Looking Ahead
January 11, 2019 is our first "Ubuntu" Session. This word is meant to capture the philosophy of becoming people through our interactions with other people. It is  the idea of community is one of the building blocks of society. I'd like us to consider the format and/or protocol for this first session. I am working on an Edcamp format and also considering other ideas. I must gain your insights to be sure we address the needs you have witnessed at your sites. Your expertise is invaluable.

What we are attempting to do is change the culture of professional learning in our district. We want to open classroom doors and invite learning through peer collaboration. I have backdated this entry to last Thursday. It seems like so long ago!  On that day,  I was anticipating the Ubuntu gathering. In the midst of responding to evidence from our ongoing Fiscal Program Monitoring, my mind drifted to that meeting. We were taking a chance, weren't we? We all knew it was a bit risky.

Now, days later, I am so pleased we took that chance. I just want to say thank you for being amazing!

Ubuntu Gathering Materials and Next Steps- I am providing some of the documents I shared via email and at the meeting. This improvement science work will be increasingly important as we do our work.  

In addition, each of you facilitated the group discussion. As the "leader" of the group, please consider how you will guide the next steps of the Action Plan developed at the gathering. On my end, I have been working with Dawn (Classroom Management group) to provide a deeper investigation of the topic. Remind me to share more when we next meet.

Flex days, calendars, and training, oh my!! We originally agreed we would "bank" flex days in June when any training occurs. However, as Vivian gently brought to my attention, we were also discussing a pretty hefty schedule in June. The hope was to have some training and planning time. If all of June is busy, how will we agree on flex time? To answer this, I reached out to the ELA/ELD Curriculum Specialists. To be continued because everything they are suggesting is still awaiting approval. I will keep you informed. Please feel free to follow-up if this moves out of our radar range for too long.

 Partnership in Advancing Learning (PAL) Lab/Center- (Just a working title!) I have been dreaming of our new space and how we might promote it a bit. Of course, it must mainly be used for your own work space, but I also think we can share it to make it a collaborative environment. We can discuss this further, but I would like to set a plan in motion to host an open house. Maybe for the next Ubuntu gathering?  I took pictures of the beautiful Carr classroom that was transformed into t teacher work/hang space. One is included here for inspiration.

You will meet at the Teacher Advancement & Support Center (TASC) this week.  LOL!!  I made that up, but we really need to name your work space!

I am sad to report I have a meeting scheduled from 3-4, so I am not sure if I can be there before 4 pm. Josh, can I stop by around 2 pm to drop off supplies? If others can join, please do. I do not expect or require it. I got double booked, and I cannot cancel the other commitment.

Please self-guide the gathering, keeping the following items on the agenda. I hope to catch up very soon.


June schedule- Flex days and June schedule. Several things are in the works, and I'd like to co-create this end-of-year learning opportunity. The work we accomplish will prepare us for 19/20 school year.

LIFT work- An update to learn how the training and work is going. The CORE launch events were also accomplished, so I'd like to give some share time to Deborah.

Site Visits- I am looking forward to visiting you, so we will be chatting about that soon. In the meantime, be thinking about a time you are available on Mondays. I usually have time on Mondays or Thursdays. Those seem to be the less hectic meeting days for me right now.

NOTE: I have a couple of things to brighten up our space. I will also try to remember some cleaning supplies. If someone has a stapler (that allows us to staple to the wall), please bring it with you. I have some fabric. I will do my best to drop it off, along with the other things. Decorating calms me, so I look forward to being part of this project, but don't wait for me.

Ubuntu- Our next Ubuntu session is 2/8. I ask each of you to personally invite/remind the demonstration teachers and administrators at your sites. Also, if you routinely work with a Curriculum Specialist, reach out to them as well.  Prior to that meeting, I'd like to touch base about our work related to the Problems of Practice we identified. Can we work to meet via Google Hangout or Zoom on Tuesday afternoon, 3:30? Email me to let me know if that will/will not work.

Evaluation Plans- The Task Oriented Evaluation Plan is the first step to the evaluation process. Please complete this, being certain to connect your goals to a relevant CSTP.  I ask that you each copy this Google Slide Deck and share it with me. We will use it as a way to collect and share your accomplishments and such. You will create a link to your evaluation plan with the slide deck, but please wait until we meet and both sign it before you do that.

Goal Setting- I'd like to review the goals you have set for yourselves, so please plan to share the Task Oriented Evaluation Plan at a meeting with me. Please select a date and time that works best, placing your name next to your choice. Also, send me an Outlook invitation so I avoid getting double-booked.

Meeting Calendar-  At this stage, I think we can agree to have our Community & Capacity-building sessions at the TASC. (Remember? Teacher Advancement & Support Center.)  These meetings are open to the Curriculum Specialists and Demonstration Teachers, so feel free to invite them. However, I am thinking we may want to dedicate the first 30 minutes to our little group only. Having time with "just us" is important.  On our current meeting calendar we have two dates that may cause a problem- May 24 and June 10. May date is Friday before Memorial Day, so I am thinking it may not be the best date to have an Ubuntu session. June 10 conflicts with an Admin. Induction event I have scheduled. It also may conflict with our June plans. We will need to review these things to come up with a better plan.

Site Visits- I'd like to set a visit to chat with you and your administrator. Before I reach out to them, I need to be sure you are currently providing support at the sites.Please let me know if I should avoid scheduling this triad meeting with any admin.

Coaches, coaches, coaches- By now, you may all know that Carina will no longer be a coach. I had hoped her last day would be Friday, but instead 2/7 is her last day. Rebecca still awaits a teacher who will replace her. As a result, she has not officially started as a coach. Her generosity of time and spirit has been amazing, and we are so fortunate when she can join our meetings; however, please be aware she is still holding down a full-time teaching schedule.

A Nugget to Ponder: Research According to Education for Life and Work: Developing Transferable Knowledge in the 21st Century, there are five main issues to consider in developing transferable strategies for effective problem solving and metacognition: determining what to teach, how to teach, where to teach, when to teach, and how long to teach (page 168). In determining: -What to teach. Focus on a collection of small component skills rather than trying to improve the mind as a single monolithic ability. -How to teach. Focus on the learning process (through modeling, prompting, or apprenticeship) rather than on the product. -Where to teach. Focus on learning to use the skill in a specific domain rather than in general. -When to teach. Focus on teaching higher skills even before lower skills are mastered. -How long to teach. Informal Coach Meet-Up- It was wonderful getting together to chat, support, and dream a little. I am outlining some of our key topics. If I missed something, feel free to add it.

