Post 1: February 6, 2017: First day of my internship!

Here I go!

Today is the first day of my internship at Tabung Haji, Banting branch. The working hours start at 8.00 am until 5.00 pm. So I arrived on 7.55 am and introduce myself as a practical student to the manager. On 8am, there was a mini meeting between the staff and manager. The manager, Haji Abd Razak B. Said give a short briefing about the current issues in Tabung Haji, introduce the staffs in the office and recite doa before start working.

After the short meeting, Haji Abd Razak call me to the office and explain my role as a clerk and he asked Mrs Tantyjuana to guide and assist me. So I began my orientation with checking all the withdrawal and saving account forms, checking and categorize the account form according to new members, update account form for the first time, update account form for the second time and conversion of account.

1.00 pm, it's time for lunch hour! I've been given one hour to rest, lunch and pray. At 2 pm, I continue my work by learning the petty cash of the company. Its quite confusing, so I have to do it very carefully.
I spend the day learning about how the organization operated and established. This will be very interesting working with Tabung Haji's Family!

Post 2 : February 7, 2017: Confidence Level Boost Up!

So, today is my second day working in Tabung Haji Banting and I become more confidence to do my job. At the morning, I just doing my routine job which are checking the account form, categorize the account form and checking the list of new members.

After lunch hour, Mrs Tantyjuana teach me on how to scan,photostat, print, and save the documents according the specific files. My work continue with learn on how to do a letter of nomination. In this time, I start realize that even I'm not working in the business sector, the management of an organization and administrative department is quite important in growing up and improve the company status.

Post 3: February 8, 2017: Panic Day!

As usual, at the morning, I just doing my routine job but there is a difference between today with the other day and everyone in the office seems like busy and panic. I'm wondering why and yes my question has been answered. Today is the AUDIT DAY for Tabung Haji Banting. There are 5 persons in charge for the auditing session and they seems like very strict and fierce.

After lunch hour, I just help the other staff in complete the organization auditing session like photostat the document, report and find the specific files. Its quite exhausted because they request too many files and past documents and I need to find all the files. Eventhough, today is quite tired but I'm enjoy my day helping the organization in complete their auditing session.

Like usual, at the morning, I just doing my routine task which are checking all the report ,account of Tabung Haji members and answer the call from client or staffs.

I'm quite sad since today is the last day for Ms. Razita. Ms. Razita also is one of the practical student in Tabung Haji Banting and she already complete her practical duration. So start from next week, I will replace her position and start do all the job given. Ms. Razita is very nice person and she help me a lot in completing my task. So, after office hour, we have a small meeting to celebrate Ms. Razita farewell and give some souvenir to her. Wish you best of luck, Razita !

The TH Banting manager, Tn. Haji Abd Razak B. Abd Said ask me to key in all the amount and data (per month) of new members according to the teller. After key in all the amount, I've to summarize the data. From this, the manager can see among the teller, who get the most new members and this will show the reputation and ranking of the staff.

Post 7: February 14, 2017: Tazkirah

Today is quite different from another day because I have to give a 'Tazkirah' based on the book before we start doing our job. I'm quite nervous since this is my first time to give the Tazkirah in front all the staff and manager. After Doa and Tazkirah, we continue our work like usual.

For today task, Assistant Financial Manager (Pn.Husna Bt Haji Abdul Jalil) ask me to help her in handling the cheque returned. She teach me on how to classify the cheque whether it is the teller mistakes or other party mistakes. Once I have done classify all the cheque returned, Pn. Husna will check and key in the data.

Post 9: February 16, 2017: Slideshow for "Kursus Haji"

Day by by day, the task given is quite tough and today my new task is to prepare a slide show for "Kursus Haji". It is quite tough for me since the slide show will be present by the manager of Tabung Haji Banting. So I have to give the best in preparing the slide show.

While doing my routine task, Pn. Husna call me and ask me to accompany her to buy the office equipment. From this, I have learn on how to choose a suitable size, shape, and type of office equipment. The receipt I've to keep it until end of the month and summarize the office monthly expenses.

Today I learn on how to list all the company expenses and categorize them using a specific code. For an example: Stationary, Office supplies, Computer and accessories, they have different code. So I have to memorize all the code for make it easy to categorize. Besides, GST applied or not applied also have their own code. The previous amount of expenses need to subtract with the current total of monthly expenses, so from this we can check our monthly expenses are exceed or less than Rm 2000.

*Rm 2000 is the provision for office expenses provided for a monthly basis.

I continue my work with monthly expenses and jump into the Petty Cash. Petty Cash is quite important for an organization since there involve with the money and provision for the company expenses. So I've to do it properly. All the expenses receipt need to be attach together with the petty cash form. After the form completed, I need to get the approval and validation from the Manager of Tabung Haji, Assistant Financial Manager and Financial Clerk.

