of individual’s locations.
•Meetings can be more flexible for participants as they can easily dial in and out of other calls without disruption.
Cons:
•These are not Face-to-Face meetings and you cannot see the individual talking.
•Standard audio-only teleconferencing can hinder some types of brainstorming and creative thinking events with not being able to see everyone involved.
•Not an appropriate medium for most sales pitches, negotiations and deal closures.
•Does not always work best to use teleconferencing only for large numbers as various interruptions and people speaking over each other is commonplace.

Video conferencing: Video conferencing is similar to standard audio teleconferencing expect that it includes video cameras so that people can see and hear each other.
Pros:
•People can be located at multiple locations across all time zones.
•People can be seen and heard, enabling an ease of communication both verbally and with body language.
•Participants can view presentation material such as slide shows and other graphics.
•More beneficial for groups as video conferencing enables each other to be seen.
Cons:
• Meeting attendees must have proper video conferencing equipment at their desk or be present in a equipped meeting room.
• Fast and reliable Internet access must be in place, allowing for quality sound and visuals, otherwise the experience may yield poor results.
• Time zone considerations needs to be taken into consideration for staff attending the call.

In today’s high-tech world, companies have many virtual options for small businesses to communicate online in their small groups. Waking Up, Inc., with its 20 current employees has determined by utilizing the "is/is not" research technique to determine that they are being bogged down in face-to-face meetings and that they can benefit from moving a percentage of these to virtual meetings. They are now looking for the best tool for them to use for meeting virtually in order to minimize the number of face-to-face meetings that are seemingly bogging the team down on a weekly basis.

The standard Skype application is free, and can be used by individuals and business organizations around the world. This will allow Waking Up, Inc. to evaluate the software, in a limited, but effective, capability to determine if they think this is the path they want to pursue for their remote conferencing solution.

During the evaluation period the company should see the benefits of the application, such as:
•It's ease of use.
•Abilities of use on mobile smart phones.
•Group video conferencing.
•Ability to deploy the software in different languages.

If, after a evaluation period, the company decides to go with this application then the companies trusted IT Provider will arrange to upgrade the 20 users (21 if the open role is filled). At that point the company will upgrade to the paid Skype for Business application and will then gain extra capabilities such as the ability for the Employee to use the software to call a non skype user on a smart phone or landline.
