-have a camera recording every presentation and sound recorder also recording, use separate camera to get photos and cut away shots of general atmosphere etc...

sounds good. Just thinking how to minimise time spent on the editing post conference as is likely to be very time consuming. Perhaps if 1 or 2 people are responsible for making notes of key quotes/points that could be included in the film. Not sure if this would help?
