Today’s orientation at ViTrox focused on completing the necessary online forms and undergoing e-learning sessions. The first task of the day was to submit several acknowledgement and survey forms, including the Non-Disclosure Agreement (NDA), which emphasises the importance of protecting company documents and maintaining confidentiality. Another critical form was the IT Properties & Data Access Undertaking Agreement (ITDA), which ensures that employees use Company devices strictly for work-related purposes. These agreements reinforced the importance of data security and ethical responsibility in the workplace.

Following the form submission, I proceeded with the e-learning sessions, which provided a deeper understanding of the Company’s policies and ethical standards. Some key topics included the Anti-Bribery and Corruption Policy, which highlights the company’s strict stance against unethical business practices, and the Environmental, Social, and Governance (ESG) program, which focuses on corporate sustainability and social responsibility. Additionally, I learned about Environmental, Health & Safety (EHS) Awareness, which ensures a safe and healthy working environment for all employees. These sessions helped me grasp the company’s commitment to integrity, sustainability, and employee well-being.

Reflection:

Today’s session made me realise how crucial compliance, ethics, and responsibility are in a corporate environment. As an accounting student, I’ve learned about the importance of internal controls, financial ethics, and corporate governance in my studies, particularly in the 'Risk Management and Corporate Governance' course. Understanding policies like anti-bribery and ESG initiatives directly connects to the principles of transparency and accountability, which are essential in the accounting profession. Moving forward, I will apply these values in my work, ensuring I uphold integrity and professionalism in every task I undertake.

Today, I was finally assigned my first task as an intern core in the ESG team—data validation for the ViTrox Sustainability Report 2024. My role was to verify the original write-up prepared by the content writer, ensuring that every statement was backed by proper documentation and logical evidence. Most of these supporting documents were provided by key stakeholders, including the Group CEO, Facility Department, and People Management Department. The process required me to carefully review, cross-check, and ensure the accuracy of the reported information.

The ViTrox Sustainability Report 2024 is structured with five core themes, and today, I focused on validating the first theme: “A Caring Employer.” This section highlights ViTrox’s commitment to employee well-being, diversity, inclusion, and talent development. From the information I reviewed, I learned that ViTrox has been actively enhancing its employee benefits, training programmes, and workplace culture. Their strong emphasis on human rights, employee engagement, and personal growth opportunities reflects their commitment to being a people-centric organisation.

Since this was my first time performing data validation, I took extra precautions to avoid mistakes. The process was time-consuming, and I only managed to complete this one theme today. However, I understand the importance of accuracy, as any errors could affect the credibility of the report.

Reflection:

Today’s experience reinforced the significance of attention to detail, critical thinking, and analytical skills—all of which are essential in both ESG reporting and accounting. Moving forward, I aim to improve my efficiency and confidence in data validation while continuing to uphold accuracy and integrity in my work.

I continued my data validation task, focusing on two more ESG core themes: “A Go-Green Practitioner” and “A Trusted Corporation.” With more hands-on experience, I became increasingly familiar with the process and worked more efficiently than yesterday.

“A Go-Green Practitioner” highlights ViTrox’s environmental sustainability efforts, including carbon footprint reduction, energy efficiency initiatives, and waste management programs. From my review, I learned that ViTrox has significantly improved its S&P Global ESG Score and achieved a 4-star FTSE4Good ESG rating, reflecting its strong commitment to environmental responsibility. I was particularly impressed to discover that ViTrox has its own solar panels to generate renewable energy, reinforcing its dedication to sustainability.

“A Trusted Corporation” focuses on corporate governance, ethics, and integrity in business operations. I validated statements related to ViTrox’s anti-bribery and corruption policies, transparent corporate governance framework, and ethical business practices. Additionally, I found that ViTrox was recognised with gold awards at The Edge Malaysia ESG Awards 2024 for its outstanding ESG performance, reinforcing its commitment to accountability and trustworthiness.

Throughout the process, I frequently sought clarification from my buddy whenever I faced uncertainties. I also collaborated with the content writer to verify missing supporting information, ensuring the report’s accuracy and credibility. These interactions helped me appreciate the importance of teamwork and clear communication in corporate reporting.

