It is the expectation that PC leave a site program plan printed, & emailed to leadership/site staff prior to their departure on days PCs will be out.

It is the expectation that PCs have a program plan set for unforeseen circumstances should they be out.

The intent of this plan is to provide guidance to staff during PC absence and to ensure the team is equipped with everything they need to know and responsibilities are delegated amongst the team.

With the region restructure now effective, the admin team has taken the opportunity to implement assignment changes for Andrew, so that our department may assist your team more effectively and efficiently.  So, starting this upcoming Monday, 8/5/2024:

Also, as some of you may or may not know, we have implemented a soft rollout of a new ticketing system through Zendesk.  Moving forward, any task, question, service-based requests sent to our department will be handled through this system, to ensure that every request received is handled efficiently, minimize oversight, and to promote accountability.

Moving forward, we at the admin department ask that any requests for the following categories be sent to the channels listed below:

• Transportation – Transportation@la-allstars.org

• Supply - Purchases@la-allstars.org

• Payroll – Payroll@la-allstars.org

Sr. Directors of Operations have asked OGMS to send weekly emails with each sites ADA for BS & AS. Calendar invites for ADA in BS & AS programming will continue.

In addition, each site will be required to have a visual of their ADA in program coordinator working space. This visual should be updated daily.

Step-by-Step Proposal Process

1. Prepare Required Documents
   Program Coordinators must gather and complete the following:

   • Proposal Document

   • Invoice or estimated cost of the field trip (including bus and parking fees)

   • Lesson plans associated with the field trip

   • Signed bus request form

2. Submit Documents via Email
   Send an email to your Operations & Grant Manager (OGM) with all four documents attached.
   Be sure to cc: Monica, Elena, Carlos, Andrew, and Transportation.

3. Complete the Online Proposal Form

   • Fill out the Forms link (the virtual version of the proposal document).

   • Upload all required documents listed above within the form.

Field trips will only be reviewed and considered once all documents and the online form have been submitted.
