Hey EVGR! We've created this Padlet to help you crowdsource key pain points and suggestions re: mail. Having an issue with receiving flat mail/packages/perishables to EVGR? Have a suggestion RDE should consider? Wondering if other residents are having the same issue? Use this Padlet to organize your concerns and suggestions. It's an open canvas - so feel free to group your suggestions with similar ones, and add likes to other comments you agree with and want to emphasize. See the example post at the top of the canvas for the submission format.

Kennedy houses, Studios 1-6, etc. allow packages to be delivered in the lobby. The argument against this in EVGR is that there are too many residents.
Each floor of EVGR contains at most 200 students: therefore one floor in one EVGR building is comparable to one Studio or Kennedy building. UG2 should rapidly sort the packages by building and floor and designate one huddle room per floor as the package room.
This is secure: only residents have access to the huddle rooms.
It requires 0 additional staff or infrastructure.
It allows students with limited mobility to pick up packages close to their apartment (UG2 can leave a hand-cart in each room).
Finally, it provides 24/7 package pickup service.
The current system is a bloated boondoggle of poorly thought-out and implemented ideas. Let's solve every problem at once by getting rid of it altogether.

- Use the designated mailrooms (instead of GPC) for both flat mail and packages, there are oversized lockers in the mailrooms, why not utilizing them in addition to the smart lockers?
- GSB residence staff handles its own mail system for 400+ residents, and it works really well. The buildings have one designated mailroom. Staff there receive mail, scan them, which triggers email notifications to residents, then residents can pick them up at any time from the mailroom, all within a couple hours of the packages arriving. Can we have something similar in EVGR? Since access to mailroom is controlled already, we can just leave the packages in the room and have students pick them up at their own convenience. I'd vote to remove the layer of UG2 staff handing us our packages face-to-face, they can just focus on the receiving, sorting and notification steps. R&DE should speak to GSB residences to learn more about mail handling best practices.

Ignoring the poor planning of building an apartment complex without a proper mail center, the square-footage of these buildings rival shopping centers. How is there not space? I say use that 1st floor lounge. We don't need it when there are Community rooms on each floor and also large meeting rooms on the 1st floor. I respectfully complied (at risk of towing), but in stark contrast Comstock Circle is now daily lined with illegally parked trucks and cars apparently affiliated with the mailing operation. These trucks and cars are parallel parked in front of the graduate package center and along the Kennedy side of the street. These trucks and cars have reduced the street to being one-way, and have made it very difficult to navigate the street safely or even park in the designated ES spots I'm paying to use. While I have lived in this apartment for the past year and never had a problem with the previous GPC distribution from the GPC building, the new operations have expanded into a distribution tent only ~10 feet away from my apartment. I cannot leave my apartment to go anywhere during the day without weaving through lines of people and trucks arriving for the package distribution. The workers frequently leave equipment and signs right outside my front and back door, and prop crates and boxes against our apartment wall. We do not open our windows anymore because of the loss of privacy due to people directly outside our doors for over 12 hours a day.

What I am most disappointed about is the lack of communication about what these changes would mean for us. While we were sent a brief email indicating the parking spots would be off limits for the additional storage units, it was never made clear that there would be an outdoor package distribution center and unloading depot attracting large crowds in the middle of our neighborhood. It is not clear to me why this activity now has to happen within the designated residential section of our EV neighborhood, and could not continue from the designated GPC building as it has in the past for years without problem. In fact, the outdoor distribution tent has attracted far more traffic than the GPC itself, which seems backwards and inconsiderate of the current residents living here.

Suggestion: Stanford should not blatantly violate county and federal law

This is totally Stanford’s fault, not USPS.

In the U.S., land owners have to pay property taxes in return for services. Historically, Stanford has been given a huge property tax exemption from Santa Clara county in return for certain requirements: e.g. Stanford pays for its own fire station on campus, has to provide a certain minimum amount of housing, etc. In 2018 when renegotiating with the county, Stanford refused to make these basic concessions in return for huge tax savings and left the negotiating table. As a result, the new development permits that would have been part of the deal did not get approved by the county (again, because Stanford chose to leave the negotiating table). This means that Stanford did not get the permitting to build the new 2 billion dollar EVGR development as residential buildings, so it instead reported these as “commercial buildings” that, under federal law, don’t have residential postal addresses. Again, because of Stanford’s actions, USPS cannot give EVGR residential addresses until the permit gets reclassified. And EVGR residents, as tenants of Stanford, bear the burden (and often receive misinformation from their landlord, who is making a profit off of them). This means that eligible voters do not have a mailing address because of their landlord, which violates federal election law. Residents with legal or governance expertise should consider the relationships between Stanford’s actions and civil/criminal law.

And now they are blaming the post office, losing residents' mail, and putting an enormous stress on UG workers.