Reflection:

I saw how environmental sustainability and corporate governance directly impact an organisation’s reputation and long-term success. What surprised me the most was ViTrox’s dedication to sustainability—making donations based on employees’ volunteerism hours. This level of commitment is truly admirable. My accounting background has trained me to analyse data systematically, ensure compliance, and maintain transparency—skills that proved essential in today’s validation work. Moving forward, I aim to enhance my problem-solving skills and confidence in decision-making, ensuring I can contribute effectively to future projects.

I continued with my final data validation task today, focusing on the last two ESG core themes of ViTrox: “An Accountable Purchaser” and “Sustainable Governance”.

“An Accountable Purchaser” highlights ViTrox’s responsible procurement practices, ensuring that suppliers adhere to ethical sourcing, environmental sustainability, and fair labour standards. From my review, I learned that ViTrox actively engages with suppliers to promote ESG compliance and supply chain transparency. They ensure that their vendors align with the company’s sustainability and ethical business policies, reinforcing their commitment to responsible purchasing.

“Sustainable Governance” focuses on ViTrox’s corporate responsibility, compliance, and leadership accountability. I found that ViTrox’s governance framework includes strict adherence to ethical policies, risk management practices, and continuous improvements in corporate sustainability. Their efforts in governance have earned them recognition at The Edge Malaysia ESG Awards 2024, further strengthening their credibility as a responsible and transparent corporation.

As usual, whenever I encountered missing or unclear information, I sought clarification from my buddy and the content writer to ensure the accuracy of the report. This process emphasised the importance of cross-departmental collaboration in maintaining data integrity.

Reflection:

Today was a fulfilling day as I completed my ESG data validation while also gaining hands-on experience with financial documents. What stood out to me was how ViTrox ensures ESG compliance not just internally but also within its supply chain, demonstrating a truly holistic approach to sustainability.

In addition to my ESG task, I started a new week by helping the Accounts Payable (AP) team with sorting invoices and delivery orders. It was my first time handling real invoices, and I felt excited but also a little nervous. I spent almost three hours sorting about 200 invoices before keying them into the system. Even though it took time, I was happy because I finally got to use what I learned before.

The challenge I faced was feeling a bit blurred and confused at first because I didn’t know how to sort the invoices properly. There were so many papers, and I needed to be careful not to mix them up. But I slowly figured out a way and kept asking the AP team when I wasn’t sure.

After finishing my invoice task, my supervisor had a short meeting with me and another intern. She shared more about ViTrox’s founder story and the company's background. I also received my work instructions, which made me feel more prepared for what’s coming next.

Reflection:

Today taught me to be patient and detail-oriented. I realised that sorting invoices and recording them properly are the basics of real accounting work. I’m happy to see what I study in my degree being used in real life. I feel thankful for the chance to learn something new and learn more about the company. This experience will help me become more confident and careful in future tasks.

My morning was spent assisting the Accounts Payable (AP) team again, sorting and keying invoices into the system. This repetitive task required a lot of focus, but I found myself getting faster and more efficient compared to yesterday. It was a great way to sharpen my attention to detail and organisational skills, both of which are essential in accounting.

In the afternoon, I switched back to assisting the ESG team with the final review of the ViTrox Sustainability Report 2024 before sending it to the design house. My buddy divided the workload among us, allowing us to meet the deadline. My task was to check small details, such as headings, mathematical symbols, font sizes, and content accuracy. This process was extremely mentally draining as it required intense focus to catch even the smallest mistakes. However, despite the exhaustion, I felt a great sense of satisfaction after reviewing the entire report. Our team collectively provided almost 1,000 comments for the design house to correct, ensuring the report would be polished and error-free.

Reflection:

Today I reinforced the importance of precision and thoroughness in both financial and ESG reporting. Whether handling invoices or reviewing a corporate sustainability report, accuracy and attention to detail are crucial. My accounting background has trained me to work with structured data, ensuring compliance and correctness, which helped me a lot during the report-checking process. Moving forward, I aim to strengthen my ability to work under pressure while maintaining accuracy, making me a more reliable and efficient professional.

