It is important that practitioners that work in the early years setting maintain accurate and coherent records this is so important and essential to protecting the health, safety, and well-being of children. Inaccurate information may result in a child being released to the wrong individual, receiving the wrong medication, or receiving inadequate care. These records will need to accessible and available for inspection if Ofsted were to come to grade the setting. They will only have access so certain information as they don’t have a professional need to see the child’s personal details. The child’s personal details need to be kept in a secure place and is only accessible to those who have the professional need to look at them this is, so the child’s confidentiality is supported and met. The EYFS statutory frame work gives practitioners the requirements to follow in line with keeping records. The statutory frameworks (2012) states that “providers must maintain records and obtain and share information with parents, carers, other professional working with the child, the police, social services, and Ofsted this is to ensure the safe and efficient management of the setting to also ensure that the needs of all children are met”. Within the setting it needs to be arranged that all staff are aware of the need for privacy and confidentiality and ensure that all parents are given access to all records about their child if they have asked to see them. It is important that records and reports are accessible and kept when working in partnership as this way when multiple agencies work together it makes it easier to cross reference all the information without anything being repeated or understood wrong. When you are working in a childcare setting you will only look at a child's record if you have the professional need to do so, for example if the child's key worker for the preschool room wanting to look at the child's record they will be able to do so as they have hat professional need unlike someone that works in the toddler room they don't not need to access the child's information as they don't have the professional need as they are not in the same room as that child so therefore might not come into contact with them. Another person that will have the professional need to look at the child's records is a speech and language therapist as they will need to see if they is anything have an impact on where they are delay this could be a health condition. parents also have the right to look at their child's file if they have requested to look at it.
The information that providers must know about the children in their care includes the child’s full name, date of birth, address, emergency contact details, medial conditions and health needs. the setting also needs to be aware of who will be picking the child up so the know how the child is going home as they may not be allowed and contact with one of their parents

It is important that as practitioners working at a setting the records need to keep accurate one of the reasons for this is so you can track the child's development accurately so you can see whereabouts there are with the development and are they reaching the milestones that they are able to at this age that is why when you are doing observations on children that you don’t just guess what they can do for example if you were observing a child outside playing hopscotch and they are jumping but are not counting the squares as they jump and you write down that they are this is going to affect their development as other practitioners might set activities to do with counting and call the child over to do the activity but the child will struggle to do is as they don’t know how to. When you are tracking children's development accurately and coherent you will be able to match the children to the milestones for their age and you will be able to see if there are any delays in their development and if they is you will be able to put the right resources in place to help them with their development to be able to meet them milestones. By doing this you will then be able to plan age and stage appropriate activities to help with the children's development. By having accurate and coherent records this is going to be important if there was a safe guarding concern as they will be able to keep track of the injuries and accidents that the child is having and coming into the setting with if you didn’t track or raise the concern then this is going to put the child is quite a lot of danger and worst case scenario the child could end up dying and then you are going to end up in serious trouble for not reporting your concerns. But if you did report your concerns and if the case went to court then the records need to be coherent which means that the record is legible because if isn't then they might just refuse to read it and the case will get chuck out of court. So, if you know that you handwriting is going to be illegible then you are best to type them up on the computer.

As a setting it is important that your notice and display boards are updated every term this is important for those parents that want to help with their child development and will do outside the setting at home so it is vital that the display boards explain what they are doing so the children has the same consistency and is not getting confused by experimenting with two many different subjects. also if you didn't update the display/notice boards then this is going to confused the parents ad get them to question you as they will not know what to do with their child at home. keep the notice boards updated to the parents/ carers know about events that are coming up and take pass events down so that it doesn't confused the parents. When the notice boards are updated this is going to give parents a chance to look to see if they are at work and if they are check to see if any different family members can attend the event. as a setting it is important to maintain accurate and coherent record for when Ofsted come in and inspect the setting, when Ofsted come into the setting they don't need to know the child's details as they don't have a professional need to do so they should only have access to the things that they are supposed to. Also another reason why it is so important for a setting to maintain accurate and coherent record is so to can have the resources available to enhance children's development for this you are going to need to look as the children's tracking and see where they are behind they by resources that are going to help with that area of development so the child is able to reach their full potential.

When working in a setting it is important that your use of records and reports contain the correct information and are legible to read as there are legal documents so if they was a safe guarding issue/concern they the setting will be able to mange the information and act accordingly by having the correct information available for when you need it. the information that you store on the child needs to be correct this could be about understand the child's development as they might be times where you will need to put a referral in for early intervention to best support the child. By having accurate and coherent records this is going to protect the setting and the members of staff that work there as they will need to cover their backs in case anything was to go wrong and someone was to injure themselves. they will need to kept them updated as they might of been changes within the setting that need to wrote down

The information that providers must know about the children in their care includes the child’s full name, date of birth, address, emergency contact details, medial conditions and health needs. the records need the child's date of birth on so that you are able to track their development and progress within the different areas of the EYFS, they will also need to know the child's date of birth so they know and can put the child in the correct room at the setting. If you didn't kn ow the child's age then they might be put into the wrong room and this will affect their development as the activities and games might be too easy or to hard for them and this is going to led to them getting overwhelmed.
Emergency contact details are important to have in the child's personal records as if a serious incident happens or the child was ill and have to be sent home they will need to be available to access to stop the situation escalating and becoming worse. if a setting didn't have the emergency contact details then the child can be released into the wrong hands which can make the situation worse.
Medical conditions are another important piece of information that need to be in the child's personal file this is so when you are providing meals for the children or getting them to try different foods if the setting celebrates different festivals then you need to be aware that some of the children will not be able to eat some of the foods as they contain ingredient that they are allergic too if the setting wasn't aware of the allergies then they children can end up having an allergic reactions which can be life threatening.
All setting will need to be aware of the requirements of the Data Protection Act 1998 and also the Freedom Act 2000, setting's will also need to aware of the new Data
Protection Act 2018. a setting will keep the child's records for three years this is in case a safeguarding issue came to light a couple of years letter and you might have that information to be able to take it to court, this is not the only reason why they will keep the records.
