Students are evaluated by the trained OSCE pt actor using a rubric created by the program. Do program faculty need to be present for the encounter to perform the evaluation? Other than stool guaiac (which we are told they rarely do also), what would count as a technical skill for this specialty? Is a report due for graduation rate.  We believed that the 85.5% graduation rate did not meet fall below the threshold.  Are we correct?</p>]]></description>

If so, let me know, and I'll take it to the commission for an answer"                          Yes, the clinical sites want the specific dates of the vaccinations and/or the lab confirmation of a titer. The clinical sites often ask the program for these results and expect it to be submitted within 24 hours. </p>]]></description>

         <description><![CDATA[<p>Hello,</p><p><br/></p><p>Our principal faculty are all hired as 1.0 FTE Teaching faculty, and workload is calculated by the university with regards to student-facing activities.</p><p>Departmental admin work, Committee service, scholarship, etc. are not included in the calculations but are expected to be performed by all faculty.</p><p>Although PF capture those efforts for performance reviews, there is no quantification of that work. We realize that this is something that needs to be added to our ongoing assessment process.</p><p>Can you please recommend where to find/how to create a workload calculator for efforts outside of teaching when no protected time is provided through the university for non-teaching efforts.          <description><![CDATA[<p>Hi, For our elective rotation course syllabus in Canvas, do we need each specialty to have their own instructional objectives or can it be a common list of instructional objectives (ie., Obtain focused histories and perform focused physical exams appropriate to the patient concern)?</p><p>If the IOs need to be listed out per specialty elective, students would prefer a link to each rather than every list shown in the syllabus. In this case, does the portal allow additiional uploads for a course (the syllabus followed by PDF of IOs per specialty)?          <description><![CDATA[<p>Hello,</p><p>I'm calculating our 2026 principal faculty (PF) attrition rate and need clarification on whether vacant FTE belong in the denominator.</p><p>In 2026, we will lose two PF members, totaling 1.1 FTE (a 0.6 FTE PF who resigned in spring, and a 0.5 FTE PF transitioning to a 0.25 FTE IF role in August before resigning in December). We were approved to hire two 0.8 FTE PFs; one starts in August, and the other remains vacant. This gives us 4.3 FTE filled in August 2026, or 5.1 FTE including the vacant position.</p><p>The Manual defines the annual attrition rate as (# FTE lost / # FTE assigned to the program) × 100%. Does "# FTE assigned to the program" include approved-but-vacant FTE? In other words, is the correct calculation 1.1/4.3 or 1.1/5.1?</p><p>Thank you for your guidance.</p>]]></description>

For the data template, I as PD look at individual evaluations and collect the quantitative data and then look at all the comments to identify themes.  No faculty are looking specifically at another faculty's evaluation, but I have one faculty member saying this information should not be shared, and the evaluation is confidential to them and needs consent to be shared among the team.  I have reached out to leadership to help me with this barrier but have not gotten anywhere.  If I have some documentation from ARC that this is acceptable and also required, I can make better headway.</p>]]></description>

For some of our SCPES (e.g. clinical elective and family medicine) there are several preceptors who only work with 1 or a few students per year. Do you have a suggestion on how to analyze the qualitative survey data for these preceptors? Our qualitative data benchmark is 15% similar comments making a reportable theme.  This wouldn't work when there are only a few students who complete a survey for a specific preceptor. Is there a minimum number of qualitative responses that should be met to do any qualitative data analysis? Do we need to provide qualitative data for every preceptor; even if their quantitative data is above benchmark? Any advice is much appreciated. Thank you.</p>]]></description>

Our challenge is that our website links to one general PA Program Handbook page. Within that page, policies are organized under multiple dropdown menus by Index, Section, and Policy Number.</p><p>To make it easy for reviewers to locate the relevant information while also following the instructions explicitly, would it be appropriate to provide the handbook URL at the beginning of the narrative response for each standard, such as A3.05, and then reference the specific handbook section/policy number within the narrative text?</p><p>Alternatively, we could still excerpt each individual policy in Appendix 3/5/7 for clarity, but I want to ensure we are following the directions as intended.</p><p>Thank you for any guidance.</p>]]></description>

As we prepare the on-site materials, we are seeking clarification because this appears potentially duplicative for many standards.</p><p>For example, 5th Edition Standard A3.03 requires the program to define, publish, make readily available, and consistently apply a policy stating that prospective and enrolled students must not be required to provide or solicit clinical sites or preceptors. In the application, the program provides a link to the applicable policy and identifies the specific page on which compliance is demonstrated.</p><p>Is the program also expected to place a copy of that policy in a folder labeled “A3.03” and highlight the relevant language?</p><p>Similarly, for the B standards addressed through Appendix 11, should the program place a copy of each applicable syllabus in every corresponding standard folder and highlight the relevant evidence, even though that information has already been identified in Appendix 11?</p><p>We would appreciate clarification regarding the expected level of duplication within the on-site materials.</p>]]></description>