Last week, I was honoured to be assigned as the team lead for the ESG booth game during the upcoming program "2025 Safety, Health, Sustainability & Mental Health Week" at ViTrox which takes place from 22 to 24 April 2025 in conjunction with World OSH Day. This event aimed at enhancing the understanding of ViTroxians on mental health, ESG (Environmental, Social and Governance) and EHS (Environmental, Health and Safety).

Today, my main task was to brainstorm and draft ideas for the booth game. I worked on preparing slides and a set of questions that would be used during the event to engage participants and educate them about ESG-related topics. After finalising the materials, I proposed and presented my ideas to my supervisor and buddy for feedback and approval. It was a good learning experience because I had to think creatively, plan systematically, and present clearly to ensure my ideas were well-understood and achievable.

Reflection:

Today, I learned that leadership is not only about giving instructions but also about planning ahead, communicating ideas effectively, and taking initiative. It was a challenge to propose something fresh yet feasible, but my accounting background helped me stay structured, logical, and organised throughout the preparation. This experience gave me more confidence in handling responsibilities beyond my usual tasks and I look forward to seeing how the game will run during the 2025 Safety, Health, Sustainability & Mental Health Week.

I continued to improve my ESG booth game after receiving valuable feedback and suggestions from my supervisor and buddy. They shared a lot of useful insights and ideas, which helped me refine the game concept and create a smoother and more engaging plan. With their guidance, I was able to adjust the flow and details to make sure the game was both educational and fun for participants during the 2025 Safety, Health, Sustainability & Mental Health Week.

At the same time, our team was also rushing to finalise the Sustainability Report 2024 as the Board of Directors (BOD) meeting is approaching. After receiving comments from the company secretary and CFO, my supervisor, buddies, and I had a coordination meeting to discuss the necessary amendments. After the meeting, we revised the report and carefully reviewed it from beginning to end, over and over again, to spot and correct any remaining errors. It was a tiring but necessary process to ensure the report meets the highest standards before submission.

Reflection:

Today, I learned that constant improvement based on feedback is crucial for producing quality work, whether it’s a simple booth game or an important corporate report. Also, working under tight deadlines taught me the importance of teamwork, time management, and being detail-oriented. To make the game more interesting and engaging, I researched current environmental issues and also included some fun facts about the world to design creative and educational questions. I aimed to strike a balance between learning and having fun so that participants could enjoy themselves while gaining new knowledge.

After completing my research and finalising the question set, I shifted my focus to assist the Account Payable (AP) team. At the same time, doing the AP work reminded me of the importance of attention to detail and systematic working habits — both of which were emphasised during my accounting degree. My ability to handle numbers carefully and stay organised definitely made the data entry process smoother.

My primary task was to analyse and compile data for the tax computation for our holding company; i.e. ViTrox Corporation Berhad, gathering supporting documents to reconcile figures required by the tax agent. The biggest challenge I faced was navigating multiple, disorganised folders to locate the correct data, unlike my coursework, where all figures were neatly provided. It was time‑consuming and frustrating at first, but I developed a two‑step approach: I would search independently for the needed files, and if I still couldn’t find them, I’d consult the Tax Officer. This not only helped me overcome the folder chaos but also gave me the chance to learn directly from a tax professional whenever I had questions.

Reflection:

Today taught me the importance of self‑reliance and effective information management. Unlike classroom exercises in Principles of Taxation and Advanced Taxation—where data is handed to you—real‑world tax work demands you to source and verify every piece of information yourself. My accounting background provided me with the analytical mindset to reconcile numbers accurately, but today’s experience showed me that organisational skills and the confidence to seek guidance are just as crucial. Moving forward, I’ll apply these lessons to become more resourceful and efficient in all my tasks.

Today, I resumed my tax computation analysis task. Since ViTrox is a holding company with several subsidiaries, the data structure is quite complex, leading to a lot of queries I needed to clarify with the Tax Officer. Despite the challenges, I managed to learn many new things, such as how to extract relevant data and prepare supporting sheets for the tax agent. I also had the opportunity to approach and ask questions to the General Ledger (GL) team, which broadened my understanding of how different teams work together to support tax matters.

