Ensure that the balloons are roughly of equal sizes before placing them on the arc so it is easier to assemble the arc.

Add helium balloons with suitable weights at the bottom. Idea was not implemented this year as we did not have suitable weights.

Balloons should not be pasted on the side of the walls as they fall off easily.

Better estimates of the total number of balloons required for decor.

Find a better way to support the balloon arc to prevent it from falling.

Consider giving out small prizes for the Trivia segment to increase participation rate and make it more exciting for the students. To prevent the situation from becoming chaotic, perhaps there could be a plan for runners to keep the situation under control.

For Trivia, can consider getting teachers from each department to volunteer and provide trivia questions, in addition to the team generating questions and requesting information from teachers.

For decor team, can consider pairing one upper sec with a lower sec student so that the senior can guide the planning process and improve efficiency.

Perhaps could reduce the number of combined meetings and replace them with shorter team meetings, especially at the early stages of the planning process.

Start the planning process earlier, maybe meeting in late June and free up time in August for shorter or less frequent meetings so everyone has some time for their school work on top of other commitments.

Trying to solve your problems when help is clearly needed

A bit more detailed minutes. Sometimes the minutes do not fully captivate what needs to be done, which is important because it is hard to remember a lot of things that are said in a short span of time. Minutes taker could ask the person giving comments to slow down or if it is something to note down.

Having the 1st - 2nd meeting be more of setting the pace, what should be done, when should it be done, how should it be done and also getting them comfortable with each other to be more open to ask others for help on their problems.
