Me and my groupmates exchanged socials and created a group chat on WhatsApp to communicate with one another. We decided that we will collaborate on google docs. So, I converted the word document into a docs file so that we all could work together and collaborate. Then, we met up online on Discord on Thursday. The planning took a bit of work due to the different time zones but we managed to find a time frame that was suitable for all of us.

During the meeting, we did a lot of brainstorming. We brainstormed in order to identify stakeholders and entities. Then, we allocated work among each other where I was allocated with the responsibility for the introduction, requirements gathering (together with Nick and Gifford), and the finalization of the ERD diagram.

I started off the assignment by beginning my research on the system in order to write the introduction. It was quite hard because the topic is fairly recent and there aren't many sources talking about it. I did manage to find a couple of sources but most of them shared the same information. I realized that the sources available regarding Australia's digital passport system are not adequate for me to have a clear understanding of the system. Therefore, I started researching similar topics such as Europe's covid passports in order to gain more insights. After some time, I gathered enough resources to work with and finished my first draft of the introduction in one sitting.

I started working on the ERD diagram by using the ideas generated from the brainstorming done during the meeting. I initially thought about using draw.io but we ended up working with miro because it has better collaboration features and a cleaner user interface. The hardest thing about drawing the diagram was the process of identifying the best possible locations to place the entities in a way the lines will not overlap with each other. The planning took really long but I finally managed to think of a good layout for the entities.

After a few hours, I finished the draft for the ERD. It contained relationships, entities, and attributes. I decided to not include the cardinalities since I wanted to include them only after I have the final version of the ERD. I also wanted to wait till I have had insights from the teacher. So, I joined the consultation class and it was very beneficial. The teacher was very insightful. After the consultation session, I improved my draft and created the final draft where I have also added the cardinalities and color-coded the blocks for better visibility and visualization.

This week, we learned about the use cases. We already learned about it during the introduction to information systems class but this class expanded on what we have learned.

As for the assignment, I resumed my progress with the ERD. I used both my new ideas and the feedback I got from the consultation session to make suitable adjustments to my draft from week 2. I added new entities and removed some entities which I deemed were unnecessary. After I was satisfied with the entities, I added cardinalities. I also color-coded the diagram in order to make it easier to look at and be more clearer. After several retouches, I decided that I have completed the ERD.

After the ERD, I decided to start working on requirements gathering. Our team has decided to use interviews and surveys. Therefore, I started researching these two methods. I started with surveys and I spent some time going through different articles to find out the best techniques to use in order to conduct an effective survey. I also went back to the introduction section and completed it.

We once again met up on discord on Thursday. We discussed our progress and brainstormed to identify suitable interview and survey questions. We collectively managed to work together effectively and managed to come up with great ideas for the requirements gathering section. I also helped out Nicholas with his use case diagram after we were done brainstorming and researching about the surveys and interviews. I also went through the use case descriptions briefly.

After the meeting has ended, I immediately went to Microsoft word and created a draft for the survey questions. After the draft was created I used a software called Typeform to start creating the surveys. I chose Typeform because I am very familiar with the tool and I really enjoy the interface and the clean aesthetic it provides. When I finished creating the draft survey, I emailed my survey questions to the instructor in order to receive her feedback.

I made the necessary adjustments after receiving the feedback. I removed some questions which I thought were not relevant and I added a few more questions which I thought would contribute towards meeting the survey's objective. When I was done polishing the surveys and consulting with my team, I published the survey and started working on receiving responses.

To start our week off, we had a group meeting to discuss our roles and responsibilities for this project. As 4 out of the 5 of us were groupmates in some of our subjects last semester, I felt like we were comfortable working with each other and it allowed us to save time with introductions and rapport building.

Due to the our large group size, we ended up creating a system where two or three people would be in charge of managing each section. Each member would contribute ideas for all sections however those in charge of the individual sections would be responsible for finalizing and formatting their respective sections. This strategy would help overcome some of the problems we face as a large group such as having 5 different schedules to work around. This way we can have one main meeting each week and the members in charge of the same sections can have smaller meetings to collaborate on their sections.

