Communication culture and work

This week, I learned that one of the most influential elements in shaping the culture of a workplace is communication. Communication isn't just talking; it is one way of sharing your thoughts and expressing one's concerns while working with others. A strong communication culture empowers teams to work better as a team and accelerate goals more quickly.
Thus, good communication in any workplace keeps misunderstandings away and develops trust amongst team members. An example could be that the ideas being shared or asking for help shows that there is no problem in the air, and people share a very healthy atmosphere where every body's opinion counts. Poorer the communication, more it becomes misinterpretation leading towards frustration and at times conflict.

I have also learned how big a role culture plays in how we will communicate at work, for example, how people coming from different cultures may be very different in the expression of direct vs. indirect language or different levels of formality. It helps us to be informed of such eventual differences and understand other people better, thus avoiding by accident some misunderstanding.

Generally speaking, I now understand that good communication skills and cultural awareness play a great role in creating an effective and pleasant work environment. A person should always practice active listening, communicate clearly, and remember other people's cultural backgrounds whenever he or she interacts with them.

Listening and writing

I have focused more on listening and writing skills. I figured out that listening differs from just hearing a person talk about something by listening to him to understand what he or she meant. By the time I listen properly, I do not misunderstand; I'm able to respond properly. It also makes me get close to them since they will feel heard and highly appreciated of their opinions.

The writing counts, too, at least if emailing or messaging something concerning work. The more clearly and simply I can write something, the sooner people catch my ideas. Short sentences and well-organized thoughts make my writing more readable. Another thing I learned was for whom I am talking-my writing needs to be changed: more formal in work emails and more relaxed with the guys.

These, therefore, are listening and writing, the two major skills helping me in communicating better. Improvement in these will make me clear about what exactly others are trying to say, and also present my thoughts in a way as understandable as possible.

Verbal communication involves using words with each other, whether it be spoken or written: conversations, telephone calls, emails and texts. Of course how we say something-our tone of voice-may also carry meaning. For example the simple "thank you" spoken in a happy tone conveys appreciation but said in a sarcastic tone may have quite the opposite effect.

Nonverbal communication, in simple words, is whatever is communicated without words. It involves body language, facial expressions, gestures, and even voice-such as soft and loud. Smiling shows happiness; crossing your arms may show that you are upset; eye to eye, it shows one pays attention.

Verbal and non-verbal combined help us in communicating ideas, feelings, and messages to others.

EFFECTIVE MEETINGS

It is here that good meetings originate, for the imperative of the systematic approach is to have productivity with direction, team member engagement, and lucid communication. Since meetings are of essence, here are a number of actions that might be instituted to enable them:

1. Clearly stated objectives : He/she who sets the agenda needs to tell at the same time what he or she intends to achieve by its end. All this makes the discussion directly relevant and focused.
2. Prepare and share agenda.
Clearly state the agenda of discussion topics and the decisions to be made well in advance; circulate well in advance of the meeting so that the attendees may prepare themselves to ensure that no time is wasted.
3. Keep Attendance to a Minimum of Necessary Participants
Invite only those people whose participation will make a difference to the discussion; it reduces confusion and lessens the number of distractions.
4. Well-defined roles include the facilitator, who oversees the discussion; the scribe, who captures notes during the discussion on points/ideas raised; and the timekeeper, who is supposed to keep track of the duration of the meeting. This goes a long way in facilitating order and efficiency.
5. Start and Close on Time
Starting time is observed, agreed closing time. This is a sign of respect for every individual's time and helps foster a culture of time observation and efficiency.
6. Encourage Participation and Collaboration
Activate the thinking of the participants by encouraging open-ended questions, ensuring the ideas and solutions from all present are actively sought. This will develop new ideas and solutions .
7. Stress Solutions Rather than Problems
Establish a ground rule that there is little, if any, negative discussion focused on problems and no solution. Get participants thinking by brainstorming and finding the solution.
8. Keep the Discussion Focused
Guide the conversations back to agenda items when they wander off on tangents. If you set up any discussion in a "parking lot," place it in the agreed current item at the time .
9. Summarize Action Items and Assign Ownership
Close the meeting with a summary of agreements on actions, decisions, and responsibilities assigned to participants. By the end of the meeting, each attendee knows what their deadline is and whose next step it is.
10. Follow-up Meeting
Send an email after the actual meeting regarding a summary of the discussed topics during the meeting, such as action items and when they are due. This will make all of them more responsible and in agreement with one another.
When all of these strategies fall into place, then the meetings start inching their way to becoming meaningful and productive in utilizing your precious time and that of others.

My e-portfolio is representative of my growth in the areas of clarity, creativity, and adaptability within communication. Assignments like the Recommendations for Overcoming Cultural Barriers Video instructed me in the way of targeting effective messages toward specific audiences. The collaborative assignments helped with active listening and team engagement. Writing-intensive assignments developed my skills in writing professional and persuasive messages. These experiences show how communication can be considered the cornerstone for my relations, problem-solving, and goal realization. This e-portfolio has been able to illustrate how these skills can be applied in different contexts to support my professional and interpersonal successes.
