*  We meet Puan Fadzilah Binti Bakar (Penolong Pegawai Tadbir Kanan 1) to discuss about our placement.

*There are 3 departments at MOTAC PENANG, which is Tourism Licensing Division, Industry Development Division and Administration & Finance Division. So, we decided to shuffle the divisions by months.

* By this way, we are able to expose to the function of each division. 

* I will be starting my job for Industrial Development Division.

*I study about what is the function of Industrial Development Division through website.

*The first thing I have learnt is about how to do the filling, proper way to organize an event so on.

* Mr. Mohd Amir Bin B.Azhar, Head of the Industrial Development Division was guide me throughout the month.

*Follow our Director Mr. Jonathan Freddy P.Bagang and Pn.Hadilah Bt Rozali (Penolong Pegawai Tinggi Kanan) to do star rating at Park Royal Resort Penang.

*Our job is to listen the briefing given by the general manager of Park Royal Resort Penang, take note of the details of the hotel and take photos of the facilities, amenities, rooms and so on.

*The photos are captured by Nikon D3100 and Canon G16 camera.

*The hotel details briefed by the general manager are such as the type of rooms, facilities provided and the specialty of the resort.

*After came back from Park Royal Resort, we transfer all the taken photos from SD card to computer.

*I am assigned to do filling on Industrial Development letters and documents according to the given list. 

*I also start to arrange all the captured photos at Park Royal Resort Penang.

*I start to prepare a report of Park Royal Resort Penang using PowerPoint following the format given by Pn.Hadilah. 

*I study about the history of the temple and look for more information about the place in online.

*It is one of the famous tourist spots in Air Itam and its so attractive.

*Amend Park Royal Resort photo report.

*I rearrange the newspaper cutting file.

*I label the newspaper according to year and month. The label is done using color paper as it will be easy to differentiate each month newspaper cutting.

*Moreover, I arrange the newspaper cutting follow by the date.

*By this way, we are able to calculate the newspaper cutting of every month easily. It is important to keep all the newspaper cutting as reference any time. 

Today’s Task: 

Ø  Have a small briefing session with Puan Hadilah and Encik Rohizat and further discuss about our task and job scope in Tourism Licensing Unit.

Ø  The main task we have to do is help at the licensing counter.

Ø  I learn how to update files of TOBTAB and tour guide.

Ø  I learn to us SPIP system. SPIP is an online service for licensing, registration and rating.

Ø  There are 6 services under the system:

ü  Tourist Guide (Individual)

ü  Travel Agency (Company)

ü  Tourism Training Institute (Company)

ü  Tourist Accommodation Premise (Company & Individual)

ü  Spa, Foot Massage Center (Company & Individual)

ü  Tourism Vehicle (Company)

Today’s Task: 

*National Department for Culture and Arts (Jabatan Kebudayaan dan Kesenian Negara) visited our office and had a meeting with YB Tuan Muhammad Bakhtiar Bin Wan Chik, Deputy Minister of Tourism, Arts and Culture Malaysia. Beside JKKN there are also other agencies under MOTAC that come over for this meeting.

*My job is to arrange the meeting room and assist to make sure the meeting goes on smoothly. Moreover, today there is also team from the Light Hotel come over to give over bubur lambuk and nasi briyani to the public due to Ramadan.

-      Register for the application of tourist accommodation premises.

-          Record the application of tourist accommodation premise in Excel.

Today’s Task: 

·         Help Ms.Diana at Tourism Licensing Unit counter desk.

·         I learn the steps to print Tour Guide badge with tour guide card printer.

·         The are two main types of Tour Guide (TG) license will be gone at MOTAC Penang which are the blue and green license.

·         Blue is for city guide while green is for nature guide.

·         Get to know about the steps to renew and new application for tour guide in SPIP system.

·         There are also documents needed for both renew and new tour guide application and processing fee is needed.

·         The process fee for new TG is RM10 and RM5 for renew application.

Today’s Task: 

·         I have called the related stakeholders in tourism field following by the list given by officer to invite them to the Tabung Khas Pelancongan 3 (SFT3).

·         The talk will be given by SME Bank and will be held on 24^th May 2019 at Rainbow Paradise Beach Resort.

·         Meanwhile, time for the event is from 4.00pm to 9.00pm.

·         The industry players that going to be involve are hoteliers, budget hotel, TOBTAB, agencies under MOTAC, NGO’s, tourist attractions and museum representatives. 

Today’s Task: 

·         I record for fined Tour Guide case inside the ‘Buku Kes’.

·         Stamp on the Tour Guide exemption documents.

·         I have learnt the procedure on how to stamp on approved Tour Guide Exemption Application.

·         Tour Guide Exemption is use by the travel agency that wish to use tour bus without tour guide in the bus.

·         The representative from travel agency need to submit their document at least three working days before their trip. This is to make sure that the officer has time to go through their application and make approval on the application.

·         I am given task to register the tourist accommodation premises application in SPIP.

·         We have to ensure the accuracy of the information that we enter.

·         Besides, I do answer phone calls and try to solve the public questions.

·         Stamp on the approved Tour Guide exemption documents.

·         Print their attendance confirmation form from email and keep all the forms in a file.

·         Do newspaper cutting. Today news is about ‘SME Bank launched Special Fund for Tourism’. This fund is to use in project promoted by government.

·         Called to send the information to the agencies, hotels and NGO’s which is listed under the SFT 3 program.

·         There are around 25 approved new tour guide application.

·         My task is to print the tour guide badge.

·         Once every badge is print, it needs to be record in excel sheet.

·         I photocopy the done letter for those new tour guide applicants.

·         Other than that, I also print certificate for the approved new tour guide application.

·         Photocopy the tour guide letter and certificate.

