 HR department Mr. Sivashangkar send me to orientation hall. The orientation held for 2 days.

 Around 9.30am Mrs. Audrey Lee who are senior training manager briefing about history of Sunway Resort Hotel, Founder of Sunway, how many branches have in Sunway and so on. 

Continuously, the speaker explained about the wise president of three hotels which is CLIO hotel, Sunway Pyramid Hotel and Sunway Resort Hotel. 

After lunch, the training manager bring us to road trip. She explained and show the easy ways to walk in to office. There are more facilities provided by Sunway to workers. For example, canopy walk, café, rewards and appraisals for permanent workers.

The next day orientation, senior training manager briefing about the organizational chart of 3 hotels.

Continuously, safety & security department took over the next section. Mr. Muhammad explained about the serious cases happened in hotel because of employees lack of awareness. 

Most of incident happened in Food & Beverage, Maintenance departments. After that, the speaker explained how to use fire extinguisher theoretically.

Then, he explained what will do and do not do when fire accident happens. More over, he showed the way where to escape when happened fire accidents and place to assembly too. 

Next, after the section he played the audio of fire accident announcement to let us know what they saying in the announcements. He had play the audio in 5 different type of languages.

On 3^rd day, my trainer brings me to procurement department and introduce my colleagues. 

My trainer helped me to sign in and verified Sunway hotel and procurement department email. When received email from vendors should check properly and informed management when get email no stock.

Continuously, there are several main vendors should handle in procurement department which are fresh vegetables, egg, poultry, dairy, cold cut, fruit, juices, dries groceries, wet groceries, seafood and so on. As procurement department, should know vendors and suppliers name when do documents and filling according to dates, months and years.

On this day, my trainer taught me how to categories company name according to the file. There are more than 100 foods suppliers which I categories into alphabetically orders.

 Continually, those suppliers are in Sunway must have 4 main form. There are form 9, 13,24 and 49. Each form regarding with different act. Form 9 is about SSM, Form 13 regarding company changing name, Form 24 about return of allotment of shares and lastly Form 49 about return giving particulars in register of directors, managers and secretaries and changes of particulars.

Manager and my trainer taught me how to do email to vendors. More than 30 vendors, I had email for those not completely send form 9,13,24 and 49. 

Trainer taught me the automatic email letter, email of each company, companies names and so on. Around 3.30pm I email to vendors to send back the form and gave due date until Tuesday 29 march 2021. 

After 3.30pm I continuously do back filling according to the food vendors.

On this day, Trainer taught me do request to suppliers those who not completely send the forms. In the morning, I search more documents to find out whether the companies provided their form 9,13,24 and 49 or not.

Then, I list down the incomplete form according to company names. Continuously, I request company to send back the email in due date. Trainer guide me to scanning documents and key-in missing details of suppliers. 

Finally, I complete the task given my trainer and I wait until tomorrow to get responses email from other suppliers.

On Tuesday, I did filling according to the company. Since there was more than 100 companies, each files need to check carefully. 

There are several suppliers response to the email and send back the documents in emails. But still few suppliers have not reply to the emails. 

In the evening, I remind the suppliers to send the documents as soon as possible. After few minutes, some suppliers mentioned that they already send the files few month ago. So, I let my senior procurement department explained to the supplier about the consequence. 

Then, supplier from focal marketing, Total water, HL Yong Company, Atlas Edible Ice, Sri Mansion Sdn. Bhd and Big E&W Sdn Bhd and so on companies does not send their form that mentioned in email.

Manager gave a short briefing about receiving replacement day on Labor and Hari Raya Aidilfitri. Manager send me a document that including with 91 food companies names. 

After, food company reply for the emails, I fill in the documents given by manager Lily. I should updated last date order, last delivery order, closed period, and resume delivery. 

Then, today I had called for some several companies to confirmed about the documents they send before due date.

For this week, I worked for calls the suppliers to revert back the Supplier Registration Forms. Some of suppliers attend the call and none of suppliers engaged. So, in this situation I email to suppliers again to remind them. There are more than 100 companies in current food and beverage department I analyzed vendors who not response for the emails and calls. Finally, I found out 22 suppliers registration form incomplete. I informed to them via calls and emails that should submit the form within 14 days.

Today Morning, manager informed that computer system is down. So, yesterday Purchase Order(PO) not sure the suppliers received or not. I called the office and suppliers numbers one by one whether ensure PO received or not. Fortunately, most of suppliers receive the PO and those have not received the PO, I redo and send again to certain companies.

 After that, I received Email from Albert Wines & Spirits (M) Sdn. Bhd regarding supplier registration form. After I received all documents completely I start to scan and filing.

Today trainer taught me to settle down the pending check gave back to suppliers. There are few suppliers not took the cheques from Sunway resort hotel cost-control department. 

As a procurement trainee, I called the suppliers to informed them to take back the pending cheques. Moreover, I emails for HR department ensured they send the suppliers as soon as possible. Certain suppliers were request for banking the cheques due to lack of manpower. 

Then, I accept two suppliers request, I let to manager knew about the banking request. Later, manager informed us that having meeting about Halal Food in Congress Room. My department and I join the meeting until 5.30pm. 

The meeting is about ensure had Halal Certification for foods from the suppliers. Without having Halal Certification ordering foods were prohibited. In addition, there was had expired date for each halal certificate. Ensure update with the expire date and inform to authorities.