Ubuntu- We agreed we would:
Allow 30 minutes for creating a systems map and reviewing any data collected. We want the bulk of our time to be collaboration. Please remind Demo Teachers and connect with the Curriculum/Program Specialists to encourage participation. Also, let admin. know what we are doing and tell them we welcome them.

June- After a discussion about our June calendar, the team thought individual brainstorming would be beneficial. Vivian, chat with your fellow coaches about this. Overall, the goal is to ensure we make use of this valuable shared time.

TASC (Roosevelt Site)- We agreed to host an Open House/Meeting at this site, but we all thought it best to wait until the end of the year- maybe the final Ubuntu Session? To be continued...

Ubuntu today! As we discussed on Friday, we will begin by having individuals create a map that relates to the problem of practice. Here is a little bit of information about the purpose of systems mapping. Systems mapping is an attempt to create a visual overview of a process, outlining explicitly the relationships and sequences that we assume are the part of any given system.  In essence, we are lifting the hood to take a look at how things work together (or as is sometimes the case, are not working together) and then represent those relationships in a visual map.  A systems map takes a flow chart one step further as it seeks to identify the weak points in the system that are leading to under performance.  The map then serves as a launching point for determining potential interventions that we want to test to improve the system.

You may want to think about or begin working on your own to get a feel for the process. It can be pretty challenging.

A bit of information related to our Problems of Practice:
Classroom Management- Research findings presented in this article show that teachers may not have enough knowledge about classroom management (Riley et al, 2010). When teachers acquire knowledge about classroom management, this does not mean that they can apply this in a technical or mechanical manner. The teacher must be mindfully present in his or her own classroom context and use theory as a thinking tool in classroom management. Klette (2007) maintains that few studies focus on the relation between teachers’ effectiveness and teachers’ subject matter knowledge. Meyer (2007) also suggests that pupils’ involvement in learning processes in school should be increased. Further research could therefore focus on pupil involvement, the teachers’ subject matter knowledge and how teachers are present in practice.

Collaboration- In recent years, research has uncovered valuable, consistent evidence about what makes some schools unusually successful. Although there is no silver bullet, the research points to specific organizational practices as integral to improving student outcomes.

Weekly Log Link

Ubuntu- I am proud about the outcome of our last session. The conversations were deep, and I was super excited to see how our demonstration teachers are using our learning to employ a change idea at their sites. I had time to sit with 2 demo coaches examining peer collaboration. They engaged in empathy interviews and critically examined collaboration as a system. They left with some super great ideas! Does anyone see a butterfly fluttering its wings, or is it just me?

Site Visits- Thank you for making time for my visits. It was wonderful to see you in your element. I was also able to speak with the administrators a bit, so it was a great way to start my day.

Data, baby!- We will be focusing on data collection for our DB support during our next meeting. Also, we will review the DB data to consider how to best support our schools. I hope to schedule some R&E time to learn how to pinpoint specific site needs.

My Teaching Partner-Secondary (MTP-S) Update- I submitted a recommendation to be part of the research with video observation and feedback. It was a challenge because of the constraints on support. The person doing this work will support volunteers only, so it is a bit tricky. I will explain more when this becomes a reality. No sense fretting over anything now because there is no assurance this will actually happen.

New Coach- We interviewed for a new Instructional Coach- essentially replacement for Carina. The candidate accepted the position, but we are waiting to learn the start date. I think she will be a great addition to our team.

Logs- I enjoy reading your logs, and I appreciated the efforts you are making on behalf of our schools. I was at the CORE Improvement Convening yesterday and learned of the work happening in other districts. Small change ideas were truly making a difference! One Oakland school featured a teacher and coach who led a PDSA (Plan, Do, Study, Act) cycles with math teams. The results were impressive for both student achievement and teachers' sense of self efficacy with math instruction. The best part? The teacher was a former student of mine at Chapman! So proud of her and the teacher she is and will be! The PDSA is our next step in Ubuntu, and I believe we must use them at our sites.

Refining our Practice- The learning at the CORE meeting, coupled with our shared experiences, have me considering some important steps in our work. I look forward to having some conversations around our system of support, and I know your ideas will be critical as we collaborate on our plan.

Welcome, Maria Hernandez- I am happy to announce that we have a new coach working with us. Maria started on Monday. She and I reviewed a few key things and had some time to visit with Josh and Vivian. My Dashboard Planning and many other commitments caused me to be less available than I had hoped. I hope things went well, Maria!

Trainings- I hope some of you were able to attend the trainings offered recently. I'd like to learn more about Cognitive Coaching and how you are applying your learning. Cesar Gonzalez of R&E informed me there is a training for TOSAs, and you are all invited. Some of you regularly check in with him so,  if you have dates or information to share, please post it on the Padlet and/or touch base with others.

Dashboard 2019- The Board of Education has approved our plan for next year. I will be sharing the ideas with you, but here is the slide deck that communicates the main ideas. 2019 Dashboard Plan.

June Bug- Many of us are wondering about June work days. I had proposed a June calendar, but we must revisit it now that we have a clearer picture of our DB Schools and plans for next year.

Data Baby- Please begin to add numbers to your work if you have not done so regularly. As you do, please be cumulative- adding as you go along so we do not need to tally the figures for the sum.

Dashboard 2019-20- 13 coaches and 13 schools. The math is easy, but our work is intense. We must stop the world from spinning long enough to generate some deep thinking around our plans. June looks to be the month where we will set the plan into action, so May must be the month we create the actual plan and build the framework.

Retreat- What a treat! Any time we have to build something good is a treat, isn't it? May 13 or 17 are pretty clear on my current calendar. As much as I hate to pull support away from sites, we must consider one of those dates to have a 1/2 or full day retreat. Discuss with one another and let me know. I will try to block off most of the day. I also recommend you work to create an agenda for that meeting, so we are sure to tackle all the moving parts.

