Since we have various separate training providers in Germany who implement TEC trainings on behalf of NA, there is no general agenda, material or tools. We have great freedom in the implementation depending on the training provider.

No fixed agenda here either, every trainer brings their own specialty and knowledge. Adjustments can be made during the training if the situation demands it.

There are some guidelines and common elements, though:

Venue: youth hostel, centrally located

OAT: 5 days + 3 hr online kickoff meeting

- participants bring a video of their project
- rights and duties of an ESC volunteer
- group work (project planning, execution and presentation)
- setting learning goals and reflection on them + introducing Youthpass
- Dutch culture and intercultural learning
- workshops (e.g. facing fears, handling rejection, self defense etc.)
- group dinner @ restaurant

MTE: 3 days

- how am I doing in my project (learning goals)
- Q&A with the NA
- city safari
- focus in my project

AE (mentor meeting): 24 hours

- (obligatory for all mentors of newly accredited organisations)

Final event

We combine final event for volunteers and the one for organizations - they are held in the same venue at the same time, but different working rooms with different trainers and NA representatives. It lasts for two days and on the second day we have joint session for 2 hours where organizations and volunteers meet each other and exchange experiences and advices which has been a great practice example and valued part of FE for both organizations and volunteers

We also organize Follow-up yearly meetings where youngsters reflect on their experiences, unwidn if experience was bad and see where they can apply the knowledge and skills in Lithuania.

The OAT and MTE Aproach in Romania

Our NA is leading a group of 52 trainers that are in charge of all ESC and E+ programs. 12 of them are specialized in the ESC events, including projects’ writing workshops, mentoring, coaching, projects' management...etc. When necessary the trainers from other domains are supporting the ESC trainers’ team.

The actual agendas of these two events were developed to be implemented online in April 2020. In that period we have tried to adapt the face to face versions to online limitations.

Since then we have organized monthly OAT and MTE in this virtual/ digital format.

After all this time we have seen the level of the enthusiasm for online learning decreasing, but at the same time we also have realized that many aspects of the OAT online helped the volunteers to have the right info and tools for their own personal development and for their capacities to handle the ESC projects challenges.

The plan is to refresh this strategy starting with September when we will keep just OAT online and MTE will start to be organized face to face in different places in Romania.

We are hosting a large number of volunteers in our country. In some periods we can have 60-90 volunteers for one event.

Every group is led by two trainers.

On-arrival and Midterm trainings

In the Czech NA, we have several different training providers who are selected for each training. They have to follow a list of topics that should be a part of the training program but the implementation is up to them. Therefore, the trainings can vary depending on the team of trainers.

Both OA and MT are organized from Monday late afternoon till Friday morning and have a maximum of 20 participants.

We have an online kick-off meeting of 3 hours 1 week before the volunteers come and that is focused on getting to know each other and feeling part of the group and the training. In this meeting we ask the volunteers what their (learning) needs and questions are and then we make the programme based on that.

One on one check in talks with each volunteer called the coffee chats. We started doing them in the online training during the pandemic because we missed the informal check in chats during coffee breaks, lunches, etc and now we we also plan 10 to 15 min with each individual volunteer in the residential trainings

2022 A year without face2face trainings

Due to Covid 19 circumstances, last 2 years OAT and MT were mainly transferred to online setting. This February we had the last ones. Since than, a few of WB hosted volunteers were sent to another NA (Croatia) to TCs. This situation is heavily influenced by the Commission discission reflected in PG on the status and possibilities for WB countries for participation in the program. As the number of volunteers continue to decrease since the new program was introduced, all TECs for volonteers are completely tailor made for the given group. What is uploaded is just a suggested, not obligatory agenda.

Different On Arrival Training (past)

For several years we organized OAT together VOLUNTEER + MENTOR (5 days for volunteer and 3 days for mentor, everyone arrived on Friday, but mentor left on Sunday)

Content mainly was very similar to the program above, but first 3 days there was more non-formal education activities where volunteer and mentor was building the trust between each other.

Additionally to program above :

mentor role was to support volunteer, setting the learning goals and have a time where they build agreement on how they will work with each other (expectations from each other, boundaries, future activities together)
“Welcome to Latvia” evening was organized by mentors for volunteers
And Intercultural evening volunteers organized for volunteers.

The reason we stopped this --> Sometimes mentors was mentors for many years or had a multiple volunteers, therefore not always all mentors were present in the training. For the volunteers who arrived alone sometimes felt left behind.

Missed benefit - mentors were better prepared to support the learning process along the way and educated about program guidlines, therefore better better in conflict solving. Relationship between mentor with volunteer was established.

Additional TEC activities for volunteers

Besides the regular Pre-D, OA, MT and AE., we have developed some additional TEC activities for long term and short term volunteers most of them, young people with fewer oppotunities:

- For short term group ESC we have On-the-spot Pre-departure Training (4 hours)

- For organizaton that host more than 6 Short-term volunteers, that start at the same time, we go on the spot and deliver OA for them (1 day)

- For one organisation that continously has short term volunteers, we developed the 'tailor-made' online OA (per volunteer we have 1,5-4 hour collective + 1 hour indiviual training). This tailor-made OA can be for 1 single volunteer, upto 4 volunteers.

- for volunteers going to the Caribbean part of the Netherlands, we do online OA training. Usually we have 2-3 hosting organisations from Aruba and Curacao)

- within our pool we are now developing digital pre-depature training modules, probably using INSTA course and materials made by (ex) volunteers.This can be combined with a residential course, but can aslo be a stand alone. It is just under construction and should be finished by May 2024.

IN our pool we are developing now a series of mentor trainings to have more continuous support for ESC-mentors.

Basic training for new mentors;
Update training for mentors who did not do basic training, but are active in the field for a while;
Deepening training: diving deeper in a relevant topic, like volunteers' wellbeing, or relationship/boundaries(with volunteers, with the organisations, tutor, etc.);
Intervision: sharing challenges: case-studies.
