Update Online Travel Agent (OTA) Booking

9.00 am - 5.00 pm

• Update OTA booking. For example of the OTA is Expedia, Agoda, C-trip, Booking.com, Tiket.com and also Air Asia. OTA is website that acts as a travel booking platform that allowed users to compare prices and book hotel, flight and so on.

• Check rate, amenities and the bill instructions on the hotel website to make sure that what guest need and request will get the same as they willing.

• Check the guest detail and clear any that are not applicable.

7.00 am - 3.00 pm

• Hotel will charge the credit card on the agent. Each agent has a different system and code, so need to make sure the agent and guest names are the same and the credit card is also the same as the one in the system.

• Learn about ipay88 also. iPay88 is an Internet Payment Switching Gateway through credit card, Internet Banking (or E-Debit) & Electronic Wallet (E-Wallet). No need to charge OTA because ipa88 hotel already charge direct to the guest.

• Know more about IDB or Internet Distribution System which is a platform that enables hotels to distribute their inventory and rates to various online booking channels.

7.00 am - 3.00 pm

• Getting to know the D-edge System. D-EDGE provides hotels around the world with state-of-the-art technology and digital marketing solutions to help them maximise their revenues.

• I learn a lot from this system because this is also one of important that every hotel have because this system is guest booking through Online Travel Agent (OTA) but make direct payment to the hotel.

• I am also learn how to pickup phone call from guest professionally. Every person have different way on answering phone call in the hotel. Need to be confident and good in English because this hotel speak in English with the guest but still can speak Malay when the guest also speak in Malay.

• I have learn about D-edge Guarantee and Non-Guarantee. Guarantee is when hotel already receive the payment and vice versa.

• Everyday have to check the OTA because everyday have new guest that make booking for room.

• Charging OTA also need to do everyday. After make charging, I also need to make cashiering closure to make sure the payment and the payment that receive by hotel is tally.

Day 7 - 23/05/2025 (Sunday) - Offday

• Charging Online Travel Agent (OTA) credit card. Everyday need to charge.

• Reorganize group form reports by month and year to make it easier when need to find specific information starting May 2024 until July 2024.

• Because of make charging on the morning, so need to make closure as well. Before going home I will make closure and put it on the back office, and make sure the amount and total are parallels.

• Update Online Travel Agent (OTA) in IDB system.

• Check guest detail and clear any that are not applicable in the system

• Charging Online Travel Agent (OTA) credit card. I learn how to use email on charging OTA. Using email is more easier because there complete with the detail that the guest already make payment for hotel tax or not, so we don't have check anymore.

• Make cashiering closure to to make it easier for other departments to make calculations.

• Update Online Travel Agent (OTA) from time to time. Guests will also book rooms by calling, so need to make a new reservation through system. Need to record guest name, arrival and departure date and time, how many days and so on.

• Charging Online Travel Agent (OTA).

• Continue to rearrange group form report from August 2024 until November 2024.

• Print Cashiering Closure before going home and and make sure the amount and total are the same before placing it in the basket in the back office space.

• Update Online Travel Agent (OTA). As part of the reservation team, it is super important to keep our listings updated from room availability, prices, promotions, to even guest messages. It might look simple, but every update helps us give better service and avoid problems down the line.

• Continue to rearrange group form report from December 2024 until January 2025. A group form report is a document we use to organize large bookings like tour groups or corporate events. It includes guest names, room assignments, special requests, arrival and departure dates, and more. Sometimes the details in the original form need to be cleaned up.

Day 14 - 30/03/2025 (Sunday - Offday

• Update Online Travel Agent for the day and the next day to to speed up the process the next day. This is important because we are assisting the receptionist at the front desk to expedite the check-in and and check-out process.

• Charging Online Travel Agent (OTA) for the day. When a guest books through an Online Travel Agent (OTA), they often choose a prepaid or virtual card payment option. The OTA then gives us a credit card to charge on behalf of the guest. These are called virtual credit cards (VCCs).

• Make Cashiering Closure. Cashiering closure is the process of checking all financial transactions for the day like payments, refunds, pre authorizations, or credit card charges and making sure everything is properly recorded in the system before the shift ends.

• Update Online Travel agent for that day because this is the last day I am at the reservation before going to housekeeping department.

• Charging Online Travel Agent (OTA). I open the OTA booking details and copy the virtual credit card number, expiry date, and CVV. Then I input those into our payment terminal or PMS. Once the payment is successful, there be record the transaction in the system.