Data- Hoonuit is amazing, and I hope you are all familiar with it. That, and other resources allow us to review data related to our schools. Once we identify the sites you will support, your task is to know their data and it implications for coaching.

Survey 2019- We are nearing the end of our time with these schools. It will be important to create a survey in order to gain an understanding of how our work was perceived and valued. We used a survey in the past that could help us. GoPD- Hopefully you are all aware of GoPD, the new SAUSD professional learning management system. I have created a link on the SAUSD website. It is accessed via the staff portal, under staff development. As we consider our Traveling Coaches idea, we will need to build our offerings, so we will need to consider how to do this within GoPD. DB 2020 Updates- I have been meeting with the administrators for each DB school. The meetings have been informative, as they give me an idea of the context of each school. What I like about these meetings is that we have started off with a conversation. I took notes on a Google Slide deck, and I hope this will grow when you are assigned your individual sites. Prior to this meeting, I worked with R&E. We had an information meeting with all DB admin. CAASP training reflections-
Thanks for this. It is good to think about what we learn and how we will apply it. After all, that is what we hope our teachers will do. Continue to think of yourself as a learner, empathizing with someone in that position. What makes you apply learning? What are the conditions for making something move from good ideas and information into practice. Please be sure to add to the thread if you forgot.

Site Visits
I am pleased to say I was able to visit each of you. I hope you found our time to be of value. It was nice to be able to provide some feedback and guidance for a few of you. My "coaching" is often direct, and I'd like to discuss my own coaching practices with you. Our relationship is that of a coach/mentor, but I am also a supervisor who wants to prepare you for the complexity of educational leadership. Talk more about this some day!

May 17, 2019 Retreat
It was wonderful to have the time to get together. We accomplished quite a bit. The collaborative agenda has notes for you to consider. Click here to access it. 1. Data Digs with R&E for this summer- It's looking like 6/14 is the preferred date. Many of you have weighed in on the goals for that training. At the end of the day, the objective must be to navigate our data warehouse to analyze our site data and create a support plan. I would like one or two of you to create propose a training outline to Cesar. Please copy: Emily, Sharon, and me.

2. Calendars- I posed the following question, "They will have worked 187 days by May 31. So, an added 14 days will take us to 201. That would be achieved on June 20. Does that sound right?" She wrote back, "yes." So... looks like, with the exception of Rebecca and Maria, June 20 is your date.

3. Demo Teachers- I am working on a new Roles and Responsibilities document. I may need your feedback, but I think it will work if we do a lighter version and a bit of new language about creating a space for classroom learning labs.

Meeting 5/24- My calendar has been a bit reluctant to accept the invitation to our meeting this Friday. I am not sure what the situation is but I received 2 invitations, both have had strike through text. My recollection is that we were going to meet 11:30-4. If yes, I may need to arrive around noon because I have been asked to help an administrator. Please review the last agenda and input items on the current agenda. Lots to do!

Calendar- Maria has created a calendar template for us to use. At our small group meeting we had this as a priority, so.... you know what they say about great minds!  Here is the link to the calendar. It is also on our agenda spreadsheet. (Maria, can you check the settings? When I copied the hyperlink, I think it was a "view" version.)

CAASP Reflections- It was wonderful to see your thoughts. Remember to take a step back now. Revisit what you wrote and how you will or will not apply the information and/or strategies presented. This will help you recognize what to do and maybe even what not to do in order to change practice.

UDL training- All coaches will attend, July 15 and 16.

Data Dive with R&E- We have the date of June 14 set for this. Proposing a training outline might help them prepare. We must be clear in the objective, which is to deeply review data related to our ATSI and CSI schools. Touch base with me about your assignments prior to then. I will have made decisions prior to this date.

Expert Groups- Too much to learn! We will identify key learning needs and divide our team into expert groups. Each group will be responsible for learning about one (or two?) particular area, for example: GLAD, QTEL, Classroom Management, Social Emotional Curriculum, Co-teaching. That being said, there are areas we must all learn more about: coaching, Spec. Ed. (legal issues, IEPs, accommodations, differentiation, etc.), MTSS, UDL, Data analysis, Technology. There will be many learning opportunities that come our way. but we should plan ahead and stay the course. To be continued....

Benchmark Grade 3 Summer School (Elementary)- June 3-7, 8:15-1:00 @ Garfield Room 502. Vivian, Maria, and Josh will attend this training. Deb M., we might want to consider your attending also, since you have MS credential. Let's discuss this.

CORE LIFT group- June 4, 2:30 pm via Zoom. Juli (Not sure about Doug) will be meeting with us to discuss lessons learned and also set some goals for next year. i hope we are able to create a plan for next year. Laily, Deborah Park, Kenny, Deb M. are all members of this group.

Evaluation meetings- I will be scheduling individual meetings in the next two weeks. Please be prepared by updating your slide deck. I have not peeked, so I am looking forward to discussing your accomplishments and goals.

Congratulations to Maria!- She will remain with us for the 2019/2020 school year. Pleased to have you on our team.

1. ATSI and CSI SPSA- As previously mentioned, the SPSA includes CSI and ATSI planning templates. These were due 8/9 to Alfonso and Daniel. (Please copy me when you send them.)  

I have asked our Instructional coaches to help. They are able to support you. Alex Nedelkow has offered to support the CSI schools with their SPSA. To this end, I emailed our administrators at CSI schools. Here is a reminder of the funds:

2. Transformation Grant Template- This template is an SAUSD document that provided a quick way to communicate the use of funds for Secondary  Sustained Support  Schools. (Elementary schools retained their Instructional Assistants in lieu of these funds.) ATSI schools also used this SAUSD template, but ATSI schools must also spell out their plans on the SPSA document.

3. SECOND Report Date- November 2, 2019 Planning Ahead
What: The following must be finalized and submitted on or before October 1, 2019:
  • SPSA-  The WHOLE Enchilada!
  • Fiscal report of spending
  • Executive Summary
Details: This report will outline all fiscal activity through October 31st along with the board approval date for the CSI site plans. We will have to submit for Board approval no later than the last meeting 0n October 22, 2019, which will require an agenda item and back-up at least 3 weeks before that Board meeting. For this reason, all items must be submitted on or before 10/1.