After lunch, I attended a meeting organised for the 2025 Safety, Health, Sustainability & Mental Health Week, where I gained more details about the event schedule and did a quick presentation of my booth game idea to the organisers. Later in the afternoon, I had a meeting with my buddy, who briefed me on the maintenance of our ESG website. I learned that because information is constantly changing—even by the second—it is crucial to keep the website updated to deliver accurate and timely information to the public.

Reflection:

Today, I learned that cross-department collaboration and continuous updating of information are essential in both tax work and ESG management. My accounting education gave me the foundation to analyse and understand the data, but practical experience taught me the importance of being proactive in seeking clarification and being adaptable to new information.

After the detailed explanation I received from the Tax Officer yesterday, I felt more comfortable and was able to explore and handle the tasks independently. I managed to trace the supporting documents and prepare the necessary data more efficiently, which showed my growing understanding and familiarity with the process.

In the afternoon, I started preparing the physical materials for the 2025 Safety, Health, Sustainability & Mental Health Week.

In the morning, I finished the analysis for tax computation on ViE Technologies Sdn Bhd. I made some minor adjustments before moving on to the next task. I continued with the analysis for another subsidiary, ViTrox Technologies Sdn Bhd (VTSB). I found that VTSB was more complicated because it had more transactions, including some outside of Malaysia. So, the supporting sheets needed were more compared to the other two entities.

The challenge I faced was understanding the nature of VTSB’s transactions. There were many supporting documents to check, and it took more time to trace the figures properly. I needed to be extra careful and patient while doing the analysis.

Reflection:

Today, I learned that different companies under the same group can have very different levels of complexity.

Today was full of learning. In the morning, I attended a webinar called “The Changing Landscape of ESG and Sustainability Compliance in Malaysia - What to Expect in 2025 and Beyond?” organised by the Federation of Malaysian Manufacturers (FMM). I learned about Malaysia’s new ESG rules, like the updated Bursa Malaysia Sustainability Reporting, National Sustainability Reporting Framework (NSRF), National Climate Change Policy 2.0, and the upcoming Climate Change Bill 2025.

In the afternoon, I joined a training by the Risk Management and Internal Audit officer about planning yearly tasks and milestones. Although the training was for permanent staff, I learned how to plan my daily, weekly, and project tasks in a more organised way to work more efficiently.

The challenge I faced was understanding some heavy terms during the webinar because they were new to me. I took notes and asked my buddy when I didn’t understand.

Reflection:

Today taught me that ESG compliance is not just a theory like what I learned in university. In class, I only saw ESG in textbooks and case studies, but in real life, it is much more detailed and serious. Companies need to follow strict rules and prepare early. I also realised that proper task planning, which we usually practice in group assignments, is very important in real work too. This experience helped me see the real gap between study and working life, and it motivates me to learn more and improve myself.

I needed to make sure I was ready before presenting it to my supervisor and buddies. I received a lot of useful feedback from them, which helped me see what could be improved.

The main challenge I faced was the limited time. My task was to review the site, prepare slides highlighting areas that needed improvement or updates, and send them to the Marketing and Communication Department (Marcom) for website development/refresh. After that, I had a short feedback session with my buddy to share my thoughts on my internship experience so far. In the afternoon, our ESG team had a meeting to go through the slides for tomorrow’s Quarter 1 ESG meeting, which will be attended by all departments and our CEO, Mr. Chu. We carefully checked each figure and piece of information submitted by various departments to make sure everything was accurate and well-prepared.

Reflection:

Today showed me the importance of clear communication and attention to detail in internal reporting and external presentation.

This morning, I started working on the transfer pricing report for the year 2022. This report helps ensure all records of inter-company transactions are properly documented as supporting evidence. After lunch, I attended a meeting with the Accounts Payable (AP) team to learn about their milestones since I am now fully involved in this team. After the meeting, I had a one-on-one feedback session with the tax officer to get his input on my previous tasks.

Reflection:

Today made me relate to what I learned in my Management Accounting class, where I had to calculate transfer pricing by myself using formulas and cases. But now, in real work, I received the final figure instead and worked more on preparing the report and checking records. It felt meaningful because I got to see how what I learned in university is actually used in a company, and it gave me a deeper understanding of the process beyond just the calculation. I also learned that asking for feedback helps me see what I can improve and gives me confidence to handle more tasks in the future.