Shame on you Stanford.

It has been since Saturday and no one has contacted me to tell me that they found the package. I plan to go there tomorrow to check-in and if they confirm that UG2 lost the package, I will then pursue steps for reimbursement, as someone who works for UG2 instructed me to do so, etc. Thank you for organizing this and for helping to smooth out this process so that we can have as reliable of a system as possible.

But we need our voice to be heard.

As a PhD residence who has stayed on campus for 5 years, UG2 for EVGR is the worst so far for several reasons:
1. We have mail room downstairs. Why we the package never been delivered there? If we are worrying about the loss of mails, why not install cameras in the mail room or only give the building's residence access?
2. GPC is not the center of the residence, it is actually not very close to our apartment from EVGR, especially for D. For heavy mails and perishables, it takes 1h to walk back and forth for the package and the truck return.
3. Notification system is the worst. We never know how long does it take to process it. We used to have so many students and packages as well before covid, but things did not go wrong. The original EVGR B is pretty good as well, why we abandon the good solution and go for the worst?

Suggestion: Deliver Packages to Each Building+Questions on Lockers

tl;dr version:
1) packages should be delivered to each EVGR building, could use common room (credit to existing posts);
2) current GPC pick up sucks for everyone;
3) the lockers are not working efficiently.

Currently, EVGR residents have to go to GPC to pick up packages. This is so inefficient both to UG2/GPC workers and EVGR residents. I can see that sifting through thousands of packages all the time and finding packages for people is so exhausting. I also see all the time people questioning them where are their packages. Even if people pick up their packages after several days that UG2 finally finds them, sometimes the packages are just so huge that moving back to EVGR is so inconvenient.

I have friends living in EV studio 2 and some other houses in EV where the mailman just deliver packages to their ground floor. Could we do this also in EVGR? UG2 people could separate into groups and in charge of each building. I also echo with other posts advice that we could use some common rooms for that.

As for the lockers, I appreciate the idea of picking packages up 24/7. But there are so few lockers to make this system efficient. Less than 100 locker positions for thousands of residents is just impossible.

I know this is long to read. I tried my best to convey my+my friends experiences. No one likes the current system. I understand all the difficulties and challenges of the package system, and thanks for reading my comments till here.

Like many people without a car, I use the internet for daily essentials (toiletries, bedding, etc). This means I can often have quite a few parcels arriving over the course of a week, from different sources. My experience so far has been that stuff gets registered a good 3/4 days after it arrives (which is a lot if you’re waiting for toothpaste / a lightbulb!). Furthermore, I can only carry multiple bulky packages with the use of one of the crates, meaning I often have to go back and forward between the GPC/housing Center a couple of times a week with a crate full of packages, which can be quite a physically draining journey. Add to this the length of time it can take GPC staff (who are lovely by the way, and obviously trying their best — this situation must be as frustrating for them as it is for us!) and the round trip can often take an hour or more. This just feels like such an exhausting way to spend one’s evening after a day of teaching/seminars. I really hope our feedback about the system is taken seriously.

In that time it could have been stepped on, crushed, or otherwise ruined. Because of this experience I have had to space out my medicine deliveries more so that they can come only on weekends (even when I'm about to run out) because I'm so worried about UG2 messing up and causing my medicine to either spoil or be damaged and unusable. Unless UG2 and R&DE are willing to reimburse me the $1300 to replace any damaged medication, they better fix this.

Need to improve mail delivery

I went to check whether my passport had been delivered, and came down to see that the mail attendant had clearly just left halfway through their job, with dozens of units’ mail unattended. In my mailbox, I had my passport and health insurance cards, and saw that other units had mail from health providers. At the very least, I would expect a mail room to be able to keep important documents and health information safe.

Issue: my partner does not receive notification when packages arrive.

Neither I nor my partner (who lives with me in EVGR) has ever received an email announcing arrival of a package addressed to her. She periodically makes the trip over the GPC, hoping that her packages will be there, and often returns disappointed. This is a very frustrating experience.

Suggestion: Add a "due date"

I do not like the 7 day pickup system and think it should be abolished but if it must stay rather than saying "please pickup within 7 days" please say "please pickup by XXX date" that way there is no ambiguity. Especially as there seems to be discrepancy between when the emails are sent and when received.

Question: Where did the GPC recycling options go?

Why did you remove the ability to recycle boxes by the GPC? It was helpful with some big boxes to be able to unpack it and put the item in a backpack and leave the broken down box there and/or throw away related trash right there. Especially given the challenges people are having carrying things, it is a small thing to add back. Doesn't solve the big issues but would be helpful. I recognize then taking the recycling there to a bin might be a bit more work for the GPC staff but it was done with FedEx. Or add a big recycling bin right there and we'll do it ourselves.