As part of this process, schools will have to write an executive summary. In speaking with Nuria, she outlined a few ideas. The Board might want to know: 
  • What are they doing differently?
  •  How are the resources being utilized? 
  • What was the result of the WestEd needs assessment? 
  • How have you engaged parents in the planning process? 
4. Edjoin Postings- We currently have 4 open positions available for Instructional Coaches. I am working with Dora to schedule interviews. Fingers crossed!

5. Learning Labs- One per site Action Needed
To ensure each school has a designated classroom that will serve as a "learning lab" where highly effective teaching practices are modeled, we are asking each administrator to identify a "Learning Lab Teacher."

Formerly named "Demonstration Teacher," we have changed the name to more closely convey the objective. Please review the Roles & Responsibilities and consider inviting teachers who would enjoy this opportunity to collaborate and plan learning opportunities in their classrooms. 6. Cognitive Coaching- As a courtesy to our administrators at DB Schools, we shared this training opportunity. See details below.

It is due to go out to the all administrators today, 8/14.This is a very popular training. OCDE offers this training, and it is always overbooked. We are proud to have SAUSD specialists who will soon have the certification to provide this training. THAT is how we build capacity!

Collaboration and Community Building- Next Friday, October 11, is our day to work as a team. I ask that you keep the day open. Details will follow, but here are a few things we need to include on the agenda:

1. Problems of Practice- You each selected a POP. Be prepared to engage in some whole-group discussion, followed by smaller group problem solving. The goal is to arrive at an "action" plan.

2. Expert Groups- Assignments and sharing.

3. Upcoming PD dates- Review of our Matrix to identify PD dates and opportunities.

4. PD Thursdays- Let's discuss how we will get started on our PD offerings and setting up a structure and getting us started. I advocate for a gentle lift off.

5. Sharing our Journeys- I have discussed things with each of you, and I am so proud of the "wins" you have had in such a short time. Let's be sure to share these.

LIFT- The goal was to have all coaches engage in this training, but there is overlap. Sharing improvement science will be important. Like cognitive coaching, I think the tools of improvement science are the foundation of coaching adults.

Data Lead Experts (DLE)- Like cognitive coaching and improvement science, being able to use and understand the data hub is an acute need. To this end, please review this schedule to plan to participate in R&E's DLE cohort. I will be providing R&E with a list of coaches.

Schools have been asked to identify one person to be a DLE. It would be great if the demonstration teacher consider joining you. They will be paid the hourly PD rate. Of course, we can only suggest this. Other site teachers may be interested. Either way, consider the DLE at your sites as an additional resource!

 Here are the details I was provided:
Research and Evaluation is excited to announce an amazing opportunity.  In an effort to provide the best possible support, our department is embarking on an effort to identify and train certificated staff (teachers, TOSAs, coordinators, assistant principal, etc.) to become Data Lead Experts (DLE) at each site for the 2019-20 school year.  The DLE trained staff member(s) will receive professional development on assessment literacy and CAASPP tools in order to support student achievement at your site.  
 
The DLE will be asked to participate throughout the year in four in-person trainings and four online webinars with R&E staff and WestEd national trainers.  All training (in-person and webinar) will take place on Thursdays with the in-person trainings lasting from 3-5 pm, and the webinars lasting from 3-4 pm.  Following are the training dates and times that have been identified for the 2019-20 school year:

Please be sure to update the slide deck with any goal setting, review of data, planning, etc. It would be an excellent idea to create links to the DB funding plan, SPSA, and other needs assessment tools.

Welcome Tricia!- A new coach will be starting Wednesday. She is super excited and looking forward to working with the Valley team. You may or may not get to meet her before Friday, but I know you will make her feel welcome.

Funding plans, SPSA, and CSI Expenditure Report- A BIG thank you for all of your efforts. All funding plans have been approved, so each school has been assigned a budget code to spend the funds for ATSI and CSI. Also, the SPSA were submitted in time to be included for the agenda packet of the November BOE meeting, where we hope they will be approved. This approval date is needed on the expenditure report.

KPI- These visits are happening and will continue to happen throughout the month of November. The ILT is an important part of this effort, and your involvement with the ILT is critical. Please be sure to use the visit as an opportunity to understand the school context and needs. It is just one more layer of information you can use to better support the school.

LCAP Stakeholder Meetings- 
  • Schools- Each school has two LCAP presentation. Just as the KPI, these meetings are another type of needs assessment. It is important for coaches to be at these meetings, so please work with your administrators to ensure you have the dates and times. If meetings are scheduled after school, you may elect to adjust your start time, but please be sure to inform me and the administrator. 
  • Curriculum and Program Specialists- Another opportunity is available for those of you who wish to provide input. The Curriculum and Program Specialist LCAP meeting is scheduled for 10 am on November 5, 2019.  I encourage you to attend. I will be sending out information to our administrators so they are aware that you may wish to participate.

Ubuntu Session- The planning is coming along. Rebecca and Josh have taken the lead, with Katie supporting. The theme is "gathering and gratitude." Here is an overview:
1- Create a gratitude flower with table group and share 1 gratitude petal with a partner. Connections to gratitude and brain research will be highlighted. We will also share strategies that can be used to lead meetings or class activities.
2- Review of last session's goals. We will ask for at least 2 people to share out.
3- Major emphasis on having homogeneous groups contemplate the problem of practice and open it to a larger, heterogeneous sharing out. Some note taking frames will be used. The problem is about supporting the retention and application of new learning among the adults in our organization.

Dashboard Meetings- The meetings we are having are going well. I have been pleased to learn the progress schools are making. I do believe all the admin. I have met with are grateful for this support. For those who have not met with me, please be sure your school slides are updated, including data and support plans.

Kindness- Your efforts to recognize Dawn's birthday were so kind. I know it meant a great deal to her. Thank you, friends, for honoring our friend!

Professional Development Days- Now that we have our coaches in place, we must add that PD layer to our plan. I would like to have a small committee lead this work. I will meet with this team and Myrna will be included. I know our summer coaches did some heavy lifting to get this effort started. It will be our shared goal to get this running after winter break.