• Once all transactions are correct, I go to the cashiering closure and do the shift close. Our PMS will generate a report summary. I print it and put on the basket for the finance or front office team to check.

Day 21 - 06/04/2025 (Sunday) - Offday

• First day at housekeeping, my supervisor explained to me the type of room. I have to know the type of room and how to clean the room.

• I was placed under a housekeeper who had been working at this hotel for a long time, Santosh. He taught me how to make the bed according to the requirements set by the hotel.

• This is not easy but I learned how to make a bed and towel folding in the Room Division subject.

• We also use a trolley to place pillow cases, duvets, bedsheets, bath mats and towels.

• I learn on how to clean the toilet by using a toilet brush and toilet freshener.

• The floor needs to be wiped so that there is no hair or any water on the floor.

• Try to clean the bed like change pillow case for check out room and wipe table in the room.

• In housekeeping need to do the same routine everyday. From clean room, toilet and wipe table.

• Clean VVIP room on this day. Lot of amenities in this room and it is more spacious than other rooms and the most expensive room.

• I have to assist Tara, he also had been working at this hotel for a long time. He teach me how to clean the VVIP room, put the amenities like Boh tea, Nescafe, sugar, creamer and vacuum the room. All VVIP room need to vacuum because the room uses carpet.

• Today, I'm practice to do towel folding for bath towel, hand towel and also face towel. Different towel have different functions. The material also different so need to place it appropriately.

• I also clean room and toilet for this day with Santosh.

• I learn how to change water gallons in the room and take the trash out of the room and throw it in the plastic on the housekeeping trolley.

8.00 am - 12.00 pm

• I went to represent the housekeeping department to replace the supervisor, Mr. Azril Bin Che Lah.

• Gathered at the hotel at 8am and proceeded to Balik Pulau. We listened to a briefing from the owner of the MARS Project and he introduced us to the various plants found in the area. We had to plant the trees that had been prepared before heading home.

1.00 pm - 4.00 pm

• Join Santosh to clean room and toilet for all check out and occupied room.

• Today, I have learn about toiletries that provide from the hotel. We have dental kit, vanity kit and sanitary bag and also shower cap for the ordinary room but for the VVIP room, need to add loofah, shaving kit and sewing kit. Also have suite amenities like shampoo, hair conditioner, soap and lotion.

• I also learn to clean VVIP toilet because there also have bathtub and need to clean properly.

• Wipe window in the room so that there is no dust.

• Every morning I will attend a briefing given by the supervisor before starting to clean the room.

• Learn how to make a DND (Do Not Disturb) card if there are guests who do not want to make up the room.

• Guests who don't need to make up the room will press the Do Not Disturb button next to the bed. So, housekeeping doesn't need to clean the room.

• The DND card has been provided by the hotel, housekeeping only needs to fill in the room number, date and time.

• Attend briefing on every morning.

• Clean room and toilet for every check out and occupied room.

• Put slipper, laundry bag, plastic bag in the room.

• Wipe table and window.

• Attend briefing on the morning.

• Today, I only have to wipe window because there is not to many check out and I just have to clean and wipe table to make sure there have no dusk.

• I have to join Dev to make up room for occupied room and check out room and also clean the toilet.

• I also change water gallons in the room because the empty water gallons will be refill on the evening by by housekeeping who was given the task of refilling water gallons.

• Attend briefing on the morning and today is my last day as room attendant.

• Clean room for check out and occupied room. The way to clean up a checked-out and occupied room is different in terms of the arrangement of pillows and bath mat. So, need to make sure whether the room only needs a make up room or the guest has checked out.

• Wipe window and table.

• Attend briefing as usual but today I have to learn to be a runner.

• I was teach by Gobin who is runner at the hotel and I have to assist him.

• I learn how to print the amenities report and send minibar to the room. Not all room get the amenities and the list is on the amenities report.

• On free time, I have to assist to make up room also.

• Before going home, I have to send guest laundry that collect by Gobin in the morning.

• Attend briefing every morning with all housekeeping.

• Today I learn how to make billing and I need to scan the handover report and laundry list and save in the folder.

• Send minibar to the room that request the minibar. Minibar is the compliment to the guest as welcoming the guest.

• Today also I need to send the laundry to the guest before going home. In every laundry bag we already write the room number to make it easier when send it.

• As usual, I have to attend briefing on every morning.

• I have to make the billing for the laundry which is not in the amenities report. They do not request for the amenities so they have to pay for the laundry.

• Make billing for guest laundry.

• Get the amenities report at the back office from the supervisor.

• Every morning, the first thing to do is get the amenities report at the back office from supervisor.