Today, I continued with the numbering process for around 150 pieces of invoices that I had posted last week but didn’t manage to finish before clocking out. In the morning, we also had an AP team alignment meeting where everyone shared updates on their current tasks. After lunch, my buddies brought me to the V-Warehouse to scan and acknowledge the collection of Delivery Orders (DOs) and invoices. One of my buddies also taught me how to handle DOs without physical invoices, as the Company is now applying e-invoicing. For documentation purposes, we are required to retrieve the softcopy from email and print it out for filing.

Reflection:

Today’s experience exposed me to how digital transformation, such as e-invoicing, is being implemented in the accounting workflow. Although in university we learn mostly from textbook examples, this hands-on practice helped me understand how companies adapt accounting procedures to maintain proper documentation and compliance. It’s a reminder that staying organised and detail-oriented remains essential, even as processes become more digital.

I spent more than 2 hours searching for over 100 pieces of delivery orders (DOs) that didn’t have corresponding physical invoices. Since some companies are implementing e-invoicing, I had to retrieve soft copies by searching through emails using various references like Purchase Order (PO) numbers or DO numbers, depending on the supplier’s format. During the process, I frequently sought help from my buddy to ensure I was using the correct approach. After printing the invoices, I proceeded to match and sort them accordingly. Later, I continued with matching and sorting other local DOs and invoices, successfully handling 350 pieces in total.

Reflection:

Today taught me the importance of adaptability and persistence in managing real-world accounting tasks. After my buddies returned from the V-Warehouse, I took the opportunity to revise the process of searching emails for DOs that come without physical invoices. I printed them out and continued with the sorting process. I could feel my speed had improved, as I had already noted down the special cases for certain vendors whose DO or PO numbers follow unique formats and are harder to locate. After learning how to structure the message from my buddy, I also tried drafting and sending an email to the supplier by myself to request missing invoices. I then continued with sorting and matching around 350 pieces of local invoices.

Reflection:

Today helped me realise how consistent exposure and small improvements can make routine tasks more efficient.

After completing the matching process from yesterday, I continued with my routine task of keying the invoices into the system. During the process, I encountered a few special cases. The first issue was a mismatch between the invoice amount and its purchase order. I took the initiative to email the buyer for clarification and later received a revised invoice. Another case involved a duplicate posting in the system, which was a first-time experience for me. I consulted my buddy for guidance and sent an email to the posting team. Since I’m still waiting for their response, I’ve temporarily set this case aside to revisit next week. Today, I successfully keyed in more than 150 pieces of invoices.

Reflection:

Today taught me that real-world accounting tasks often come with unexpected challenges that require problem-solving, communication, and patience.

Today, I compiled the last folder for ViTtrox Academy Sdn Bhd, which is for repair and maintenance. After categorising the transactions by GL code, I further classified each one to determine whether it is tax deductible. I also referred to the goods receipt notes (GRN) listing prepared by the AP team to fill in the details for each transaction.

After completing this, I went to the V-Warehouse to collect DOs and invoices. I enjoyed the experience today as there’s a new intern in the AP team, and I got the chance to teach her how to differentiate between DOs with no physical invoices, credit card transactions, and local versus foreign invoices. This also refreshed my understanding. Back at my desk, I searched for the e-invoices in my email and then completed printing, matching, sorting, vouching, and numbering for 60 invoices.

Reflection:

Teaching the new intern today made me realise that explaining a process to others helps strengthen my understanding. Additionally, categorising transactions in detail deepened my knowledge of how tax deductibility affects tax computation, which directly relates to what I’ve learned in my tax course.

I started my day by sending emails to the respective suppliers for the invoices that I couldn’t find in my inbox.

While waiting for their replies, I began working on the tax computation for ViTrox Agritech Sdn Bhd (VAG). Similar to last month, VAG has only one folder and fewer transactions than VA, so I managed to complete it within a day. After categorising the transactions under almost 50 general ledger codes, I also classified each transaction to determine whether it is tax deductible or not. Additionally, I learned some new formulas in Excel today, which made it easier and faster to fill in details from the goods receipt notes (GRN) listing for each transaction.