KPI and LCAP meetings- As a coach, these are critical gatherings that allow you to understand the needs and goals for schools. Two articles inform this valuable work, grounded in improvement science: Creating a Theory of Improvement and Creating Your Theory of Action for District-wide Teaching and Learning Improvement. Hard to imagine. A new decade is upon us. I hope your vacation time allowed you to reconnect and re-energize. The big news for this post is that CDE has released the ATSI and CSI Assistance Status reports. I am sharing and making sense of data in this post.

2019 Assistance Status Report- (Accessible below and sen via email)

*NOTE: RCA/Spurgeon was not recognized as ATSI or CSI due to the closing of Spurgeon at the end of 2019 school year. The state took the CSI funding, but SAUSD made the decision to fund all support for RCA. The current CDE report reflects data for the 2 schools, as separate entities.

STATUS AND CHANGE, The CA Model-
We discussed the manner in which schools are identified, and I have been looking more closely at the details. The model used is the "California Model."
The SBE approved measuring performance for state indicators through a combination of current performance (Status) and improvement over time (Change). This “California Model” weighs Status and Change equally. 

The most current year of data are used to determine Status. The prior year data (or multi-year average) are used to determine Change. The Status levels are: Very Low, Low, Medium, High, and Very High. Change Levels are: Declined Significantly, Declined, Maintained, Increased, Increased Significantly.

Planning to Support our Schools
Currently, I am analyzing data to consider how we can best support schools. I am sharing a spreadsheet with you. It has a math and ELA tab. You will see color coding. You will also notice I have organized information to see trends related to the following: STATUS, CHANGE, Distance from the Standard. We will likely be discussing this at our next meeting if not before. Do NOT share this with others. It is meant only for coaches and Dawn, who is my wonderful thought partner. School Support for 2020- I am working on our support plan for next year. At this stage my plan to provide support to schools based on their status has been met with enthusiasm. There is no final draft at this stage and once I do finalize it, our Cabinet members will review it. Once I gain their approval, I will share the fine details. Overall, I believe the plan to support schools based on their status provides us with the opportunity to be proactive. I included these data in the post from last week, but I think it is worth sharing again.
DB ELA and Math Indicators 2019

Coach Assignments- There are so many variables in the mix, but I promise to keep the team updated if any concrete information is provided. As I work on the DB Plan, I see your faces. They guide my thinking and motivate me to tackle a very complex and strategic school support plan. Should anyone have questions, please reach out to me. I will always be open and honest with you.

ATSI and CSI for 2020- I sent the information to all administrators; however, it has come to my attention some have not read the email. The lesson here is that we cannot assume our administrators are aware of the CSI and ATSI status results. If you have not discussed this with your administrator already, I think this is a great opportunity to open up the dialogue. This is also a good time to help schools understand the new accountability system. You might propose offering opportunities to do so with staff, departments, grade levels, etc.

Next week I will be at an Equity Summit, so I will plan to begin site visits the following week.

CSI Schools- I am meeting with all CSI schools to review the WestEd and OCDE Leadership Team Network information. The goal is to have all Principals be part of this, along with an instructional team. Research and Evaluation will soon be offering online DataHub teacher dashboard training.  Before we roll out these sessions to out teachers, we would like your VALUABLE input.  We would like to invite you participate in our first DataHub Teacher Dashboard online “trial” run on Thursday, February 20th from 9-10 am.

Meeting our CSI Schools- Josh, Katie and I visited Lathrop yesterday. This is a newly identified CSI School. Overall, things went very well. This message, no matter how you slice it, appears to be punitive. However, as I shared with the staff, "Lathrop's data is my data, too!" We are hoping to provide support. I have also held face-to-face and phone conferences with CSI administrators so they are informed about Improvement Plans and PD options for next year.

Improvement Plan 2020- I am working on a way to get the Improvement Plans integrated into something the administrators (and staff) already do. Between the Principal Summit, KPI, SPSA, etc., there is definitely a way to make the DB Plan part of existing work. That being said, there will be a few things to explicitly address. One major item is the school's plan to employ the support of the coach. In essence, a clear plan for how coaches will work in and out of classrooms. For that, we must outline very specific ideas about how to effectively use the skills or a coach- lesson studies, PDSA cycles, etc. We must also provide a few "don'ts." If you have suggestion, please send them my way and copy Dawn.

PD Site- The Coach PD site will be going live next week. If you have not sent your profile picture, bio, and other PD information to Cooper or Rachel (I think they are the people who were collecting them?), please do so by tomorrow. 

Social Media- Our team will be ramping up a social media presence. This is very important. For now, Katie has offered to post things for coaches. So, send pictures with a brief caption to her. We must offer her license to tweak things a bit. Of course, some of you already employ SM. Keep it up. For those who are proficient users of SM, we need your talents to be part of a workshop that helps us advance these efforts.

Friday!- Do what you need to do. I will not schedule meetings or gatherings. If you wish to meet with me, please reach out. Things are popping up on my calendar, and I seem to have little control over that. I need to revisit the WestEd principles of scheduling priorities! I will be blocking out calendar times so things are not scheduled during times I have mentally set aside for other purposes. 

TIPS Mentor Conference- It was well attended, and I was so proud to have amazing presenters. The mood was positive, and we all were pleased to have Superintendent Almendarez visit each session and say a few words. It was also a bonus for me to have some face time with him.

Stakeholder Feedback
Coaches- FLIPGrid- Please create your video by clicking on this link. If you need help, don't be shy. Ask someone on Friday. Once it is set up it is pretty user friendly. It is a great teaching tool, and Dawn has shared that many of our teachers use it in their classrooms. I thought it would put your faces along with your achievements, so that is why I chose this application. However, I will need to collect data around key questions related to our coaching model and experiences. For that I will be creating a survey. Usually, I would want to gain your input, but I am not sure time will allow for that. So, if there is something you need to say that is not captures on the final survey, please respond to the open-ended question I will include. It will be sent via email.

Administrators- I sent a Flipgrid to our ATSI and CSI administrators to get their feedback. So far ZERO videos.  LOL!! I will be following up on Friday 2/28. I may decide to send a survey to them. (Most likely similar to the survey I will send you.)