Post 13: February 22, 2017: Slip Pengeluaran dan Simpanan

Every Morning, I have to check the 'Slip Pengeluaran dan Simpanan' and make sure all the amount stated are correct. There are almost hundred transaction and I need to check it one by one. All the transaction above Rm 10,000, must get the validation and approval from Assistant Financial Manager while the transaction above Rm 50,000 must state the source of the money.

New format (SOP): Start from today, I've to make a Pesaka Letter and submit the letter to Tabung Haji Head Quarters every Wednesday. Pesaka Letter is a form where the member of Tabung Haji, inherit property to their children or relatives. The letter need to print in 2 copies. One for submit to HQ and another one is for Tabung Haji Banting references.

Post 15: February 24, 2017: Practical Students

Since there are many students apply for doing their practical in Tabung Haji, I've to manage all the apply form and resume. Either they send the resume by email or walk in, all the apply form must be forward to Tabung Haji Headquarters. HQ will decide whether they agree to take the practical students or not. All the emails regarding internship that I've to send to the HQ, the letter also must forward to the practical students. This situation is just to inform the student that Tabung Haji Banting already take an action by send their resume to the HQ.

TR is short form for Tabung Rohingya while TKA is Tabung Kebajikan Acheh. The donation boxes are put on the customer service counter for client give their donation. At the end of the month, Pn, Husna will count the amount of donation and save the donation in Tabung Rohingnya and Tabung Acheh account. Pn. Husna will give me the forms of Tabung Rohingya and Tabung Acheh and my task are to scan all the forms and email it to the HQ.

The forms that required are Borang Penamaan, Borang Pesaka, Borang Maklumat Ahli, Borang Penukaran Hak Penjagaan, Surat Cuti Anggota and etc.

Mrs Yusrida (Financial Clerk) ask me to make a letter and appendix of Pesaka. I have to make the appendix and key in all the data based on the pesaka form. I have to make sure all the photocopies of the Identity Card, Death Certificate, a copy of Nomination, Bicara Kecil and Faraid form must be complete. Then, I have to make a letter of Pesaka and get the validation from Financial Manager.

The medical letter and medical certificate must be submit to HQ and I have to make one copy of the medical letter for reference of Tabung Haji Banting. The teller id and the medical leave details, must be include in the letter.

Early of the month, the box of Slip Simpanan dan Pengeluaran, Teller Daily Report, Laporan Pengesahan Penyelia and others files/boxes must be change because the slip we keep it by monthly. So the label and cover must be change according to the month.

Haji Zaiperi will recite the doa, Haji Halim will read the SOP, Ms Fateha will give the tazkirah and the Manager of Tabung Haji Banting will announce and give short briefing on the important issue in Tabung Haji. Mrs Tantyjuana will note down all the important issues and I have to record it in Daily Briefing Report.

Based on this form, I have to list out the name and the amount of salary that they want to cut and save it to Tabung Haji account. After that, I have to make a letter to give it back to the company/school to inform that Tabung Haji Banting already received the form and take the action.

From the apps, our client can check their balance in account, make the transfer and the new things is they can take index number from home. So they come to Tabung Haji to scan their barcode and wait for their turn.

The previous SL1M Apprentices will end their training process on 12 May 2017 and the new apprentices will replace and take over their job. On 12th May 2017, there will be a farewell party for Apprentices SL1M 7. Mrs Tantyjuana ask me to organize the party. I start manage the party by contact the restaurant and make reservation for 17 pax. In the evening, I go to the restaurant and get the menu list/photos for easy the Tabung Haji Staff choose their menu.

So today I just contact the restaurant for remind them about the reservation. After working hour, all the staff of Tabung Haji went to the restaurant and Alhamdulillah the Farewell Party went very well. All the staff enjoy their meals and I'm so proud of myself because I managed to conduct the farewell party without any mistakes carelessness.

Today Tn. Hj Syed (Security Guard) have online test, so he ask me to guide him. There are 195 questions and I've to read it one by one to Hj Syed and tick the answer. We managed to answer all the questions within the time given.

Last time, The Manager ask me to create a rent letter for booked the hall in Institusi Latihan Perindustrian but unfortunately, ILP have to reject the offer for some reason. So today I have to create a new rent letter for hall in Kolej Matrikulasi Selangor.

On 29 May 2017, there will be a Ziarah Kasih Programme by Tabung Haji. So today I just help the staff in making a thousand of voucher to be distributed. I have to write the number from 1 to 1000 and cut the voucher into small pieces.

Today I'm continue my job for Ziarah Kasih Programme. There are RM 300K need to be distributed at the programme and I have to spread the money into RM 300 each person and put into the envelope.

So today is my last day for industrial training at Tabung Haji Banting. At the morning I just do my routine task and at the evening I continue teach the new practical student on create a letter. oday, I have to label and make a cover for a new box and files. Early of the month, the box of Slip Simpanan dan Pengeluaran, Teller Daily Report, Laporan Pengesahan Penyelia and others files/boxes must be change because the slip we keep it by monthly. So the label and cover must be change according to the month.