Reflection:

Today’s task helped me sharpen my skills in organising and analysing tax data efficiently. Learning new formulas also improved my productivity and accuracy, which is valuable for handling larger and more complex computations in the future. This connects well with my accounting studies and shows me the importance of mastering both technical tools and tax concepts in real work.

Firstly, I settled all the e-invoices received from the suppliers by printing, matching, sorting, vouching, and running the numbering for 15 pieces. After that, I went to the V-Warehouse to collect the ready invoices and delivery orders (DOs).

Back at my desk, I finally had a session with the tax officer to consult him about some transactions I was unsure how to categorize for both VA and VAG. With his valuable guidance, I managed to complete the fixed asset listing, balancing allowances and charges details, and the non-qualifying assets information, which are not eligible for balancing allowances to reduce taxable income. With all these clarified, I successfully wrapped up the tax computation for both entities with his great help.

Reflection:

Today’s session with my tax officer deepened my understanding of how fixed assets and their allowances affect taxable income. It strengthened the link between the theory I learned in tax courses and real tax reporting practice. This experience boosts my confidence to handle similar tasks more independently in the future.

In the morning, we had a Finance department AI sharing session. I found it very insightful because I learned about many other AI models besides ChatGPT, such as Gemini, NotebookLM, and Flowith, and understood their different strengths. Today’s session focused on Gemini, and I discovered how this tool can help us complete daily tasks more efficiently and save time.

After the session, I searched for e-invoices in my email and, once sorted and matched, I vouched for nearly 60 pieces and another 20 local invoices. Later, my buddies conducted a meeting to teach me how to process foreign invoices step by step. I found this much more complex than handling local invoices, and since we ran out of time, I plan to follow up with my buddy next week to understand it better.

Reflection:

Today, I learned how AI tools like Gemini can complement my work and help me manage tasks more effectively. Also, exploring the foreign invoice process showed me areas where I need to improve my skills. Combining AI knowledge with practical tasks will help me work smarter and handle more challenging processes with confidence in the future.

In the morning, I vouched for 10 invoices for other smaller entities like ViTrox Green, ViTrox Corporation, and ViTrox Academy in our system. It was quite manageable since the process is similar to what I have done before for ViTrox Technologies. After that, I moved on to matching foreign invoices, which was much more challenging. To complete each match, I had to check not only the invoice but also the commercial invoice, airway bill (AWB), other supporting documents, and the customs form (K1). It was quite frustrating at times, especially when I had to figure out whether the transaction was a single or combined shipment. To reduce errors, my buddy assigned me only single shipment cases for now. I kept referring back to my notes to handle missing AWB or K1 cases and to know who to contact for help.

Reflection:

Today taught me the importance of patience and using my notes as a guide when facing unfamiliar and complex tasks. Handling foreign invoices is more complicated than local ones, but by tackling it step by step, I can build confidence to handle even more complex shipments in the future.

After receiving the updated data, I promptly corrected the tax computation files for both ViTrox Academy (VA) and ViTrox Agritech (VAG).

We want to begin by commending your great commitment and mature attitude during a critical business ramp-up. While many of your peers were engaged in exciting projects like the company-wide Hoshin plan and AI initiatives, we really appreciate that you focused completely on the Accounts Payable (AP) role to help us where we needed it most.

Your willingness to take on this responsibility—a role that is super important for our daily work—showed a professional and selfless attitude that we really value. This shows you understand what's best for the business, and we definitely noticed.

Your dedication to producing high-quality work is a significant strength. We have consistently seen you pay close attention to detail, which is essential for accuracy in financial processing. As we continue to ramp up our operations, we need to focus on a new challenge: finding the optimal balance between that high level of quality and the necessary speed to meet our business demands.

With the current workload of almost 400 invoices processed per day, and with collections from stores sometimes reaching 1,000 invoices at a time, we must maintain efficiency without sacrificing accuracy. The next step in your professional development will be to find ways to increase your processing speed while maintaining your excellent quality standards.