During our meeting, we spent a great deal of time brainstorming and filling our google doc with ideas that we could elaborate on. This turned out to be productive as we managed to decide on several main points as a team.

Over the weekend, Margaret, Gifford and I worked on our stakeholders list and we managed to come up with over 10 stakeholders and their descriptions. Having these 'mini' groups helped drastically as it made our collaboration more convenient and allowed for us to bounce ideas off of each other in order to attain a more elaborate point of view.

In week 2, our group met for the first time to discuss the assignment. To work together efficiently, our group utilises google documents so that everyone can add any information ourselves, without having to rely on one person. We conducted a meeting through discord and discussed it for about one hour. Moreover, we also have a group chat that is made in order to discuss this project anytime thoroughly we want. We successfully distributed each member’s task in the call and discussed the main points of stakeholder analyses, entities, and their attributes. Individually, I completed adding one sentence that describes each stakeholder alongside another member.

Our group’s learning and group work strategy are by distributing an equal amount of job description to each member and asking each other for feedback on our works. To complete my task, I first need some resources regarding the topic we are discussing. Therefore, I did some research on the news to comprehend the material. As my task was to do the stakeholder analysis, I found it quite challenging to describe some of the stakeholders suggested by another member. To solve it, I asked another team member to help me out and do it with me. By doing my part this week, I have made quite progress in this assignment (which is listing around 12 stakeholders). As a result, the second section of the project, the stakeholder analysis, is wholly done and elaborated as instructed.

In the third week, I started to make the use case diagram. I identified some of the actors and use cases. The research I did in the previous week as well as the introduction written by my teammates gave me the information I needed to make the first draft of the use case diagram.

We then had our second meeting, even though not al of us were able to attend, Aiden, Gifford, and I managed to think of the interview and survey questions for requirements gathering. After that, Aiden gave me some assistance in making progress for the use case diagram. I think all that's left is some minor changes and tidying up and the use case diagram should be completed.

My teammates filled me in on what I had missed during the meeting.

We then managed to finalise our requirements gathering method and started surveying people in order to develop our system requirements. This process took some time as we had to reach out to our friends and family to participate in our survey.

Besides that, we converted our initial stakeholder section from a bulleted list into a prose format.

This week, we started learning about UML which I think is pretty interesting.

As for the assignment, I received 44 responses for my survey and I started working on my analysis. I used TypeForm's auto analysis tool for analyzing quantitative data. As for the qualitative responses, I dived into the responses one by one and proceeded to sort and filter the answers. After preparing the data, I analyzed it carefully and reported my findings in the document. I also wrote about why our team chose to conduct the surveys and provided the necessary citations.

During the tutorial session, our team was put into a breakout room to work on our assignment. Me and Nick worked on expanding the list of the functional and non-functional requirements by including the requirements that were identified from the survey responses.

When I was satisfied with the number of responses gained from the survey, I proceeded to conduct an interview on the Zoom meeting platform. Our team was responsible to conduct one interview each and we had a template to base our questions on while doing the interviews. I followed the template and successfully conducted an interview. The interview went well but I feel like I could have asked for more information. Nevertheless, I was satisfied with the interview.

After each of us has completed the interviews, I analyzed the responses and finished part 3 of the assignment. I inserted the necessary contents for the appendix section and then included the references. Gifford also asked me to review his use case descriptions. So, I reviewed it and recommended a few changes that I thought would improve his use case descriptions.

During our last meeting, we finalized everything together and fine-tuned our work. I believe that this project has been incredible. We all have designated parts but we helped each other out along the way. So, each of us was able to work on all the parts of the assignment which I think was really good for individual learning. At first, the workload seemed daunting because our team consisted of five members which mean that our workload is really big. However, as we worked effectively and collaboratively, we were able to finish the assignment properly and the seemingly large workload didn't seem that large anymore. This group was really well coordinated and the teamwork was great. If there is a way to improve, it would be to have more than one day a week to discuss the project on a call. I do think that one meeting a week is adequate since we were always in touch on Whastapp but I believe that it would be desirable to have more meeting time. Overall, working on this assignment was an amazing experience. The tasks were very heavily reliant on teamwork due to the sheer amount of workload. This incentivized everyone to work together and share ideas which made me realize the importance of collaboration since I was accustomed to working alone prior to this subject.

