  • Detailed explanation of all proposed food and beverage services per event stakeholder group, including any food and beverage services contracts.
  • The minimum sitting capacity for the food service area, as well as the meal production capacity per hour, should be included in the description. Meal times should also be flexible with food services available outside of regular meal hours.
  • Outline the plans to provide a food preparation area, food storage and refrigeration facilities. Menus must be planned and meal preparation must be supervised and must respect the rights holder’s policies about food served to the event participants. 
  • Outline the plans for providing meals at competition locations for athletes, coaches, managers, and other participants who, due to competition or practice schedules, are unable to access the food services area at the main lodging facility.

  • Elaborate plans for a system to transport the athletes as well as participants should be done up as well
  • Provide dedicated cars/vehicles for designated event participants 
  • Provide special local shuttle service for VIPs, media and officials 
  • Provide cargo vans or trucks, as required, to transfer equipment for the event participants 
  • Provide emergency transportation assistance
  • Provide appropriate complimentary VIP and special guest parking in close proximity to the main entrances of all of the events venues

  • Provide details on how you plan to register and accredit all event stakeholder groups in accordance with the bid criteria
  • The registration and accreditation preparations should guarantee that the Host Organising Committee has enough materials, equipment, human resources, operating hours, and space to process the total number of registrations/accreditations necessary before and during the event, especially during peak periods.

Provide an overview of the plan to handle all security requirements for the event participants and spectators as per the event bid guidelines. 

This plan should include providing for the privacy, property and personal safety of all event participants within the event’s venues and while traveling within official event vehicles. 

• Outline the plans to provide training for all volunteer security personnel and an orientation session for all paid security personnel to ensure readiness for any situation.