To help you with this, let's work together to create a plan that focuses on:

Process Optimization: Identifying small efficiencies in your workflow that can save time on each invoice.

Prioritization Techniques: Learning to quickly assess and prioritize urgent tasks to keep the process moving smoothly.

Target Setting: Collaborating on some speed-related goals that are challenging but achievable.

This is a great opportunity to grow and refine your skills, transforming a strength (quality) into a superpower that is both fast and flawless. We are excited to see you take on this challenge.

Thank you again for your hard work and adaptability. We are confident that with a concerted effort to balance quality and speed, you will become an even more valuable and indispensable member of the team.

In the morning, I focused on clearing pending foreign invoices from previous weeks. Many of them were delayed due to incomplete document sets or pending replies from buyers and suppliers, especially those under combined shipments. Since we are in the month-end closing period, we proceeded with the key-in even though some invoice amounts didn’t match the K1 form. I successfully completed 38 foreign invoices, including key-in and soft copy submission in the system for LHDN purposes.

After that, I went to the store to collect more invoices, searched and printed e-invoices from email, and matched them with the DOs accordingly. I completed 150 pieces of local invoices for the day.

Reflection:

Today reinforced the importance of adapting to deadlines and prioritising work based on urgency. My ability to handle incomplete information and still push forward effectively shows how important a strong foundation in accounting processes and attention to detail can be in real-world situations.

Today, I began handling a new batch of foreign invoices. I liaised with several buyers from Procurement to obtain missing documents such as transportation details and airway bills. I also contacted the PIC from the Logistics team to retrieve K1 forms, especially for shipments handled by the vendor’s own courier. Additionally, I emailed suppliers for missing invoices and followed up with the courier service for K1 forms. For those who provided e-invoices, I downloaded, saved, and printed them for matching. Once most documents were gathered, I keyed in 27 invoices, which is the combined shipment, excluding the pending ones with missing support.

Reflection:

The tasks today reminded me how essential clear communication and coordination are when handling cross-departmental processes. After returning, I began hands-on training for the Statement of Account (SOA) reconciliation for June to get familiar with the process before starting the July reconciliation. My buddy advised me to focus on the top 20 vendors for VTSB and the top 10 vendors for ViE. Through this practice, I understood the nature of the task better and gradually developed my own skills while becoming familiar with each vendor’s SOA.

In the afternoon, I worked independently on the SOA reconciliation for the top 4 vendors of VTSB. One of the main challenges was the manual nature of the process. Each vendor had nearly 1,500 transactions, requiring me to check them one by one against our ageing list. If the vendor’s SOA had invoice numbers arranged alphabetically, the task was easier, but most of the time, the sequence was disordered, making it more time-consuming to locate each item.

Reflection:

Today, I realised how patience, attention to detail, and persistence play a major role in handling repetitive yet critical accounting tasks. The analytical and structured thinking I have developed over time has helped me stay organised and accurate despite the volume of transactions

In the morning, I continued with the SOA reconciliation for another 7 vendors, completing all the top 20 vendors for VTSB from which we had received SOAs. I identified all pending received invoices and payments made to vendors in the reconciliation statement to ensure they balanced with our ageing list. However, I did not add the receiving dates for the pending invoices yet, as I will need to wait for them to be keyed into our system after receiving the DOs.

In the afternoon, I worked on matching 160 DOs with e-invoices. As usual, I searched for the invoices in my email and printed them out. The challenge was that my email search function was not working properly—I couldn’t find invoices by PO or DO number, so I had to search by vendor name and manually browse through attachments to locate the correct invoices for each DO, which was very time-consuming.

Reflection:

Today required patience, problem-solving, and meticulous attention to detail.

In the morning, I worked on two-way invoices, but the system’s slow speed made it challenging and reduced my efficiency. It took more time to settle even a small number of invoices. Similar to last week, I handled logistics, medical charges, and staff welfare-related invoices. After completing the two-way invoices, I moved on to clear pending foreign invoices, which only had DOs for about 30 pieces. Then, I ran the numbering and placed stickers on more than 100 invoices.

Reflection:

What I’ve learned about accuracy and process control during my studies has helped me stay focused and patient despite system delays.

