Personally, I think a 'light touch' approach would be better. The DOT/S should be aware of the service we are offering, could it be one of the options if the rubric flags a space as red. e.g You may wish to discuss this with your DOT?'

This is a good point from Lynn: 'I think if we want it more formal we should run it by to DoT/S first as they may not want the extra work. And wouldn't want a DoT/S caught out when a staff member goes, "you got my review x-months ago and didn't say anything so I shouldn't be in trouble now"

Olivia pointed out: 'It also depends how many of these requests we're expecting... if they're very infrequent the DoT/Ss won't be spammed as much, but even so, I agree that they probably don't want any extra emails coming their way without us checking first'