In the third week, our group arranged another meeting to discuss parts of the assignment that have not been done yet. Although every member has been distributed to each section of the project, and it turned out that I did not have to make the survey and interview questions along with the analysts, I still need to contribute in having ten or more people answering our group’s survey and interview. Thus, I asked around 15 of my friends and families to reach a valid and objective answer regarding our topic, which is the digitalised vaccine passport. Another thing I did throughout the week was finish the stakeholder list. As I misunderstood the specification, I elaborated each stakeholder (around 21 stakeholders) with one sentence each of what the particular stakeholder does that we can call them stakeholders and make it into three paragraphs. However, it is not required, and I changed it into a list format.

One challenge found during the third week is that misunderstanding the specification makes me waste my time doing it as I have given my best in describing each stakeholder. Everyone misunderstands the requirement; therefore, I learned that I should have asked the teacher instead for any ambiguous specification. Fortunately, we can still get a chance to consult about the assignment, and we can fix the stakeholder analysis section before it is graded. Next, I learned is that by gathering surveys and interviews from a wide range of people, I can get new insights and think from many perspectives. Thankfully I have no struggle in doing this task.

In the last week of doing this assignment, I managed to finish the functional and non-functional requirements with my groupmates. At first, I tried to put as many requirements that I could think of in our group’s google docs. I managed to think of around 5-8 requirements in both functional and non-functional. Although it is not in a proper sentence yet, I am very grateful to have helpful groupmates who are willing to transform and expand it. This week, no additional meeting is conducted because we are given a chance to work on this assignment during our tutorial class, and it is more than enough for us to discuss. At last, the functional and non-functional requirements were finished during the tutorial due to the great teamwork. Another thing I did this week was rearrange my interviewee’s answer as it is kind of simple and contains grammatical errors. I also compiled it in google docs along with other members.

Although it seems impossible to find 35 requirements, I learned that every member needs to contribute as everyone has different perspectives and ideas. I think there are no specific strategies to finish this assignment other than working together. The struggles I experienced were fulfilling the functional and non-functional requirements as specified because it seemed too much at first. Fortunately, everyone participated, and we managed to pass the target and even more than we were told. I also learned how to make a use case diagram as well as its description based on other things outside UTS by observing my teammate’s work. Seeing and listening to the feedback for their work makes me obtain additional yet essential knowledge that I know will be beneficial for me in the future.

For this week I finished the use case diagram after discussing it with my teammates and doing some revisions myself. I then did the interview with one of my friends. Since my country had an app similar to the proposed DPD system, my friend was able to give some very interesting ideas. We also did a group meeting and tidied up some points in the assignment file. During the tutorial. I helped to revise on some of the functional and non-functional requirements.

This week was quite productive. I felt that I was able to finish the things I need to do in time. Seeing as this is the last week of this assignment, I think that I was able to spread out the workload quite wisely. There was never a time that I felt that I was running out of time. My team was also part of the reason, as we had a rather large team, meaning that each person had less work and we were able to focus on each of our assigned parts. We were also all very cooperative. Even though we had our assigned parts, we all helped if one member needed it. This has been quite an interesting project since we had a big group, but things turned out well.

To start off with the assignment, I converted the word document given into a google doc and then shared it with my teammates in order to collaborate.

For the introduction, I copied the introduction I wrote in part A. However, I amended some parts in order to make it more suitable for project B. I then took a use case description from project A and made changes to it as well so that I could have a suitable use case description for my activity diagram. Afterward, I immediately started working on the activity diagram. I thought about using Miro but I realized that I will need to know how to use draw.io for the exam. Therefore, I just decided to use draw.io for all the diagrams I will have to create in project B.

For the meeting, we had some complications. Everyone was busy so it took some time to plan a meeting. We went over the things we have to do and planned what we would be doing for the week and for the upcoming weeks.