Teachers- We need to gain their feedback. I will be sharing a survey for your review. Feel free to provide suggestions. We will need to administer the survey in the next two weeks.

InfoGraphic- This is an example of a past graphic. A similar graphic must be created. I will be using the logs to generate data, so please be sure your entries are up to date. Also, if someone loves to do this kind of stuff, you are welcome to provide input and support. Otherwise, I will be working solo with the data and our SAUSD Logistics team.

PD Site- Our PD site is looking great. I will be sharing it with the leadership team at our next meeting, Monday. At that time, I will ask directors if they wish to have the Specialist included. Depending on the response, we will either go live or work to add their information.

Save the Date- 3/20 is a Cognitive Coaching Collaboration date. As usual, this will take place in the morning. In the afternoon, please plan to attend the preview of Ellevate, a pretty cool platform for our English Learners. It iwll begin at 1:45 pm.

Ubuntu- A planning session for Ubuntu is taking place tomorrow, 2/28 at noon in the TIS conference room. We will continue with our work related to High-leverage teaching practices. All are welcome to join in the planning.

Spark- Several years back our Teacher Effectiveness Coaches organized a SPARK conference. After the Ubuntu planning session this Friday we will start our planning. I have invited a former TEC, Jennifer Penman, to plan with us. She was instrumental in planning the first SPARK conference and has many of the documents, orders, and details at her fingertips. If any of you wish to join us, please know you are welcome. If you are not available Friday but wish to be part of the planning, there will be future opportunities.

Conference Attendance- I will be sending an email with a list of conferences. A survey will be included. Please indicate if you are interested and able to attend a conference. We will follow up with details and next steps. The 3/13 deadline makes this a priority, so please complete the survey as soon as you can.

CSI Funds- As per the Memorandum dated February 12, the cut-off dates for placing orders and spending CSI funds is 3/27.  I have reviewed the balances and sent emails to each CSI school. Please review the plan and support the spending of these funds.

ATSI funds- The funding templates for these schools was approved by Alfonso. These funds are not CSI funds, but we also have to spend by the deadline. Please review the plan and support the spending of these funds.

Social Media- The current context is that our Superintendent is an avid user of SM. He is also a big reader. Flip Grid- As I shared, the Superintendent created a video in response to our grid. He also sent me an email, stating, "I love it, thank you to you and all that participated. It helps me get a better understanding of what’s going on at the sites. Pretty impressive teacher engagement that I would love to see first hand.  Thanks for sharing!" On his video he asks that we learn about and promote Nearpod. I have downloaded the App on my phone. I logged on and was pleased to see the resources. Included here is a screenshot. Perhaps some of you are proficient users of the platform. If yes, please help the rest of us navigate it. For those attending CUE, be sure to look for opportunities to learn more.

Teacher Survey- I received positive feedback, so we will move forward. Please share this survey with teachers you have supported. It need not go to the entire staff. The outcome of this survey will be shared as part of the infographic I am working on. I will be needing the data by 3/15, so please do your best to get a good amount of participation. This infographic will communicate the level and quality of support we are providing, and I look forward to the responses.  TEACHER SURVEY LINK.

PD Website- For now "traveling support team-" I share the website with the directors. It was well received. I am waiting for a response to the question of adding our specialists. Once they decide, we will move forward. I want to go live next week, and I will push to set that as a deadline.

Spark!- Conference planning is underway and coming along well. Please plan to support the conference on June 3. Our coaching calendars were to be aligned so all should be scheduled to work. I shared the event with Daniel, and he will be sharing the schedule with the executive cabinet. We hope to gain the enthusiastic support of Jerry. Thing positive thoughts!

Conference Attendance- Myrna has been working to ensure all requests are processed before the deadline. Each coach should have registered for the approved conferences. If you have any questions, please reach out to Myrna. I am so pleased we will be learning so much! As you attend, please be thinking about sharing key and valuable learning. We will be organizing an "edcamp" style event to be sure we get the most our of these conferences.

CSI funds- CSI funds for the 2020 school year have been granted. My application for CSI funding was approved today. As we move forward, I will do my best to explain the implications of this. I am hoping to create a smoother and more integrated system for DB plans and spending. I have discussed this with our administrators.

Instagram and other Social Media- The current goal is for each coach to post at least once per week. Our superintendent has made it very clear that he is a true believer in the power of social media. If you need support, Katie has offered to help. We have several other SM savvy folks who can also help. I discovered a new bookstore that has a small coffee bar. It is Arvida Book Co., 115 W. Main in Tustin, located about 1 mile from the District Office. It is across from "American Grub." They allow us to bring treats because they encourage community events, and , since they do not offer food, they don't mind. I will be bringing some breakfast items to share.

Coach Base Site and Training Center- 
  • Furniture has been delivered to ALA. So far there are 17 chairs and 1 large conference table. We will be adding 2 larger chairs and tech. devices. Koji has placed an order for 2 Viewsonic Display boards, and Roselia was able to acquire 2 new and unopened eGlass devices.
  • The goal is to create a collaborative space, as well as establish an area for small-group professional learning. Upon return, we will make plans to organize and set up this space.

CA Dashboard Information and Resources- Included in this post is the 2021 Dashboard Reference Guide, which you may find useful for better understanding where to access all the available data and any differences between data sources, such as the DataQuest and Dashboard graduation reports.

CSI Funds- Budget shared that spending funds by 9/3 is the goal. I will be considering how schools can share their plans to spend any remaining funds. This may require changes that need an approval, so I am hoping to make it simple.

SPSA is now going to be the new template for the DB PLan. We will be looking at this in more detail in the future. There is a section for the ATSI and CSI plan within the SPSA, but we need to integrate the coaching plan.

An Impact Report was discussed at our recent monthly ATSI/CSI meeting. I am hoping to develop a Google form to collect some data, but, as the administrators noted, we must also consider telling the story in a more qualitative format. Please be thinking about this. My goal is to accomplish this in April.

We would like to schedule the District cohort for Curriculum Specialists, Coaches, and others who want to attend.  The sessions would be mostly synchronous, with some asynchronous work, over Zoom.  The institute is 12 hours plus follow-up student work analysis.

