Sometimes, unexpected things happen in life that are beyond your control. This can make it harder for you to:

do well on your course
finish your coursework
submit your coursework on time.

If something unforeseeable happens to you, you can let us know and we'll consider that when we mark your work. We call these situations extenuating circumstances.

Who can take time out

There are some restrictions. Please read the Student Guide to Requesting Time Out (PDF 250KB) first.

How to apply for time out

You should make an appointment to see your Year/Pathway Leader, Course Leader or Programme Director to discuss your request and advise you on your eligibility for time out. You will need to fill in the Time Out Request Form (Word 73KB).

Situation in Ukraine

UAL recognises that the situation in Ukraine will be having an impact on our students from there and may affect their ability to engage fully with their studies at this time. Students from Ukraine, or from other countries, who consider the conflict will have an impact on an assessment may apply for extenuating circumstances and UAL has, for this situation, waived the requirement for evidence in support of an EC claim.

IMPORTANT

Seats Mobile Attendance APP – things to check if you experience issues/errors with location services Make sure Regional settings are set to UK Make sure any VPN software on the phone is paused/disabled Make sure Bluetooth is on Close and restart the Seats Mobile app (iPhone): From the Home Screen, swipe up from the bottom of the screen and pause in the middle of the screen. Swipe right or left to find the Seats app. Swipe up on the Seats app's preview to close the app.

Close and restart the Seats Mobile app (android): Swipe up from the bottom, hold, then let go. Swipe up on the Seats app.

Android – turn on location services To make sure that Location Services is set to On (android): Go to Settings > Location > Use Location (set to ON)

To check the app settings: On Android you can go to Settings > App (select to See all apps if SEAtS is not in the recent app list) > SEAtS (app) > Permissions
You can make sure the app has permissions for 'Location' - 'allow only when using the app'. We also have 'Use precise location' set to on This may vary slightly depending on the exact version of Android (and Phone's version of it)

iPhone – turn on location services To make sure that Location Services is set to On (iPhone): Go to Settings > Privacy > Location Services (set to ON) Go to Settings > Privacy > Location Services > Share My Location (set to This Device)

You should see the SEAtS app listed below this as one of the apps allowed to use location services.

To check the app settings: Go to Settings > scroll down and you should see the SEAtS app listed (select it) > Location (While using the App) Delete the Seats Mobile app and reinstall For login-related issues in the Seats App In Seats App > click the 3 vertical dots in top left corner > click Logout Click Continue on prompt seatsmobileapps wants to use seats.cloud Then delete and reinstall the Seats Mobile app

Authorised Absence

We now have a new method for you to request authorised absence from your course. You can submit a request for authorised absence via our website here:

Please click on ‘report an absence’ and complete the form to submit your request. This will then be reviewed by your Course Support team and teaching team. If you do not submit a formal request, your absence will not be authorised.

Temporary ID cards

Dear Students,

Please note that the East Bank Front of House team have now confirmed that they can print temporary day passes for students who have forgotten their ID cards.

If you need a temporary pass, you can request it from the main reception on the ground floor.

Please still ensure that you are bringing your ID cards with you every day that you're on site.

If you are unable to check in, you will need to provide evidence that you attended a class before it can be corrected. Contact the Course Support inbox with this evidence (Coursesupport@fashion.arts.ac.uk) Examples of this evidence could be

- A timestamped photograph
- Proof of travel (with date and time)
- Written verification from the tutor running the session

You can also ask your tutor in the session to check you in.

Alongside this, you will have 2 weeks to contact me with evidence from when the class happened in order to be checked in. Any later than this, I will not be able to correct your attendance.

'I can't make it to class today'

I’ve copied details to the authorised absence process below 😊

Please click here for information on applying for an Authorised Absence.

Authorised Absence can be applied for under 3 categories:

- Illness. Extended periods of illness (more than 5 working days) must be accompanied by evidence e.g., a medical certificate or doctors’ note. If you have sickness of less than 5 days this will be recorded as absence.

- Attendance at appointments/commitments considered inflexible e.g., hospital appointments, religious requirements, court attendance. Any of these absences over 10 days must be accompanied by evidence.

- Mitigating circumstances e.g., bereavements, serious illness of a close family member, childcare and other caring responsibilities, technical issues related to online study. Any of these absences over 10 days must be accompanied by evidence.

Requests for Authorised Absence will require approval. If it is approved, you will receive confirmation and you will not be required to attend the session(s) affected.

The authorised absence process is different to the Extenuating Circumstance process. If your absence will have an impact on your assessments, you must also submit a separate claim for Extenuating Circumstances.

If you’re absent for longer than 4 weeks, you may need to consider taking Time Out (for part of a year, or a full year).

You can download your student status/council tax letter direct from your Student Portal. Click on the ‘Enrolled Students’ menu and then ‘my study details’ to access your letter.
