Effective Workplace Communications

1. One form of effective communication can be when I was emailing vendor requests. I would have to find each vendor, the parts and their number that we buy from them and send an email requesting the updated 2018 information of each different part (sometimes where they are manufactured changes and etc.). I would send an email and receive back my request.
2. Another task would be answering and directing phone calls. Most incoming calls are for the sales person, Andrea. I would answer and direct phone calls when she couldn't, in some cases I could answer their request. Most cases calls were for inquiries on if their order had shipped yet.

Technology Skills

I was able to incorporate a some my technology skills in a few different ways. The first was that I used Excel numerous times, looking up contact information for vendors, updating different parts, created a master excel of all vendors and buys. Another way would be using email to send different forms of requests and once receiving the infomration updating the part system with the current information.

1. Filing different forms of documents. I would occasionally pull paid customer invoices and file them away into the complete current year cabinet. Other forms of documents filed would be bills from vendors the company paid, these would be filed in a different place than the customer invoices.
2. Data entry, I would update information of different parts and vendors on excel as well as their B.K. Controls part system.
3. Creating letters and mailing out different correspondence. I addressed Christmas cards to be sent out to all company vendors and sales reps. Sent out email requests to vendors. I would have to find their contact information depending on the company and who their rep was and find the parts that they supply us with and form an email requesting current information.

Managing an Administrative Project

Not quite sure if it counts as a project but I was tasked with mailing out Christmas cards to all company vendors and sales reps. I had to create labels for each sales rep and vendor. Fold and insert each card into an envelope. Labeled and stamped over 400 cards. Double checked that each vendor and sales rep was sent a card and that each had the accurate amount of postage, Mexico and Canada uses extra postage to mail.

Different Relationships at Work

One internal relationship would be my relationship with Andrea. She is the sales rep in the office. I enjoyed chatting with her throughout the day and during down time. I would often ask Andrea for anything I would be able to work on for her and she would give me different tasks that I could complete for her. Another internal relationship that I had was with Deb my supervisor. I would report to her, as well as schedule with her when would be a good time for me to come in.
Externally I really never had the chance to. The company is quite small and there is very minimal activity of external personnel. Occasionally in passing I would share a nice greeting to the mail carrier or the rare sales person that happened to be in the neighborhood.

I think one of the biggest ways that I modeled professionalism in the workplace was my ability to take a task and complete it in a timely manner. I was able to complete anything and everything asked of me.
Another way that I was able to model professionalism in the workplace is the way that I communicate with others. Always polite and professional.
A third way that I am able to model professionalism in the workplace is the way that I dress. I am always neat and clean and dressed for business.

Valuing my Education

I really came to value my education from Gateway while working through my internship. One of the ways was all the little things that I learned in records management. I almost felt as if they were useless though after working for B.K. Controls I understand why there are such things as reference files. Over the years many of their suppliers have changed names and they have never updated their name in their filing records. Their invoices have the current business name though you just have to know the old company name to be able to file them accordingly. Another thing that I have come to value from my education is strengthening my skills in excel and access. Those skills came in handy when entering data and updating vendor information.