·         Work on the renew tour guide application. It means that I get the applicants file and print their new badge.

·         Prepare of MOTAC Penang and Tourism Penang slide.

·         There are both renew and new tour guide applicants come over to collect their badge.

·         I find their documents and let them to sign on it as a prove of they have collected their badge.

·         The fee for one-year application is RM50.00 while two years is RM100.00 and the payment is by Wang Pos.

·         Continue to follow up the reply receive either from email nor fax on the attendance of tourism industry players to SFT3.

·         Prepare the letter and notice for approved new tour guide application.

·         There are around 15 approved application.

·         The letter needs to signed by our director.

·         Print the renew tour guide badge and it is also recorded in the excel sheet as usual.

·         I am assigned to print tour guide badge, letter for renewal tour guide application.

·         There is a person from TOBTAB come to ask for what is the procedure to renew for overdue TOBTAB license.

·         I assist him on his question.

·         The particular travel agency has to pay RM300 as the fine amount as for late renewal.

·         Besides that, there is also public that come to seek for help on the procedure to open up a MM2H (Malaysia My Second Home) business.

·         I photocopy the guideline for him and explain to him.

·         Follow up the attendance list for the event on 24^th MAY 2019.

·         Photocopy the TOBTAB letter, pack their certificate, letter and sticker.

·         After that, I call the particular TOBTAB to inform them that their documents are ready and can be collect.

·         Today, there are also tour guide that come to collect their badge.

·         The procedure for new tour guide is they need to pay RM50 as the fee for one-year application. For renewal tour guide, they have to pay either RM50 or RM100 which is one year or two years application. They also need to hand in their old badge and bring their CTRE to certified.

·           Check the SPIP system.

·         Received the approved new tour guide application from HQ. 

·         I find the file based on their name.

·         The continue task is to print the tour guide badge, certificate and prepare the letter.

·         After that, the letter is pass to director for his signature.

·         The continue process is photocopy all the documents and pack in the envelope.

·         After all are done, we call all the applicants to inform them to come over to collect their badge.

·         Preparation for Saturday event, “Program Visit My Kampung- Mai Kacau Bubur Lambuk”.

·         Get ready the materials for registration of “Program Visit My Kampung- Mai Kacau Bubur Lambuk” such as stationeries, streamer banner and registration list.

·         Set up the ballroom at Rainbow Paradise Beach Resort the program SFT3 (Special Fund for Tourism 3).

·         Welcome all the guest that come for the program.

·         I in charge for the registration during the event.

·         I have join an event which is named 'Program Visit My Kampung- Mai Kacau Bubur Lambuk' at Homestay Mengkuang  Titi. 

·         I am in charge of registration and capture photos for the event too.

·         Besides that, I have the chance to experience the way to prepare 'bubur lambuk'.

·         This program includes voluntourism activities where homestay participants and voluntourism participants are involved directly in the preparation of ‘bubur lambuk’.

·         This program also highlights and promote the homestay cluster in Penang Island. 

·         After done the preparation of ‘bubur lambuk’, it is distributed to the public by Deputy Minister of Ministry of Tourism, Arts and Culture Malaysia, YB Tuan Muhammad Bakhtiar Bin Wan Chik and government agency officers.

·         I assign to print out tour guide badge, certificate, and prepare letter for the renewal applicants.

·         The format for the letter is in a Malay verse.

·         There are two letter that need to be print out which are the application letter and notice.

·         I do minit the file of tour guide. Minit file is use as a reference in the future.

·         Do decoration for Hari Raya Aidilfitri.

·         We contribute idea on the decoration. We print out some photos and decorate using greeting cards and some decoration items.

·         I print the renew tour guide applicants’ documents from SPIP system.

·         The documents that need to print out is their application form, old tour guide badge, identification card, PTGA receipt and CTRE.

·         I stamp on the approved tour guide exemption documents.

·         I do answer phone calls from the public and try to solve their questions.

·         Arrange the list of TOBTAB, MM2H and Tour Guide in the file store.

·         Print tour guide badge and certificate and prepare letter for each applicant.

·         Key in the application to register their Airbnb property in the SPIP system.

·         The documents they need to hand in for the application are their SSM document, shareholder Identification Card, and tenancy agreement.

·         Stamp on the approved tour guide exemption documents.

·         Handle the process when tour guide that come over to collect their tour guide badge and certificate.

·         As usual, they have to prepare the amount of Wang Pos for the application.

·         I help at licensing counter to serve the public and solve their acquirement.

·         There is the representative from travel agency that come over to ask about the procedure to change their board of directors.

·         There is also representative from travel agency that come to ask about the documents need for them to apply for outbound license.

·         There are also tour guide applicants that come over to ask about their progress of their license.

·         I get chance to learn how to handle each situation as each question have its own way to answer.

·         I print the application details that submitted by the renew tour guide applicants. 

·         It is printed together with their supporting documents which are them exist tour guide badge copy, Identification Card copy, PTGA receipt and their CTRE.

·         Handle the process when tour guide that come to collect their badge.

·         I also help to back up the files in computer as the new computer will be set up at the office.

·         There is a photograph session together with all MOTAC Penang staffs.

·         The dress code today is ‘malay tradition’.

·         I work on the list of tour guide for filling in store.

·         In the previous list, it was not arranged accordingly with the tour guide number.

·         My job is to arrange the number of tour guide ascending.

·         I rearrange the number first using Microsoft Word and find the name of tour guide in the old list based on their TG number and create a new list for it in Excel.

·         I continue to work on the tour guide filling name list.

·         There are around 850 registered tour guides in the name list.

·         Stamp on the tour guide exemption application.

·         Print tour guide badge, certificate and letter.

·         As today is my last day of internship at Ministry of Tourism, Arts and Culture Malaysia (MOTAC) Penang.