As usual, I started my morning by working on two-way invoices and posting them in the system after carefully checking each detail to avoid mistakes. After that, I went to the store to collect DOs and invoices for all entities. During the process, I had the chance to guide a new intern on how to differentiate local and foreign invoices, as well as identify DOs with only e-invoices.

On the way back, I began sorting and matching the foreign invoices. In the meantime, I asked the buyers for the respective airway bill numbers related to the DOs before requesting the K1 form from the courier services. I also assisted the logistics team by locating the K1 form for previous invoices that had been captured but possibly missed for submission to their reference.

Reflection:

Today, I realised how crucial accuracy, organisation, and communication are in ensuring smooth operations. My knowledge of documentation processes and financial recording helped me work efficiently and assist others.

In the morning, I went to the store to collect the DOs and, after returning, resumed processing and matching my foreign invoices. Since today is the last day of August, I proceeded to key in all invoices regardless of whether the shipment was fully completed to ensure liabilities are captured accurately for the month. To make my work easier for the coming days, I printed an extra copy of the supporting documents, including the AWB and K1, to avoid duplicate work such as requesting the same documents again. This approach helped save time and improve efficiency. By the end of the day, I completed 100 pieces of foreign invoices and also offset 25 invoices for which advance payments had already been made.

Reflection:

Today highlighted the importance of time management and foresight in handling accounting tasks.

In the morning, I checked the receiving status of the pending receiving invoices and updated the dates for each of them in the reconciliation files. After that, I continued with matching the local invoices and keyed nearly 190 pieces into the system.

Reflection:

Handling so many invoices today has trained me to work with more patience and accuracy. I feel I’m becoming more confident in managing details and ensuring everything is recorded correctly, which is shaping me to be more reliable in my work.

Today, as usual, I keyed in the local invoices for 200 pieces after completing the matching process. Once done, I carefully double-checked the invoice number, date, and other details with the system before posting all of them. Later on, I ran numbering for nearly 550 pieces of invoices.

Reflection:

The high volume of work today reminded me how important consistency and accuracy are in accounting tasks. What I’ve learned in my degree helps me apply structured thinking to manage repetitive tasks more efficiently, and it also builds my discipline to stay focused even when handling hundreds of invoices.

Today, I started with doing the SOA for another small entity, ViE Technologies Sdn Bhd (ViE). The process was similar to VTSB, but I found it easier since the number of invoices was less, and most of the vendor SOAs tallied with our ageing account, so no further reconciliation was needed.

After that, I went to the store to collect the DOs and invoices and scanned them to acknowledge the receiving by the AP team. Once I returned, I sorted and matched the foreign invoices, mainly focusing on those with prepayment terms, and managed to complete 30 pieces.

Reflection:

Today felt smoother as I noticed how processes can vary depending on the entity’s size and transaction volume. It reminded me that attention to detail and consistency, which I’ve built through my accounting studies, really help me handle both simple and more complex tasks with confidence.

In the morning, I sent an email to the courier services to request the K1 form for invoices with missing documents. After that, I had a one-to-one interview session with our Group CFO to share what I have done during my 6-month internship at ViTrox. I felt very grateful for the valuable insights and future directions he shared. Later, the AP team held a briefing session on upcoming changes and future planning. In the afternoon, I mainly focused on keying in the local invoices.

Reflection:

Today was meaningful as I had the chance to connect my daily tasks with broader company goals through my session with the CFO. What I’ve learned in my accounting degree—especially on documentation and reconciliation—helped me handle my work more systematically, while also showing me how these skills can grow into bigger responsibilities in the future.

Similar to yesterday, I resumed keying in local invoices for almost 220 pieces and posted all of them after checking. After that, I passed down all the pending tasks from my side back to my team. Once everything was settled, I returned all my equipment to the company, marking the official end of my internship!

Reflection:

Closing this chapter feels bittersweet, but I’m grateful for how much I’ve grown throughout these months. The knowledge I gained from my accounting studies really supported me in handling real tasks, and this experience showed me how those skills can be applied in practical ways. It has been a meaningful journey that has shaped both my confidence and professionalism.