After the meeting, I went back to making the activity diagram and finally managed to finish it. I converted the diagram to a png and emailed it to the tutor in order to get feedback. I also decided on what system development methodology I would research and work on. I chose the Kanban methodology since it is a system I am already familiar with and have used for my personal academic projects. I did research on the methodology and managed to have a draft. I also received feedback from the tutor which I used to make suitable changes to my activity diagram.

I received valuable feedback and made final changes to make activity diagram. I decided to rewatch the lecture video and external YouTube videos in order to properly understand the diagram. Then, I managed to draw a sequence diagram and completed a rough version. I also worked on my system development methodology writing. I included sources and citations. I had to do some research because I did not know how to cite a discussion post. I also needed to know how to synthesize multiple citations. So, I tried researching about it but I was still confused so I decided that I should ask the tutor about it during the consultation session.

Afterward, I had a meeting with the team. We worked together to create a class diagram. During the meeting, we identified classes and drew the classes together on draw.io. After the meeting, we proceeded with the relationships and managed to finish the draft version of the class diagram.

I also fine-tuned the class diagram to make it better.

I then started working on the state machine diagram. It was a bit hard to find an object to work on. I initially decided to make the diagram on non-Australian member class but later decided to choose the base member object. It was a bit hard to come up with the states for the object since a "member" is not a physical object like a book which was the object we practiced on during the tutorial. However, after brainstorming a bit, I managed to finish the diagram with ten states.

During the tutorial, I received feedback for my diagrams. So, I made my final changes. I fixed my state machine diagram mainly.

This week, we decided to not have a group meeting since everyone has done their work.

On the first week of doing the assignment, I read through the assignment specification and started doing it. First, I picked a use case along with its description and fixed it according to the feedback gotten from the first assignment. The feedback from the previous task requires to have of the goal of the use case expanded. Therefore, I expanded the goal, copied the use case description, and pasted it in the new document. Another thing I fixed according to the feedback is that a “show member detail” step must be added to complete the use case description. Thus, I added it as well.

Having the use case complete, I can move on to the next task to do, which is to make an activity diagram out of it. I used draw.io to make the diagrams and relied on the tutorial work and lecture slides to make it as I was afraid to get mixed up with the other UML diagrams.

I researched Agile Scrum and also created a Scrum Board based on our group's progress. It was an interesting topic to research. I also helped Aiden tidy up the references before it was submitted.

On the second week of doing the assignment, our group arranged a discord meeting to discuss the project further. However, I could not join the discussion as I needed to catch a flight at the same time as the meeting. Despite the circumstance, I informed the other members and had another team member tell me what the meeting was about, so I did not miss anything. In conclusion, the meeting was about the job description of each member. I was assigned to make an activity diagram and a sequence diagram that must be done during that week.

The group work strategy used during the second week is arranging a meeting on discord and discussing the assignment and each member’s job description. According to another team member who informed me of my job description, I needed to make an activity diagram and sequence diagram for the second week as I could not attend the meeting. I did the two diagrams and finished them. It is pretty challenging to make the sequence diagram as I am afraid that I might make a mistake and misunderstand the actual purpose of the diagram. After going through the lecture slides again, I finally managed to make a sequence diagram. While for the activity diagram, I did not find any trouble making it as I made an activity diagram before in the tutorial and got direct feedback about it.

In the third week, we were given time to discuss the assignment during the tutorial. In the discussion, one team member requests us to synchronize the diagrams as each member does it. I changed my diagram as required, and I also made some changes to both diagrams because after I see it again, I feel it is better to change it a little. In this week as well, each member was assigned to choose a methodology and describe it briefly in one paragraph, describe the requirement analysis process, and demonstrate the tools used. Thus, I did as assigned and finished it on the third week.

There are no group work strategies during the third week. I learnt about the prototyping methodology deeper and how to make an interface used as a tool in this methodology. I found several challenges when doing this section of the assignment, especially when demonstrating the tool. I have no idea how to visualise it as there are too many references on the internet. Moreover, I was confused with the meaning of “assignment system” stated in the assignment specification. I decided to follow how my fellow group member did on their methodology tool. Another challenging experience I got when doing this assignment was finding the information about this prototyping methodology because the information I found in most sources is not relatable to the project. I managed to find three sources containing information suitable for the task after spending hours searching.