(i.e. cut 'demonstrate the ability').  We have a means to measure the giving and receiving the constructive feedback. My team wants to know if ARC-PA agrees with the PAEA webinar for best practices in writing these to avoid the verb "demonstrate". </p>]]></description>

Some of the LO include the word "and", but the IOs are specific enough to assess each component without the word "and". Do we need to do anything specific when completing the B3 portion of the 6th edition application to indicate that the very specific assessments are done with the IO and this statement is included? Is the "ARC-PA Site Visit Rationale for Continuing Validation Site Visit Sessions" document, dated 10/2021, still current? It refers to the Self-Study Report as "Appendix 14," which reflects the 5th Edition application structure. I want to confirm whether it remains accurate for programs preparing under the 6th Edition Standards, or whether a revised version is forthcoming.</p><p>2. The Rationale states that ten days to two weeks before a site visit, the designated senior institutional official(s) will be reminded of the upcoming visit by the ARC-PA. Two clarifications on that:</p><p>   a. How is the "designated senior institutional official" determined? Is it the Sponsoring Institution CAO listed in the program's portal record, or a separate designation?</p><p>   b. Based on my PD colleague's feedback it appears all PDs received this and it was only intended for those who had not yet changed their approach to program costs to clearly be total COA including clinical rotation travel.  We're all feeling the need to do something by August 7th to adhere to this mandate in the email "To come into compliance with Standard A3.11f, please update both your Program Portal and your program’s public website to accurately reflect the total cost of enrollment/attendance no later than Friday, August 7, 2026." However, nothing appears to be required for our programs because this statement doesn't accurately reflect our program(s):  "Based on our review, your program’s reported “other costs” appear to be understated and may not fully account for these required components."</p>]]></description>

Do we need to include qualitative data analysis of comments for EACH course taught by EACH program faculty member, or can we combine all qualitative comments for each faculty member across all courses taught and analyze that data (and expand on this for any quantitative below-benchmark scores)? I was told at the last office hours that I should combine the qualitative comments for preceptors and clinical sites on other C1.01 tabs and expand on the comments for any below benchmark quantitative data.          <description><![CDATA[<p>In the A2 Template, there is a "URL" column for license and board cert. We have switched from Typhon to Elentra. Elentra does not allow for a specific link to be generated without a login for the documents uploaded. Previously, we would upload the screenshots with URL for licensure verification or download the pdf versions from state websites with appropriate information. Now, uploads cannot be reviewed in front of a login firewall. Many state website databases give expired links once reaccessed. So, if we copied the url from the state website, it would not take you back to the same license verification. Additionally, for board certs, we pay and pull primary certs from the appropriate board. Those don't have a URL, they're a hard copy document stored in TEAMs files for site reviewers at any given time. Site visitors are given sharepoint logins at site visits, can we just provide a URL link to our TEAMs files where we maintain all of these documents/files since Elentra will not give a unique URL to the documents without a reviewer having a login? My understanding is the site visitors will not use any URL for any login required beyond sharepoint/teams. </p>]]></description>

I am getting hung up on how to put this data into the portal and therefore on the website appropriately. The PANCE report has the one student who successfully completed and took his PANCE with the CO2025. Therefore, I figured my most recent graduating cohort is CO2025 and that is the most recent data I need to have on the website. Otherwise, I have two students, no additional cohort, repeating one class, where one failed to meet the standards and was separated from the program and one met the standards then subsequently failed PANCE on the first try. At completion of the pathways program, undergrad seniors will have completed all required published PA program prerequisite courses and experiences required of students applying through the typical CASPA pathway. They will receive conditional acceptance to the PA program as a senior if they meet all already published admissions criteria (minus still needing to acquire more patient care hours before enrollment) and have a successful admissions interview with PA faculty. </p><p><br/></p><p>Consistent with our reading of A3.12(a), we intend to publicly disclose (a) that Pathway-eligible applicants receive a preference in our admissions review, and (b) the Pathway's eligibility criteria (GPA thresholds, required prerequisite coursework, patient-care experience hours, and technical standards). We do not intend to publish the specific scoring weight given to this preference or how it is used to break ties among applicants, as our understanding is that only the existence of a preference (not the underlying scoring mechanics) requires public disclosure.</p><p><br/></p><p>We reviewed the Compliance Manual before writing, but did not find a clear answer to one question: beyond publicly disclosing the preference and its eligibility criteria, does the Program need to take any additional steps (such as internal documentation in a specific format, prior notification to ARC-PA, or inclusion in a specific accreditation reporting cycle) to be fully compliant with A3.12(a) for this type of pathway?</p><p><br/></p><p><br/></p>]]></description>