August PD UPDATE-Alludo (The company behind SAUSD Spark!) has created a prototype of the August PD. We met with them today. Here is a recording of that meeting where Julia does a quick tour.  

The link included below will allow you to experience the proposed design. Some key features to consider:
  • Learner choice, with the opportunity to require activities we deem essential
  • Learner records achievement and receives feedback (Provided by Alludo)
  • All PD completion will move into Midas. Learners earn badges.
  • All data can be reviewed in Alludo/Spark throughout the day. 
  • All users (site admin., too) can access data. 
  • Incentives can be promoted as learners engage in learning. (We have Spark! swag available.)

Another sad loss- Kim Garcia's mother passed away, quite suddenly and unexpectedly. I will be creating a gift basket (soothing things). If you wish to contribute, we can coordinate this effort.

DB Plans- After my meeting with REACH today, I will have met with the 4 CSI sites. I am pleased to see that spaces/time for your work is being prioritized. I hope to discuss these as a group, so we can share some best practices and ideas. I will begin meeting with our ATSI sites after I ascertain the Title I funding balance for each school. In the meantime, I ask the ATSI coaches to review all data and identify the Needs Assessment you will be using. Last year, we depended on OCDE.

Learning Walks- I was able to attend these at the 3 Ed. Options sites and ALA. Overall, sites have an instructional focus, and the group provided feedback as we went through classrooms.

LCAP Sessions- Please plan to support these sessions. Also,  an invitation to participate in DISTRICT LCAP Educational Partner Feedback sessions was sent to all employees. This is an opportunity to share your insights as Instructional Coaches. See the flier included here.

FPM Update- We are moving along, but we must work to create systems for logging the CSI expenses. Koji will be working with office managers to this end, but it will be important for you to understand the systems we are putting in place. Each school will be provided a spreadsheet with tabs for each expenditure reporting period. This will populate our TIPS spreadsheet, so we have details and can ensure the requests align with the DB Plan.

ATSI/CSI Meeting- Items to be discussed at our next meeting are welcome. It is scheduled for 10/4, 1 PM. My current items (in no particular order): 
  • ATSI/CSI- Compare & Contrast the roles of FR and DB coaches. 
  • Sharing Impact and next steps. (This will require us to highlight some successes from last year and how this will carry on.)
  • ATSI/CSI DB Plans and Visits- Just letting ATSI know what is next- my visits. 
  • Needs Assessments- In the absence of OCDE, what are we doing to assess the needs and root causes?

Sharing my Leadership Learning- SAUSD leaders are engaging learning related to inward and outward mindsets. The Arbinger Institute is the organization referenced. CA Dashboard Updates- California received a federal waiver and was not required to report performance levels (or colors) on the 2021 California School Dashboard (Dashboard). Because these data are not available, determination of exit from the Comprehensive Support and Improvement (CSI)–Lowest Performing Schools and Additional Targeted Support and Improvement (ATSI) categories is not possible. Therefore, schools designated in either category in 2019–20 remained in place through 2021–22.

However, local educational agencies were required to report graduation rate data which California is using to determine if those schools designated as CSI–Low Graduation Rate in 2019–20 are eligible to exit. Schools with a three-year school-wide (i.e., 2018–19, 2019–20, and 2020–21 school years) average graduation rate at or above 68 percent exited the CSI–Low Graduation Rate Schools category.

They now have a video to explain the Dashboard. They also have a DB Communications Toolkit, which includes flyers and talking points for parents and educators. See "Getting to Know the CA School Dashboard" to review the current CA Dashboard measures and more. This table outlines the 3 levels of support.

  • Providing a “Skillful Teachers” conference- Years ago, we organized the “Spark” conference. I’d like us to consider how we might manage a PD event. I am aware there are barriers and possibilities to consider, but I think it is worth a conversation.

Coach Logs- I have seen some great work listed on the logs. Among them:
  • Supporting goals on the DB plan
  • Teacher-led roundtables on problems of practice
  • Learning Walks
  • Focus on improving attendance
  • Pineapple chart!! 

New Coaches- A big thank you for welcoming and supporting Rosa and Darlene. While I do my best to meet with each new coach one-on-one, I have yet to create a list of "must-dos" for these meetings. I welcome your input and will share my current practice.

As we await Kevin and Hazelle, I am wondering if you have suggestions for helping them with a soft onboarding while they remain in there current positions. To be continued.

Improvement Science- I have been searching for opportunities to bring back some capacity building in this area. I would like to gain an understanding of the needs for this within our group. Below this post are some resources I provided last week. In addition, Rachel shared some opportunities:

ATSI/CSI Meeting 2/7- We will be featuring a Nearpod representative. I recently met with Susan (Nearpod rep.), and it was made clear that our usage has the potential to improve language proficiency. Also, our CSI schools have access to some learning bundles.

Differentiated Assistance Status- To date, it is unclear if we will be included in this work. However, I want you to be aware of this since it relates to the CA Dashboard.

What are the criteria?
To be eligible for assistance, the same student group must meet the criteria in two different priority areas. For 2022 differentiated assistance determinations, only the state indicators reported on the 2022 Dashboard are used for determinations. Local indicators are not used in differentiated assistance determinations in 2022 due to the lack of two years of data needed to determine “Not met for Two or More Years”. Additionally, the College/Career Indicator is not available on the 2022 Dashboard. As a result, only Local Control Funding Formula (LCFF) priority areas 4, 5, 6 are used for differentiated assistance determinations.

On January 31st, OCDE will be providing an in-person DA Information meeting.   For flexibility, we are offering two options for district teams to attend:  9:00am-11:00am or 1:00pm-3:00pm.  During the information meeting we will provide details regarding 22/23 Differentiated Technical Assistance process and opportunities, data analysis and reflection, and time for questions and networking.    We highly encourage district teams to attend:

Nearpod- Please gauge your administrator's interest. If there is no buy-in, I do not wish to fund anything beyond the district subscription.

ATSI and CSI designations- As we discussed last week, the new list of schools is extensive, with some becoming ATSI. We also will drop from 4 to 2 CSI schools. Because the support needed is extensive, a team of 10 Instructional Coaches will not be enough. I promise to keep you informed about any changes in the support structure.