Early morning certain suppliers were came and take back their cheques. Some of suppliers, I called and remind them to take pending cheques by today before office hour. Around 10am to 4pm, I joined in Halal Training for 2nd day. 

Each of us present about the objective of Halal certificate and the important of certificate for food and beverage department. After, back from the training I recheck the email and update the closure day of Hari Raya and Wesak day from company.

Every day, I follow up the companies who does not send the form. Continue, I updating the closure time of labor day and Hari Raya for make an easiest for to do purchase orders. 

After that, non- food manager Suriapriya asked me help her to joined with her Sunway pyramid mall to meet supplier. Non food department colleague and me join the meeting with manager.

In morning, my colleague and me had meeting with food and beverage department manager. There was an issue found in supplier which is one of deliver person does not send the item before the receiving time. 

Thus, Chef cannot continue with cuisine followed by the schedule. One of my colleague make a call to the delivery boy and request him to send the item as soon as possible. Receiving department, receive the item around 7.30pm. 

Manager warned to supplier to do not make the same mistakes next time. In continue, today I make a called to the suppliers to remind them about supplier registration form. Overall 3 suppliers completely revert back their supplier registration form. I informed to manager to look the form and sign in previous form until today.

Madam Lily gave me new task which is Sunway Resort Hotel Spa Sdn Bhd (SRHS) DAILY F&B GOODS RECEIVING INCIDENT REPORT. The purpose of this report is suppliers often inattentive ,and late for deliver the stocks. 

So, madam asked to me add suppliers who does not giving reason such as non-delivery, outstanding purchase order, delay delivery and so on. 

Every day as a procurement trainee I should update the suppliers status who having trouble in delivery stocks. In addition, I filling again blind test from certain suppliers given my procurement executive.

Today most of purchase order outstanding due to out of the stocks. Suppliers from Bidfood Malaysia, Caldbeck Macgregor, nature farm, kitchen secrets and so on companies informed of out of the stock afternoon.

Hence, procurement department faced issue that should inform to chef in Sunway Resort Hotel Spa. Around 3pm, called all the suppliers to make sure when the items will arrive. 

After that supplier who send the item before 5pm, receiving department continue to receiving food and beverage items. Then, I do record for which suppliers does not inform early for inconvenience issued.

The rating given by food and beverage procurement manager, procurement executive, assistance procurement, chef executive and cost control executive.

For this month April I should recorded the daily food and beverage receiving until end of the month. Therefore, I simplify 10 vendors who are more problematic with the purchase order(PO). Until now nature farm enterprise company is highest issue for delivered stocks. The reason are no stock, short deliver, late deliver and outstanding PO. So, I do bar chart to look more ease which vendor had issue in delivery item.

Among 84 suppliers I do bar chart for 10 suppliers and 4 reason of Purchase Orders. The 10 suppliers who are highest in April are Ever Fresh Cameron, Euro-Atlantic, Pastry Pro, Pok brothers, Nature Farm, Ban Huat, Caldbeck, Zam Zam Trading, CH Leong, and Lucky Frozen. The highest issue recorded in Purchase order is Nature Farm and the lowest issue recorded is Lucky Frozen. 

Then, the 4 reason issue for Purchasing order is Outstanding, Short delivery, Good rejection and Non-delivery. The highest issue is non-delivery due to no stock. The least stated record is rejection due to the fruits is not ripe.

After Hari Raya Aidilfitri holiday, Supplier companies resume for deliver the orders. I checked the incomplete supplier registration form again, and list down few supplier companies names. Such as, Pacific shore finefood, Garden Baladi, German Delicatessen, Telluric Dynamic and so on. 

After I list down, around 10.30am I had called and message via whatsap to suppliers. Few suppliers update the reason why late for submit the form and two suppliers completely send the supplier registration form. I print out and arrange according to the name of document and filling it.

Today morning I had information about Sunway Resort Hotel and Spa launched Golden Ramsay (Bar & Grill). The management invited our department to joined the opening ceremony. My department decided to booked slot in the morning and we all took breakfast at the Golden Ramsay. 

The management request us to taste the drink and bread  and given comment in questionnaire. After, I do purchase order issue that stated by receiving department. I sort out each company issues and list down in document.

In the morning, I checked previous day invoice papers to ensure key-in invoice and purchase number correctly in SCM System.

I do listed the cost of beverage items that used in May 2022 in 3 places. 

There are Sunway Resort hotel and spa, Sunway Clio hotel and Convention Centre.

After, finance department sign and approved supplier registration form, I arranged the files to give back executive procurement.

After public holiday, I checked emails to ensure received any replies from suppliers.

I sort out some supplier registration form is not completed. Such as Boncafe (M) Sdn Bhd, Focal Marketing, Garden Baladi, Germen delicatessen, Kedai Ubat dan Runcit Yanshan, Pacific Share Finefood, Telluric Dynamic and Zam Zam Trading. 

I do mark which forms is not complete to 8 suppliers. Example, Form Sunway FSSC Sdn Bhd is not completed for supplier Kedai Ubat & Runcit Yanshan .

Then, Sustainability Risk Assessment not complete to Boncafe (M) Sdn Bhd suppliers. 

After receiving department, send outstanding PO via WhatApp group, I called to particular suppliers to know the reason for items not delivered.

I call for supplier to get know the reason of outstanding PO. Example suppliers are Lee Frozen, Syarikat Tee Siang, Profresh and Aryzta Sdn Bhd. The common reason given by suppliers are out of stock, lack of time to send goods, and account was block.
