Draft of Markham Schedule

Doing this draft, helped me figure out that I would prefer to split the school by alphabet instead of grade. To do it by alphabet, I need bags for: Total # of Students x 1.5. To do it by grade, I need bags for: Total # of Students x 2. (Kirsten) Starting Week 4, when students return a bag, they receive a new one; they trade. What happens when they pull up and want a new bag but don't have a bag to return? What's our policy? Also, I like the idea of having a "Catch-Up" week which would happen every third week.

Once we've done this for a number of weeks, I could sort the book bag numbers by student numerically, low to high, for example:
1, 3, 70, 110
This would make it easier to know what bag to select for them next.
Is there an easier way to track this? Anybody have a model of a spreadsheet they'd like to share or other ideas for tracking?
Note: I need to add a column to note if a family has returned their last book bag.

At Buckman, we are tracking student need in ONE spreadsheet managed by the principal and counselor. I have two columns in there for bag distribution (pick up date/bag number & drop off date/bag number). Each sheet contains tabs of grade levels, then alphabetized by last name. From this we can see what family needs what each week and collaborate with the classroom teacher or other professional doing home visits.

Consider staging together with nutritional services if you are a pick up site. Parents only have to go to one spot. This is workable for some and not for others. Good thing is there should be cafeteria tables not being used at the moment!