Additionally, please remember it is important to inform these schools new to the ATSI or CSI designation. That requires preparedness, so I reached out toe R&E and the Teaching and Learning Asst. Superintendent. I have done my best to communicate plainly. Please refrain from discussing this until they have addressed it.

Mentoring- This does not appear to be a big issue, but I want to be sure I am transparent. Serving as a TIPS mentor is a paid position, with duties outside your normal workday. There are some exceptions (a teacher class visit, for example), but any ongoing mentoring conversations, planning, support is to be done before or after your workday. If it must be done during your work hours, you need approval and you must make up that time by extending your workday.

Welcome back, Leslie. So pleased to learn that you had a warm reception from your teachers. Super jazzed to see that cognitive coaching sessions are happening!

Logs- Thanks for the details you are including. I see much work happening with teachers, and that means that you have cultivated some great relationships. It appears some of us are still looking for ways to be more active with teachers. Reach out to another coach or me if this is the case. Your expertise cannot go to waste, and we can brainstorm other ways to support your schools.  No judgement.

Friday Collaboration Time- As I shared, I have an OCDE meeting at 8:30 am, so I will join via Zoom at 10:30 am. During that time we will discuss a plan to further investigate the ATSI and CSI designations, with each coach selecting about 3 schools to study. The goal is for each coach to research the reason for the sites' ATSI or CSI designations in order to serve as a resource if/when site administrators have questions.

During our Learning Walk yesterday, this was a topic of discussion with my team. As a result, Rachel did some digging and created a video that will be helpful. VIDEO LINK

Data Galore- R&E created this for our schools. It is meant to be a data collection for SPSA Needs Assessments.

Empathy Interviews- I have discussed this with OCDE, and they are moving forward to support. This is provided free of charge to CSI schools. ATSI schools will need to pay, and I am asking for the details. I did share that Jefferson was billed last year but did not get the service. They will review, and I am asking for a credit. I will provide more details, but I also believe coaches can run these interviews at sites- student and teacher sampling is what we are after. More to follow.

IIP reviews and classroom management help might be needed. (I know you are being paid to be a mentor or PLC on your own time, but this would be considered part of your work as a DB Instructional Coach.)

If at all possible, I also suggest you review the data for the ATSI schools in order to identify those that are close to being identified as CSI. They will most likely need to have an on-site DB coach.

From cubicles, makeshift spaces, and lovely offices with a view, we always do our finest work and create welcoming spaces. As we anticipate a move to a new space (Pupil Support Services next to Carr), we will once again blossom. At this stage there are many unknowns, but I have requested that we have regular updates so I can give you news. My goal is to have some concrete information to share by next week.

Coach Hub- Specific to the Coach hub, I will be looking for another space, closer to the new offices. I have heard that Cesar is offering Lathrop, and I am open to that possibility. If you wish to take advantage of that offer, please let me know. I'd l like to propose the idea to Cesar.

TIPS Support-  Arlyn, a CLAS teachers, will begin supporting our department next week. At this stage her role is largely to help with the final stages of induction- mostly reviewing candidates' completion and mentor logs. She is also helping with classroom management. If you wish to seek her support for a new teacher who needs extra help, please inform Dawn. 

MTSS- An opportunity to attend the Institute was emailed to you and CSI site admin. We are hoping to get a list of those interested to determine if we have the funding. Please look to your emails for details.

SPSA- Please take the time to review the SPSA for your site to be sure the areas specific to ATSI and CSI are complete. Also, consider the extent to which your support and actions are captured as part of the school improvement effort.

Coach Logs- Thank you for updating the logs. A reminder they are due by noon on Thursday. I do my best to review them before we meet on Fridays.  Once the log update is finalized, we will begin. I believe we agreed to the first Thursday in September.

DB Triads- I am happy to report that all triads have taken place. They have all gone well, and I will be following up with one or two to ensure you are supported and focused. The goal is very targeted this year, and I hope you heard that message clearly during my visit. I welcome your feedback for any next steps. 

DB Plans- Please be sure your admin. uploads the DB plan on Informed K12 (IK12) during the first week of September. I can preview the plans prior to uploading to avoid any back-and-forth via IK12.

Lab Days- Whenever possible, for the first few weeks, plan to visit the lab for a few hours each Thursday. I understand you have support and collaborations plans, but I am also aware the lab space is under review.

Improvement Science- I have been in talks with Michelle Steagall of CORE. She has sent a proposal my way. I will be working to get it approved. It is an exciting plan, and she has very clear ideas about what we should tackle. Improvement Science- It appears we will move forward, but I need to get it on the BOE calendar. My goal is the next September Board meeting, after the 9/12 meeting.

Capacity Building- I'd like to discuss some goals for our team capacity building. Please prepare to share your goals for learning this year.

Future-Ready Coaches- A monthly meeting schedule will be our goal, but I will keep you informed. At this stage, we are working on their PD calendar.

Future-Ready Coaches- This group of coaches has a monthly meeting. I need to attend for a portion of their meeting time. At some point in the future, I think we can have our team collaborate with them, but I have abandoned the idea of ongoing collaboration. Friendsgiving- December 1 is the date for our event, but we have yet to decide what we will do. If you have ideas, share them with me.


Adobe Express- Please mark your calendars to attend this PD. It is slated to be a full-day event on 12/15, providing coaches with Adobe certification.


Triads- I would like to schedule follow-up triads with all schools. I am asking Koji to coordinate this "mid-year" triad. Please take a look at the goals set on the DB plan, so we can have a meaningful conversation.


DB Plans- I have reviewed all plans that have been submitted. They are forwarded to the next director on IK12. Koji has been asked to follow up, and my goal is to have them all approved by the end of the month.


CUE- Because we used funds for CORE, our budget is tight. I am reviewing the funds. Please inform Koji that you "wish" to attend but understand there are no guarantees. Registration, travel, hotel, food... adds up, and I am not certain we can cover the entire cost. To be continued.

No promises, but I will try to create a budget that will achieve our goals. I will need to also review for allowable expenses. Main categories are: materials, consultants, conferences, extra duty.
